You want to write good emails in 2024? Here is the exact structure we use at ColdIQ. 1. Trigger-event - Start with an observation that led you to reach out. This shows you've done your research and have a specific reason for contacting them. 👉 "I figured Strive was scaling its sales efforts as I saw Robert H. just joined as CRO." 2. Social Proof - Establish trust by mentioning how you've helped similar companies achieve impressive results. This demonstrates your expertise and credibility. 👉 "I've helped recruitment firms such as Konus, Recruitiv and Stark generate 40+ qualified meetings in under 3 months." 3. Value Offering - Provide something genuinely useful before asking for anything in return. This could be a guide, template, or valuable insight that helps them solve a problem or improve their process. 👉 "Would it be a bad idea to share my 5-step guide on how we sold recruitment services via cold email?" 4. Personalization - Show that you're not sending the same generic message to everyone. Include details specific to their company, role, or interests. (even if Mohamed Chahin from Twain hates personalization 😂) 👉 "PS: Thought this was relevant as I saw from your LinkedIn profile that you specialize in sourcing go-to-market teams for SaaS companies." Here's why no one replies to your cold email campaigns 👇 You're trying to get, yet you have nothing to give. This is what most do when they reach out cold: → They think of the 2-3 best features they'll put forward in their messaging. → They identify their "ICP" based on company size, location & job title. → They ask for some time in their recipients' calendars. Our best campaigns do none of these things 👆 ❌ We don’t care about location, company size and titles ❌ We don't ask for time in their calendar ❌ We don’t mention our ‘solution’ So what do we do, then? Here’s why it works: 1. Direct Access to Decision-Makers: Cold email allows you to bypass gatekeepers and connect directly with hiring managers and executives—the very people responsible for recruitment decisions. 2. Personalization Matters: A well-crafted, personalized email that speaks to a company’s unique needs can make all the difference. It shows that you’ve done your homework and understand their pain points. 3. Scalable and Efficient: With the right automation tools, cold outreach allows you to reach a larger audience in less time, while still maintaining a personalized touch. It’s an efficient way to prospect without sacrificing quality. 4. Immediate Feedback: One of the best parts? You get instant feedback. If the message isn’t resonating, you can tweak your approach, A/B test different subject lines, or refine your targeting. But here’s the catch: cold email isn’t a “spray and pray” tactic. It requires thoughtful planning, clear messaging, and persistence. Done correctly, it’s one of the most effective ways to get your recruiting agency in front of potential clients. As a Recruiter the odds are very well stacked against you... In cold outbound. As much as it can be rewarding having a system that just chips away every day on your behalf, There are just so many things that can go wrong, Bad quality data, terrible copy, not the right nurturing, no value, the list goes wrong. What I wanted to quickly provide some insights into however, Is something that not many people pick up on, let alone get it right. This is Email Deliverability You could have everything else perfect, Even with the best data, best copy, best nurturing, even if you wanted to give them a brand new lambo! If they never get your message, then its pointless. So how can you ensure your email deliverability is intact? Step 1 - Buying the right domains. Steer clear of crappy domain sites, steer clear of domains that may end in ".live" or ".shop" These as you could imagine are not built for emails, focus on ".co" ".com" ".net" Step 2 - DNS Setup Think of DNS as green flags, they sit on your inbox so this way google sees your inbox as high quality and not spam, Some key records include: DKIM, MX, SPF, DMARC. You can find guides how to make these and setup online. Step 3 - Warmup Don't just send 100 emails a day from a brand new inbox, make sure you let your email account warmup using a platform like Smartlead. This essentially means letting a robot send emails to and from your email account to replicate a real person. Bonus Step - Customised Emails Most people don't go here however at DiscoverX this is arguably the most important stage, Using platforms like clay and twain to ensure every individual gets a completely customised message in googles eyes is like having someone manually write say 20 emails per day per inbox. Cold email marketing still has a place in every recruitment firm but it's changed. First up, send to small lists, be targeted, try things, monitor your results and repeat. Make your emails interesting. Don't just spec candidates. If you are speccing candidates, fine. But have a reason for sending them to a client. Don't just say 'they're good and might report into you'. Say, "you just got X funding and they just worked at a competitor at a similar stage and took them to where they are now". Don't expect immediate results - see each email as another touchpoint, and every email you send as part of a complementary set that works together whether only one has been read, or all of them have been. It takes time to build trust, and clients know what they're doing when they reply to a recruiter (it's a bloodbath). Be generous with what you know.
