Hey everyone! I wanted to share some tips and insights from my journey as an Executive Assistant. This role is super dynamic and requires a blend of skills and adaptability. Here’s what I’ve learned along the way: 1. Anticipating Needs: Instead of waiting for requests, it's important to foresee them. Being proactive is key.. Executive Assistants understand their executives' preferences, work styles, and schedules so deeply that they can predict needs and address them before they even arise. This level of foresight comes from a deep commitment to the role. 2. Going the Extra Mile: Passion drives EAs to go above and beyond their basic job description. Whether it's staying late to finalize a project or coming in early to prepare for an important meeting, a passionate EA is always ready to put in the extra effort. This dedication is what sets them apart from the rest. 3. Communication is Key: Whether it's emails, schedules, or managing crises, clear and effective communication is everything. 4. Master Time Management: Prioritizing is crucial with so many tasks. Develop systems that help you manage time efficiently. 5. Stay Organized: Keep detailed records, maintain a tidy workspace, and find a filing system that works for you. 6. Adaptability: Every day is different. Being flexible allows you to handle unexpected situations smoothly. 7. Discretion and Confidentiality: Trust is fundamental. Handle sensitive information with care and professionalism. 8. Build Relationships: Establish strong working relationships with colleagues, clients, and vendors. Being personable and reliable is a game-changer. 9. Continuous Learning: Stay updated with the latest tools and best practices. Always look for ways to improve. 10. Emotional Intelligence: Understand and manage your emotions, as well as those of others, to enhance your working environment. 11. Passion for the Role: Love what you do. Passion drives excellence and inspires those around you. When an EA is truly passionate about their work, it transforms their job into a fulfilling and dynamic career. Passion is the cornerstone of an exceptional EA. Living and learning these principles has helped me succeed and made my journey as an EA fulfilling. Executive Assistants: Be careful when listening to advice from people who don’t have first-hand knowledge of your job. They lack understanding of the fundamental principles and requirements that make up the executive assistant role. This can skew their perception of how your partnership with your executive works. The purpose of your role is to support your executive. If they ask you to do a job-related task, saying no is not a smart option. You may need to refresh their memory about the other projects you are working on, but deciding what priority the work takes is ultimately their decision. Understand the why behind the request, so the reason is obvious and there's no argument about why it needs to get done. As an experienced EA, you know that priorities change. If you are in alignment with your executive's priorities and style of working, you will understand the necessity to shift from A to B. Heck, you've probably already anticipated it, and somewhere, some part of you is gearing up for it. With a bigger-picture overview and perspective of the business, your executive is in a good position to judge priorities, so trust their judgment. Offer input. Make your case if you have concerns, but ultimately they are the decision-maker. Executive Assistants have the gift of seeing their company from the top. And the Chief of Staff role is not the only or even "the most natural" next step for EAs who are looking to transition roles. Instead, the Chief of Staff role is one of *MANY* potential next steps for a high-level, strategic EA. Project management, HR, and operations also make a lot of sense. If you are an EA looking to transition roles: ▪ Start observing the functions in your company and which you’re drawn to. ▪ Set up some coffee dates (in person or virtually) to get to know and ask questions of people in roles you’re interested in. ▪ If you have the bandwidth, take on small projects within different functions that you may be interested in. ▪ Share your goals with your leader and ask for their support as you explore what's next for you. ▪ Focus on your mindset & confidence: you CAN do a different job, and you will use the viewpoint of your EA role to help you learn, grow, and get there. These are just a few things to start with. But what's the most important thing? JUST START. Changing roles and learning a new job is hard. But there's no reason EAs should feel *more stuck* in their job than people in other roles. *We can ALL learn and grow.* As an EA, rely on your company knowledge and your strong relationships. The Chief of Staff role is just one of *many* potential next jobs. - Ps. Dear Leader, Did you know… That when your Executive Assistant has something they'd like to discuss with you, that is important and meaningful to them (e.g. their annual performance review, a development discussion etc) they will carefully review your calendar and select a day and time to meet when they see you'll be 'less busy' as they don't want feel like a burden. More often than not, when that time does swing round, something else swallows up their assigned meeting time. Often your Executive Assistant will appear to 'happily' forgo their meeting so another employee/ meeting can take that time. It's not uncommon for this scenario to occur over and over and over again, to the point where you EA will stop rescheduling their time with you because they don't feel like they are valuable enough to prioritize. Eventually your EA will presume you don't want to support their further career growth interests and look elsewhere, that will. Simply prioritize time with your EA to discuss (and SUPPORT) their continued career development and growth goals and you'll retain a considerate and loyal employee for YEARS!
