HOUSEKEEPING MANUAL

Procedure for pantry and trolley setting and cleaning


• 06 set of linen to be kept in the trolley
• Room and bathroom linen to be kept in separate rack
• Guest supplies to be kept neatly
• Washbasin to scrub and window to clean every day.
• Pantry to be swept dusted and mopped.

Procedure for cleaning corridor and staircase


• Sweep the corridor with dry mop and sweep the steps with soft broom
• All pictures, nameplate, fire extinguisher to be dusted.
• Guest and staff lift grooves to clean.
• Do the dusting of staircase railing.
• If any wall stains are their get it removed.
• Mop the corridor and staircase.
Procedure for collecting the laundry /Pressing
• Ring the bell after the guest opens ask him
• Do you have any laundry? Collect the laundry, write the room no. on the laundry
bag and ensure valet slip is filled by the guest.
• Check the clothes to ensure nothing is in soiled clothes and no damage.
• If any items found inform to the supervisor and return to the guest immediately.
• While collecting the pressing asks to the guest what time guest wants the clothes
back and is it in hanger or folding?
• While delivering the laundry inform to desk from the room so the desk supervisor
can write it in the laundry register
• While delivering the pressing show to the desk sup. Ensure bill is made ad deliver
to the room and enter the time in the register

Procedure of Room cleaning.


• Ring the bell and announce as housekeeping and wait for the guest to open the
door.
• After the door is opened wish the guest and ask the guest May I clean your room?
• Open the window, give your location to control desk.
• Remove the soiled linen and ensure no guest items are there in the linen.
• Count the linen and remove and keep it in the trolley
• Remove the garbage from the room and bathroom and keep it in the trolley.
• Bring the fresh linen from the trolley and the toilet kit.
• Flush the W.C. and push the water inside and put harpic and scrub and leave it
and close the W.C.
• Make the bed. (3 mins)
• Do the vaccum from the sofa side and finish on entrance.
• Close the window and do the dusting from main door clock or anti clockwise.
• Refill the supplies as per the requirement.
• Start the bathroom
• Scrub the cup, tray, stirrer, and perculator with R2and scrubber with hot water
and put it on the luggage rack upside down.
• Scrub the bathtub/shower cubical glass, drainage plate and vanitary counter
with R2 and nylon scrubber
• Wipe all the fittings with a cloth with R2.
• Wipe bucket and mug.
• Wipe the shower curtain with 2-towel duster from both the side.
• Scrub the tile were waterfalls.
• Scrub the WC.
• Wipe all the areas.
• Refill all the supplies and linen as per the standard. Mop the flooring and
vestibule area.
• Close the curtain.
• Switch on the light as per the standard.
• Have a last look to the room to ensure everything is in proper place.
• Lock the door.

Procedure for taking the occupancy


• Open each room physically and check
• Occupied rooms how many pax whether it is scanty baggage or sleep out inform
to control desk
• Any valuables in the room /any DND to be informed to the desk.

Procedure for cleaning a vacant room


• Before opening a vacant room inform to control desk and put that room in dirty
status to avoid check in
• Open the window
• Change the water from flask
• Check all the supplies and all maintenance things to be in standard.
• Clean the w.c.
• Remove the turn down service.
• Close the window and do the dusting.
• Pile the carpet if it is carpeted floor or else do the mopping.
Procedure of checking the departure room
• Check the hotel property is in good condition
• Check no items are missing from the room,
• Check if any guest items are left in the room, immediately inform to reception, if
guest is their in lobby it has to be handed over to the guest if he is gone out of the
hotel put it in lost and found.
• Give the maintenance job order if any.
• Check the minibar consumption.
• Inform to the desk from the room itself about the departure room.

Procedure for lost and found


• If any guest items are found immediately inform to reception if guest is there it
must be handed over to the guest.
• If guest is checked out it must be informed to hk control desk and immediately to
be brought down to desk
• Enter in the supervisor and houseman checklist.
• It must be entered in lost and found register.
• Lost and found to be kept till 06 months from the date of found, in between if the
guest claims it has to be handed over to the guest sign to be taken in l&f register.
• If guest is not claiming it will auction in the hotel staff.
• Valuable items are not to be auctioned.
Procedure for a ken fixit room
• Ken fixit room snagging lilt to be made and one copy to be given to chief engineer
• All linen supplies to be removed and kept it in the panty neatly.
• Lampshade to be covered with newspaper or garbage bag and kept it in the
pantry.
• Heavy curtain to be removed and sent for washing and hooks to be kept in hk
desk.
• All furniture to be kept in the center and covered with discard sheet.
• Flooring to be covered with discard sheet.
• Then only maintenance people can enter to the room.
• After room is completed, with c.e and e.h.k .room to be checked and if any follow
ups is there to be informed to the concern person and to be rectified.

Housekeeping Schedule
• Spring Cleaning - Twice in a month
• Bathtub buffing - Depend on the bathtub (min 6 months)
• Grouting - As per require
• Shower Curtain - Once in a month
• Heavy curtain - Once in 6 months
• Mattress rotation - Once in a month
• Fumigation - Once in a month
• Carpet shampoo - Once in a month
• A.C filter cleaning - twice in a month
• Plumbing service - Once in a month
• Ken fixit - Once in 6 months
• Ac unit service - Once in 6 months
• Marble polishing - As per requirement

Chemical Usage
• R1 : Toilet Surface
• R2 : Hygienic Hard Surface
• R3 : Glass & Mirror
• R4 : Wood Furniture
• R5 : Bathroom Freshener
• R6 : Toilet & Urinal

Job of a Floor supervisor


• Punch in the card before 30 minutes from your duty time.
• Have your breakfast. wear the uniform, groom properly and be in the dept.
• Read the logbook and take down the point.
• Ensure all staffs are in time for the briefing.
• Check the grooming before starting the briefing.
• Brief about the exp. arrivals and departures, V.I.P., L.S.G., S.L.,
• Brief about previous day if any comments from the guest.
• In 5 minutes finish the briefing.
• Make them sign in the key register, window key.
• Provide them dusters and send them to floors.
• Sign in the key register for him.
• First check the pantry, corridor and both staircases first whether it is cleaned
properly.
• Give the job order if any.
• Start checking the vacant rooms after serviced, simultaneously checks with the
control desk for any departure rooms are required.
• Give priority to CLEAN MY ROOM, SUITE ROOM & V.I.P. rooms
• Suite room to be cleaned before 12 noons.
• Ensure the boys are filling their checklist.
• Speak to the guest when they will be going for breakfast about their stay and
enter in the guest feed back register.
• Occupancy to be taken between 9.30am to 10.00am.
• Follow up with the pending job order and the existing one.
• Ensure before 15.00 hrs all occupied room to be cleaned.
• Every floor one room to be spring-cleaned.
• Corridor, pantry, staircase, lift groove to be cleaned.
• Soiled linen to be brought down.
• Garbage to be checked by supervisor and signed and then to be brought down.
• Ensure all the checklists are filled and signed by the supervisor.
• Hand over all pantry keys, master cards to desk.
• 16.00hrs briefing to be taken place in the dept. gives hand over to the 2nd shift
supervisor physically in floors.
• Enter all the schedule work in the system, which is happened in the shift.

Job of 2nd shift supervisor


• Come to dept. before 15 minutes from the duty time.
• Read the logbook.
• Check the expected arrival and departure
• 13.00hrs to 16.00hrs do the job, which is allotted by the Housekeeper.
• 16.00hrs attend the briefing and take down the points.
• Take physically hand over from floor and public area.

Job of the desk supervisor


• Punch in the card before 30 minutes from your duty time.
• Have your breakfast.
• Wear your uniform, groom properly and be in the dept.
• Read the logbook and take down the point.
• Check the expected arrival and departure from the reception.
• Take the desk hand over from the previous shift.
• Make all the register and supplies ready for the first shift.
• Issue the keys through the key register and give all the houseman checklist with
duly filled to the houseman.
• Check if any laundry or pressing is collected previous shift and is it been written
in the register and what time to be delivered.
• Keep the guest message register and housemen location register in front of the
desk.
• Any guest calls message to be written in the message register and inform to the
concern person and after the work is completed enter the time-completed column
in message register to ensure that work is completed.
• Follow the schedule work with the floor supervisor.
• Follow up the maintenance job order with the maintenance dept.
• Keep follow with the floor supervisor to clear the departure rooms.
• Write the guest laundry gate pass and staff uniform gate pass
• Make sure al the valet slips are filled up.
• Make all laundry bills and hand over to the concern dept.
• Send the occupancy report at 10.00am to front office.
• Make the entire gate pass ready in time and show to the ehk and get it signed.
• Receive the uniform and give to linen room for setting.
• Make all the register filled up.
• Give all the bills to accounts through the accounts register.
• Ensure all staffs are going for lunch as per the time not in the same time.
• All exp VIP rooms message to be given to ehk immediately.
• Any message for ehk to be informed him immediately.
• Always keep the cupboard locked.
• Issue the supplies to the staff and monitor the misuse.
• Ensure all staffs are coming to depts. 16.00hrs for briefing.
• Take down all the points and hand over to the next shift supervisor.
• Physically hand over guest request items register to the next shift supervisor.
• Hand over all the keys through the key register.
• Show all the message register, boy’s location register, lost&found if any
&maintenance job order book to the ehk.

Tailor job and responsibility


• Check the linen room once he comes to ensure everything is in proper condition.
• Check the iron box is in working condition.
• Make the uniform ready as per the shift timing for the staff.
• Issue the uniform after receiving the soiled from the staff
Procedure for guest clothes pressing
• It should be entered in the pressing register, then
• Any damage, color fade or color touch is in clothes if It is there inform to the desk
supervisor to inform to the guest then do as per the guest Word.
• Check the clothes should be in hanger or folding,
• What time the guest wants?
• After pressing is over it has to be shown to the desk supervisor after his approval
it has to be delivered.
• After delivering it has been entered in the pressing register.
• Receive the fresh uniform from the laundry and set all as per the dept.wise.and Sl
number wise.
• While setting the uniform check the uniform for any damage, stain or bad smell,
if yes bring that to supervisor notice immediately.
• Check the uniform schedule as per the schedule.
• Make the uniform chart update as per the requirement.
• Same goes to f&b linen while receiving and setting.
• Keep all clean dusters always in the stock. And provide to all the staff as per the
requirement.
• F&B linen to be given to f&b outlets through the f&b linen exchange book.
• Write the logbook and hand over the message to desk supervisor.
• Get the linen room cleaned garbage clear must be cleared.
• Switch off the light, fan and iron box.
• Lock the linen room and hand over the key to time office.

Turn down service


• Make the bed fold in 90degree
• Close the heavy curtain
• If anything is used clean it
• Switch on the bedside light. Which side evening service is given?
• Refill the water if used.

Procedure for shoe issuing


• Check the staff shoe size
• Remove from the stock cupboard
• Issue the shoe through the staff shoe-issuing register and take the sign of the
staff.
• Once in a year shoe to be issued to a staff.
• In between if staff misused it, we can debit that amount of shoe Rs300/- and new
shoe can be given.
• While leaving shoe has to be returned to the housekeeping dept.
Procedure for issuing uniform to a new staff
• Receive the uniform issuing slip from personnel dept.
• Take the measurement of the staff by the tailor.
• Check the uniform of his/her size is available or not.
• After uniform is ready show to the executive housekeeper
• After his approval get the uniform slip signed by him.
• Issue it through the uniform register.
• If that size is not available alter that uniform in his/her size and issue.
• When the staff is leaving his/her uniform to be received through the uniform
issuing register.

Procedure for missing and damage items


• If any thing is missing from the room while departure inform to the reception and
ehk and send an IOC to front office. And keep a copy in HK.
• If any thing is broken enter in the register for future record.
• If the launderer damages any linen inform to the laundry manager and send a
debit note to accounts and keep a copy in HK.
Spring cleaning chart
• Under cot vaccum
• Wardrobe rod and hangers to scrub
• Ac grills/fan to be cleaned.
• Flask, perculator, trays, cup, spoon to scrub
• Heavy curtain rod to scrub
• Window glass, frame, ledge to clean
• Both dustbins to scrub.
• Wall marks to be removed
• Under the TV shelf to be dusted.
• Through dusting to be done.
• If carpet it should be vaccumed and spotting to e done.
• If marble flooring it must be scrubbed.
• Bathroom tile to be scrubbed.
• Bucket, mug to be scrubbed,
• W C, bathtub, shower, sanitary counter to be scrubbed.
• All fittings to be cleaned.
