“Our operational processes were in a fairly haphazard state.

Managing around 50,000 CAD drawings was getting the better of the team.

Our data management system at the time was too unwieldy, and nobody
liked using it.

When work needed to be done on a building, rather than waste time using
an outdated drawing, staff would get a completely new survey done.

The first priority was to find a better way to store, manage and update the
‘as built’ drawings."

SOLUTION - EXISTING DOCUMENTS

• Implemented data management system to become a centralised single source of the


drawings.

• Configured the system to make data easily searchable and viewable, yet strictly controlled by
security parameters.

• The drawing data was restructured, renamed to reduce complexity and current documents
reviewed to bring them completely up-to-date.

SOLUTION - ALL NEW CAPITAL PROJECTS

• Established a Common Data Environment to store and manage all project information and
documents

• Put robust data and document management infrastructure and associated protocols in place

• Created Standards and User Guides for project teams and internal staff

digital nature.

Our internal processes are standardised and uncomplicated.


Staff are well informed and find day-to-day operational
procedures easy-to-follow.

information is quality checked, stored, managed and
updated in line with the system protocols.”

“Drawings don't fully communicate design intent. Not
everyone can interpret floor plans, elevations and sections.

We couldn’t visualise exactly what it was we we’re buying.

We needed to engage with end-users and stakeholders in a


manner that would easily and clearly communicate artistic
and functional intent from the outset.

Design changes later on are costly and can cause delays to


the programme."

• Replacing paper drawings with the models on large screens
during all design reviews and stake-holder engagement
meetings.
• Organised Facilities Management workshops to give FM’s and
operational staff the opportunity to have an input and
influence the design.

Finding information on maintenance schedules, warranty


details and spare parts is time-consuming and inefficient.

Frequently this information is missing and outdated.

Each asset’s operational and maintenance information


differs from the next. This lack of consistency makes
standardisation across all our assets near impossible.”

Capturing this information during design and construction reduces the cost of
data input to FM Systems and avoids the need for any retrospective surveys.

The information is mobile, structured and consistent - making it easily

the time to plan and assign work orders and maintain continual updates.

We will gain visibility to actual building performance by making comparable


assessments across our entire estates portfolio. This knowledge will truly
