Unit number and title Unit 09: Systems Analysis and Design
Company:
A small business store known as “ULKOM BICYCLE HIRE”, located in Cambridgeshire, has hired out bicycles for
many years from three locations. All of its business activities were written by hand. Recently, the company decided
to modernise the business to improve efficiency and reduce errors. The owner of the company wants to transfer all
manually inputted data into a database. The store wants to keep track of bicycles, customers, employees, bicycle hire
and location at which the bicycle was hired.
A customer can book to hire a bicycle and the booking is stored with a unique number (generated by the
database), hire date, quantity and status. Status may be waiting (as default), received or cancelled.
a) Whenever the customer receives the bicycle, the database is updated accordingly (i.e., booking status
becomes received and stock of the bicycle updated).
b) Customers have unique IDs (generated by the computer), names (first name and last name), age, address
(street, city, postcode) and current number of bicycle
c) Customers can return the bicycle to any of the three locations
The store wants to keep track of the availability, type and condition of the bicycles. The types of bicycles
available are: road bike, mountain bike, touring bike, folding bike. A bicycle has a unique serial number, type,
bicycle hired date, return date and the number of bicycles in stock.
There are three (3) employees in each branch.
a) The employee checks the condition of the bicycle before it is hired out to the customer (i.e. new, used,
repaired).
b) The employee has to check the condition of the bicycle when the customer returns the bicycle (i.e. good
condition or needs repair).
c) An employee of the store has a unique national insurance number, first name, last name, address, phone
number, email and hourly rate of pay. Each employee has a work schedule comprising a start and end
time for each of the seven days in a week.
d) When the bicycle is returned by the customer, the necessary changes must be made to the system about
the bicycle and customer. Customers can receive penalties for late returns. A penalty for a particular
customer is recorded with the payment date and amount of fine paid.
The company has three branches in Cambridgeshire (east, west and south). Each branch has 20 bicycles
a) Employees have to indicate the location that the customer hired the bicycle
b) Each location has a unique code, address (street, city, postcode), date of hire and return date.
Problem:
The problem with the existing manual data recording is that
a) Keeping track of the booking records and availability of the bicycles
b) Location to which bicycle was returned.
c) The condition of the bicycle before the customer hires the bicycle and after it was returned
d) Employee commission returns at the end of the month
e) How to calculate the total amount the customer has to pay, (including fines for late returns, amount
deposited by the customer) when the bicycle is returned to a different location.
