Newsletter Series: The Power of AI Automation
Part 1: Unlocking Efficiency and Creativity with Custom GPTs
Introduction: Hey, everyone let’s have an actually use-full AI talk - the kind of uses that get real work done. If you’ve been hearing the buzz about custom GPTs and AI automation, this is the place to get practical. For a while now, I’ve been exploring how building custom GPTs can simplify tasks, enhance workflows, and drive real value across different industries. The results? Game-changing.
In this first of a two-part series, we’re diving into what these custom GPTs are, why they matter, and how they can be tailored to fit everything from HR processes to instructional design to customer engagement. If you’ve got a repetitive task, a complex project, or just a crazy workload, custom GPTs could be your new best friend.
Why Custom GPTs?
Custom GPTs let you mold AI to fit specific workflows, automating repetitive tasks and enhancing productivity without sacrificing quality. From data-driven content creation to customer engagement strategies, these tools can do a lot of the heavy lifting. Here’s the philosophy: if there’s a task I do repeatedly, or if a process can be enhanced by AI without compromising my input, I build a GPT for it.
Creating these custom GPTs is about amplifying what works and letting the AI manage the manual, time-consuming parts. And once they’re set up, they’re scalable. Need to automate report generation, simplify content creation, or even streamline customer support? A custom GPT can handle all of that, and more.
How to Get Started: Building Your First GPT
Building a GPT sounds technical, but here’s how I approach it to keep things practical:
Define the Workflow: First, get clear on the task. What are you trying to automate or enhance? Whether it’s drafting weekly reports, generating training content, or managing FAQs, start by mapping out the process.
Set the Inputs and Outputs: The key to an effective GPT is defining what goes in and what comes out. The AI needs structure, so think about the exact type of information it will process (like data summaries or customer inquiries) and the format you want it to produce (like reports or content drafts).
Iterate and Refine: AI learns through feedback, so building a good GPT means testing and refining until it consistently hits the mark. Add examples, refine the phrasing, and tweak until you’re satisfied with the results.
Integrate into Your Workflow: Finally, put it to use! Whether it's helping with marketing campaigns, client responses, or training materials, integrating GPTs into your routine makes the most of your investment in time and design.
Practical Applications Across Industries
So, where do these custom GPTs add the most value? Here’s how they’re transforming work in the industries we’ve been talking about:
HR and Employee Engagement: Custom GPTs can manage everything from FAQs to onboarding, quickly addressing common questions and generating tailored resources for new hires. With partners like Insperity and Core Impact Benefits in our HR ecosystem, these GPTs streamline HR tasks while freeing up managers to focus on more complex, people-centered work.
Instructional Design and Training: Within our Instructional Design Club, custom GPTs are already creating value by generating interactive content and assessments that adapt to learner needs. With tools like these, instructional designers can automate content creation without losing that all-important personalization.
Customer Service and Engagement: GPTs trained to handle common customer service queries can boost response times and reduce the workload on support teams. We’re already using these with partners like Kaleidoscope Media Services to create personalized customer journeys that feel human while leveraging AI for efficiency.
Coaching and Consulting: For consultants and coaches, custom GPTs simplify admin tasks, generate personalized client resources, and handle background research. In partnerships with companies like Consulting Ace, we’re empowering consultants to focus on strategy while their GPTs handle the data.
Where to Start: Build a GPT for Efficiency and Scalability
For anyone ready to take the leap, I recommend starting with a simple, high-impact task—something that’s repetitive but essential. Think about where you or your team spend the most time on manual tasks that AI could handle.
Map the Repetitive Process: Choose a process that eats up your time. Identify the patterns, gather examples, and design your GPT around that task.
Train and Refine: AI gets better the more you engage with it, so plan on a few rounds of refinement. Test, adjust, and keep track of what works.
Expand: Once you’re comfortable with one task, think about where else AI could support your work. GPTs are modular, so you can layer them to handle increasingly complex projects.
