One of our agency's biggest problems recently was efficiency in Smartlead for inbox management. I can't lie. My background is not in automation / tech. All of you wizards on here using API calls, Airtable automation, and GPT 4o prompts used to sound gibberish to me. A super simple thing that we've implemented is taking the most common positive responses from campaigns and turned them all into subsequences. 1. Run an audit for your campaigns and determine what are the 3 most common questions / types of positive responses you get. 2. Create a subsequence answering those questions and add it as a tag 3. Get your inbox manager to categorize them properly when in the master inbox And boom. Subsequences will fire off automatically, and you'll save hours every single day typing out manual replies to leads.

A lot of agencies are glorified nonprofits. From the outside they're doing great: They have happy clients. They're growing top line. They're adding staff. But they aren't making any money. If you're an agency founder in this position, you need to focus on fixing your delivery margin, i.e. the money a client pays for your service minus the cost to deliver it. For a small agency (under 10 people) 60-70%+ is ideal. For a slightly larger agency (10-50 people), shoot for 50-60%. When you get this number to healthy place, you can run a well resourced operation while pushing for rapid growth. You can use your cash to over-invest in growth for as long as you want, and then pivot back to a healthy 25-30% net margin once you have momentum. The key is being fully committed to maintaining your delivery margin. If it starts to creep down, it can become a slippery slope right back to nonprofit territory.

More Friday afternoon Local SEO! Aka "procrastination": If you haven't built your own grid ranks, you are missing out on some interesting ways to get an idea of what's going on. Check out this grid rank for a two location business. At a high level, they are doing pretty well with an avg Local Pack position of 1.96 across 23 keywords in two different cities. But we can quickly see that the city on the lower right, Houston, is not performing as well.

All that great content your content team is putting together for emails is all for naught if you aren't managing list health and engagement.
