Are you impatiently waiting for the person you are speaking to to stop talking so you can tell your bland anecdote about your trip to Italy when you were fifteen? Did you catch what they just said? No, you didn't. You are not actively listening. You can do better! Let's see how. Active listening is being attentive, reflecting on what is being said to you, and responding. It is also about timing and knowing when to let go. If you are really paying attention to the conversation you are in, maybe you will realize that you will derail the flow of the conversation by bringing up that trip to Italy and you'll have to let it go. You can connect more and gain more from a conversation by listening and editing yourself.

Sometimes the person sharing isn’t able to articulate their ideas clearly, in which case, active listening requires asking clarifying questions that can helps the speaker feel heard and also feel like the listener is trying to understand with accuracy what is being said. This is different from empathetic listening, which serves to make the speaker feel heard and supported. In this case, the listener is not trying to clarify with questions and they do very little speaking.

Fist fights and heated shouting matches... sometimes in the extreme, those are what conversations can devolve into. The major culprit here is poor communication. An antidote? - Active Listening It should not be underestimated how crucial it is in significantly improving the quality of the communication. I highly encourage teams of all kinds to conduct a StrengthsFinder analysis. Then, after everyone has received their results, discuss whether individuals feel their strengths are accurate or not. Identify shared strengths, as well as strengths that one member uniquely brings to the table. You'll learn a lot about each other, as well as the collective whole.

This is not about pointing fingers but understanding areas for improvement.

When addressing the weakness it is best to probe in such a way where the person identifies his/her own weakness and identifies what is required to address their weakness. They often make a mistake to spot weaknesses in a team member and then ignore those team members dumping extra work on a more capable team member. I know I did. After long experience, learning on the go, I would start by asking myself what are my leader weaknesses. I would then ask about my weaknesses. Maybe that would help me deal with their weaknesses and coach them.

When I interview people for testimonials, I've found it's useful to repeat what they say as a question. One time, an interviewee said, "XYZ's company saved us during Covid." So I asked, "They saved you during Covid?" He replied with all the things XYZ did for his business, mentioned a few specific XYZ products by name, and gave ballpark figures for the hours saved and the revenue generated as a result. This kind of information is copywriting gold! You can easily apply this to identify strengths and weaknesses: "You feel overwhelmed?" "More feedback?" "The briefs are too vague?" Clients and team members will usually tell you what you need to know if you show you care by giving them a little nudge.

In my experience the best way to apply active listening on any situation is. You are actively listening not listening to respond. In any situation, prioritize eye contact over screens, demonstrating your focus on the speaker. Take notes and clarify, ensuring everyone is on the same page. Avoid premature judgment, especially with numbers. Actively listening is not the time for it. Lastly we always wanted to know the strength and weakness, but consider know the process one underwent for them to have that strength and weakness. It is always the accumulation of experience why one kept doing things over and over regardless if it is right or wrong.

Taking a few steps back and always looking at the bigger picture works wonders. It’s way too easy to get caught up in the micro details, but if it’s not all leading up to the same thing, then it’s time wasted.
