*Financial Aid Assistant - Reports to Financial Aid Advisor*

*Job Summary*: As a Financial Aid Assistant, you will be one of the first people to meet with a potential student.
You will assist the Financial Aid Administrator in educating the student on program information, funding options and on his/her Title IV eligibility and provide them with the necessary tools to make an informed decision all while providing exceptional customer service.
You will assist in counseling students regarding financial aid eligibility, application procedures, aid programs, costs, indebtedness, money management, and financial planning, as well as individualize information to the particular needs and situation of the student.
You will evaluate withdrawn students to determine the earned/unearned Title IV aid and report necessary award adjustments in a timely manner.
You will provide support in the following activities: Federal Financial Aid, Title IV, and ensure Scholarship funds are managed, distributed and tracked per regulation and policy.
This position provides day-to-day counseling activities, updates to student accounts and is responsible for establishing and adhering to appropriate awarding, record-keeping, reporting, and verification procedures.
Financial Aid Advisors must become familiar with Federal Title IV, state, and ZMC financial aid regulations and procedures.
The position is vital to executing scheduled enrollment activities and events several times each year.
The Financial Aid Advisor serves as the primary financial contact for current and prospective students.
You will be assisting the Financial Aid Advisor in all Financial Aid responsibilities and have the opportunity to train for and apply for the Financial Aid Advisor position after 4 months of employment as a Financial Aid Assistant.
The ideal candidate is both analytical and people-oriented, bringing energy and sincerity for working with students.
*Essential Duties and Responsibilities:* * Provide admissions information to prospective students.
* Provide guidance and determine eligibility on financial aid, payment options, requirements and responsibilities to prospective, current, and graduating students.
Award, revise, and cancel financial aid to eligible students accordingly.
* Collect and record all documentation required for the submission of student files to disburse federal/private funds.
Track and confirm budgets and clear exceptions as needed.
Update student financial/academic information to ensure accuracy.
* Assist staff and students through the verification process, checking for consistency and accuracy, until verification is complete and financial aid is awarded.
* Execute Professional Judgment for students on an individual basis regarding cost of education, family contributions, and dependency status.
* Assist Veterans in the completion of the VA Benefits Application * Ensure compliance and confidentiality with all federal, state, and internal policies and procedures * Provides expertise in the process of financial aid verification as identified by the U.
S.
Department of Education to determine eligibility for federal, state, and institutional need based aid.
* Maintain precise file management and recordkeeping by entering appropriate activities, notes, and information into all electronic software applications or tools, for reporting, compliance, and audit purposes.
* Works closely with other staff all working toward departmental goals.
Prioritize workload while being flexible in order to meet the daily operational expectations.
* Certify and order loans and grants * Run multiple reports to maintain accuracy and timely receipt of funds * Evaluate crossover plans to ensure accuracy before processing aid * Report processing progress and collection projections * Review weekly, monthly and other reports to determine outcomes or solutions.
Reports include: satisfactory progress, dependent overrides, multiple reporting records, Pell decrease, Return of Title IV Funds, non-completion of classes, changes in residency status and others.
* Administrative tasks such as email, filing, report generation, and creation and maintenance of spreadsheets completed in a timely manner.
Assist in office by answering phones, working at the front desk or handling paperwork.
* Provide the information and assist in making the final decision regarding student financial aid packaging * Reviews IRS tax data, verification worksheets, and any other required documents.
* Represent the department at special events such as high school college nights, orientations, financial aid workshops, financial literacy workshops, etc where financial aid presentations may be given.
Create and conduct presentations concerning financial aid to diverse groups, both on- and off-campus.
In coordination with Student Orientation and Student Relations, conduct financial aid presentations to assist in the recruitment of students.
Presentations may be required evenings and weekends.
* Ensure proper notification to both students and the Accounting Department for Return to Title IV calculation amounts.
* Meet with financial aid recipients who may be required to sign contracts for Satisfactory Academic Progress and Continuation of Funding.
* Collaborate with the Admissions Director and attend weekly status update meetings to review prospective student concerns and barriers to enrollment.
* Establish and maintain positive relationships with the student and family from initial contact as a prospective student through graduation.
* Communicate effectively and professionally with appropriate contacts for the student such as high school counselors or administrators, parents/guardians or other family members, and adhere to the Family Educational Rights & Privacy Act (FERPA) regulation.
* Direct the student in applying for private loans and, if approved, certify private loans for distribution to the student’s account.
* Provide entrance and exit counseling within appropriate time frames * Performs other miscellaneous duties as assigned.
