General Purpose Performs a variety of duties as required to assure proper student registration and record keeping.
Assists instructors with clerical tasks.
Job Focus Completes student registration process; reviews records for accuracy and completeness; prepares student’s schedules and enters required schedule changes.
Collects hard copies of student records to be sent to Main campus for permanent storage in student files.
Produces, and notarizes promissory notes from inmates as required by Corrections contract.
Serves as primary point of contact for all student records requests at UDC and JJS facilities as designated in the contract.
Prepares reports as required by the Corrections Program Coordinator, Faculty or designated Corrections Officials.
Troubleshoots student registration problem; checks schedules and data not appearing on roll/record; and makes corrections.
Assists students, faculty, and UDC and JJS personnel with obtaining copies of schedules and/or progress reports.
Assists teachers with information needed.
Operates computer to perform various secretarial duties; creates letters, memos, correspondence; prepares spreadsheets; performs desktop publishing and special projects.
Responsible for data entry of student information as requested by instructors including student rolls, student scheduling, graduation.
Additionally, collects and maintains student recidivism report.
Goes to inmate blocks to present orientation information and completes enrollment process.
Prepares orientation packets for each program.
Provides all registration documents and materials to prospective students at orientation.
Administers entrance tests per UDC and JJS policy.
Monitors student placement for each program offered with JJS and UDC.
Performs quarterly analysis of graduated student outcomes.
Determines if graduates are working in their field, reincarcerated or working in another capacity.
Provides enrollment information for tutoring and literacy courses.
Enrolls students in courses.
Assists students with schedule changes, absences, promissory notes, withdrawals.
Prepares graduation lists and assists program manager in planning graduation ceremonies.
Maintains ongoing reporting of student progress and placement to Utah Department of Corrections and Juvenile Justice Services.
Assists with time card approval and approval of time off requests in absence of manager.
Compiles student data provided to UDC each month (grades, student ratings, attendance, and capacity reports) Performs other related duties as required.
Minimum Qualifications Graduation from High School Six (6) months of specialized training in secretarial skills; computer operation and general office practices and procedures; record keeping or other related field.
One (1) year of responsible experience performing related duties; or an equivalent combination of education and experience.
Must have or obtain current notary public certification.
Requires working knowledge of general office procedures and practices; working knowledge of filing systems and telephone etiquette.
Strong skills in operation of various types of office equipment, computer applications and programs, including word processing and spreadsheets.
Ability to communicate effectively.
Ability to develop effective working relationships.
Ability to work independently and manage work assignments in a high interpersonal contact environment.
ability to deal effectively with stress caused by workload, time deadlines, and student issues.
