📊 Order to Cash Improvement : DMAIC -Reducing Daily Sales Outstanding Phase 1 - Define: 1) Problem Statement: DSO was 60 days, 20 days longer than the industry benchmark, tying up $1.2 million in capital each quarter and straining customer relationships. 2) Goal & Timeline : 60 to 45 days in 3 months, and 42 days in 6 months 3) Business Impact: Improved cash flow, releasing $6M 4) Customer Impact: Clearer payment terms, improving customer experience 📐 Phase 2 - Measure: 1)Baseline DSO: 60 days. 2) Sigma Level: 1.8 Sigma. 3) Invoice Error Rate: 25%. 🔍 Phase 3 - Analyze: Key quality tools used to identify root causes: 1) Fishbone Diagram: Showed human errors, lack of automation, and communication gaps. Example: 30% of delays were due to incorrect customer data. 2) Pareto Chart: 80% of delays from 20% of invoices, guiding focus on critical issues. 3) Hypothesis Testing: a) 2 sample t-test showed invoices with errors were delayed by 15 additional days. b) Regression Analysis: Each day’s invoicing delay added 1.5 days to DSO. 🚀 Phase 4 - Improve: 1) Automation: Introduced software to reduce errors and speed up invoicing. Result: Errors dropped from 25% to 10%. 2) Process Redesign: Streamlined invoicing, ensuring accurate data entry and standardized templates. 3) Mistake Proofing (Poka-Yoke): Added validation rules to avoid data errors. Example: Error rate decreased by 40%. 4) Automated Follow-ups: Reminders at 30, 45, and 60 days, ensuring timely collections. ✅ Phase 5 - Control: 1) Control Charts: DSO and error rates were tracked using IMR charts. 2) SOP : Documented processes ensured consistent application moving forward.
