Introduction
Hospitals deal with the life and health of their patients. Good medical care relies on well-trained
doctors and nurses and on high quality facilities and equipment. Good medical care also relies on
good record keeping. Without accurate, comprehensive and up to date and accessible patient
notes, medical personnel may not offer the best treatment or may in fact misdiagnose the
condition, which can have serious consequences.
Hospital management system is a computerized system designed and programmed to deal
with day to day operations taking place. The purpose of project entitled as the ‘Hospital
Management System’ is to computerize the front office Management of hospital to develop
software which is user-friendly, simple fast and cost effective. It provides the benefits of
streamlined operations, enhanced administration, control, superior patient care, strict cost control
and improved profitability. HMS is powerful, flexible, and easy to use and is designed and
developed to deliver real conceivable benefits to hospitals. More importantly it is backed by
reliable and dependable support. The project ‘Hospital Management System’ is based on the
database, object oriented and networking techniques.
Hospital management system is a project which aims in developing a computerized system to
maintain all the information of hospital entities. It has a faculty of admin login through which the
admin can monitor the whole system. Admin modules are manage patients, manage doctors and
staffs, and manage appointments. Our project Hospital Management System includes registration
of patients, storing their details into the system. The Hospital Management System can be entered
using a username and password. It is accessible either by an administrator or receptionist. Only
they can add data into the database. The data can be retrieved easily. The interface is user-
friendly. The data are well protected for personal use and makes the data processing very fast.
The project is based on the database, object oriented and networking techniques. As there are
many areas where we keep the records in database for which we are using MY SQL software
which is one of the best and the easiest software to keep our information. This project uses
HTML, CSS, Javascript, Bootstrap as the Front-end software and uses php and MYSQL for
backend and database purposes.
Overall this project of ours is being developed to help the hospital administration, maintain the
hospital administration, maintain the hospital management in the best way possible and also
reduce the human efforts.
2. Problem Definition
In this busy world we don’t have the time to wait in infamously long hospital queues. The
problem is, queuing at hospital is often managed manually by administrative staff, then take a
token there and then wait for our turn then ask for the doctor and the most frustrating thing is we
went there by traveling a long distance and then we come to know the doctor is on leave or the
doctor can’t take appointments.
HMS will help us overcome all these problems because now patients can book their
appointments at home, they can check whether the doctor they want to meet is available or not.
Doctors can also confirm or decline appointments, this help both patient and the doctor because
if the doctor declines’ appointment then patient will know this in advance and patient will visit
hospital only when the doctor confirms’ the appointment this will save time and money of the
patient.
3. Objective

The main objective of this project are as follows:

 Manage the records of patients, doctors and appointments.


 Reduce the paperwork and provide the 24*7 accessible website with user-friendly GUI to
manage the records.
4. Research Methodology
During my research I decided to use the waterfall model this is due to its simplicity and user
friendliness.
The waterfall model is a sequential design process used in software development process, in
which progress is seen as flowing steadily downward through the phases of requirement analysis,
system design, implementation, testing, deployment and maintenance. These approach was first
SDLC model to be used widely in software engineering to ensure success of the project. In
waterfall model, the outcome of one phase acts as the input for the next phase sequentially.
Several fact-finding techniques have been used in the preparation of designing and developing
the HMS.
I went to the hospital and observed the daily operation regarding their current system and they
were manually recording the patient’s records as specified by the receptionists, doctors. A follow
up was made to determine the time it took to carry out the patient record management. I observed
the system’s weakness it was vulnerable to errors.
As an analyst I tried to examine some of the professionals, institutions, patients and doctors even
the consultants so as to determine the challenges they face with the current systems and features
which they would like to be incorporated. It helped me to find some user requirements and their
suggestions and recommendations concerning the design of the proposed system.
By administrating questionnaires to all the professionals in prospected field I am being able to
get several answers from some of my respondents. The questions have been in the form of open-
ended and have been in line with the group and the needs of the group. Finally upon collecting
all the responses from my concerned people or groups I am in a substantial position to know my
user requirements which led to the design of a prototype which will comprehensively cater for
their needs upon completion.
4.1 Related Work

Hospitals currently use a manual system for the management and maintenance of critical
information. The current system requires numerous paper forms, with data stores spread
throughout the hospital management infrastructure. Often information is incomplete or does not
follow management standards. Forms are often lost in transit between departments requiring a
comprehensive auditing process to ensure that no vital information is lost. Multiple copies of the
same information exist in the hospital and may lead to inconsistencies in data in various data
stores.
I have done some research and case study on existing Hospital management system up to date till
now and I have found some of a system known as Apollo Hospital management system. The
system was developed by Amalgam in 2012. However they faces difficulties with this system
when it comes to information input causing the great deal of frustration for the hospital staffs.
The system was not user friendly as the design of the interfaces are more complex to the new
users and the main disadvantages was that it was time consuming. The other one is East Gate
Hospital management system that was developed by Mr. kemoi on august 2010. After using this
system for a while staffs started experiencing some challenges. The challenges that hospital
experienced were limited data entry, less security, not user-friendly, consumes large volume of
paperwork.
5. Proposed work

The proposed software product is the Hospital Management system (HMS). The system will
be used in any hospital, clinic, dispensary or pathology labs. The system software is user-
friendly. The main objectives of the system is which shows and helps you to collect most of the
information about Hospitality and Medical Services. The purpose of the system is to reduce
compensation over time and increase the number of patients who can be treated with precision.
The system is very simple in design and easy to implement.
The procedures or approach we will be using for this
1. This system contains login form, patient registration, doctor registration.
2. It will allow patients to edit their information like patient name, address, diseases that they are
suffering from etc.
3. Patient can book appointment and can check the appointment history
4. The admin will have access to manage overall details like managing doctors, staffs and patient
details and appointment details.

5.2.1 Economical Feasibility


We have all the resources available for the creation of project that were easily available via web
platforms.
5.2.2 Technical Feasibility
The algorithms which are to be implemented or required is easy to implement and widely used
providing easy task and handling. Thus this project is technically feasible.

5.2.3 Schedule Feasibility


The project is based on based on the database, object oriented and networking techniques. We
have an appropriate schedule and enough time to complete this project on time. 

5.3 Implementation
Following are the tools and languages we are going to use for the implementation:

5.4 Testing and verification
After the creation of base system or model, we will deploy the files on a free deployment platform. The
testing activities will performed on a webserver on a local server or a node-server on a local computer.

5.5 Expected Result


We expect the following outcome after the model is built:

1. The model will able to give access to both doctor and patient to login and signup.
2. It will be able to manage and hold the record of patient, doctors and staffs as well as activities
3. It will be possible to access all the data related to a patient via a system by the means of a few
simple clicks.
4. Patient will able to book online appointment for the particular doctor.
5. Doctor will be able to manage the appointment according to their schedule.
