Chapter 02: Overview of the department
2.1 Introduction of the Department:
The Account opening department deals with all the account which have been opened or in
process. This department is in charge to open accounts of corporates, individuals, students,
farmer and many other. If any customer account is deactivate then our department will be
responsible for to resolve that issue. Customer want to know there available balance in account
then they contact through our department. All of bank daily voucher will be printed through this
department. If any customer need their account statement than contact to this department.

Operation in charge responsible for general banking which includes Remittance, Clearing, Cash,
Account opening, and general information.
Supervision
Operation in charge supervise certain limit (25 thousand) all kind of Claques. Cash in hand and
in accounts various currency i.e. US $, Euro, Yen PKR etc. maintenance daily record. Operation
in charge is also responsible for all kind of matter concerning to the general Banking.

 REVIEW OF THE VARIOUS DEPARTMENTS:

Working of the Bank divided between various departments. Different


departments do their jobs in occurrence with the bank policies. In AKBL each branch is
divided into various departments. Head of department manages each department &
officials of the branch follow procedures. The working of the Department within branch
is as:

2.3 Details of employees working in the department:
 Hassan Saeed Khan(Branch Manager)

The Branch Manager is responsible for the administration and efficient daily operation of full
service branch office, including operations, lending, product sales, customer service, and
security and safety in accordance with the Bank's objectives. Develops new deposit and loan
business; provides a superior level of customer relations and promotes the sales and service
culture through coaching, guidance and staff motivation; achieves individual and branch sales
goals through new business sales, referrals and retention of account relationships. Provides
leadership, training and supervision; delegates day to day operations to the Operations Officer
or other branch personnel. Responsible for attaining established Bank and branch goals through
active participation in sales management and officer call programs. Participates in community
affairs to increase the Bank's visibility and to enhance new and existing business opportunities.

Job Description:
o Manage all the employees which are working in the organization and all of
resources.
o Developing and attaining sales goals of the branch.
o Delivering customer service, and growing the location's revenues
o Managing the day-to-day operations of a bank or financial institution's branch.

 Rizwan Naseer (Branch Operation Manager):

The branch operation manager is liable for the everyday tasks of a monetary organization
branch. This incorporates directing tellers, advance officials, and client support agents;
guaranteeing that all branch strategies and methods are followed; and guaranteeing that
the branch meets its monetary objectives.
Processes.
An activities administrator is liable for executing and keeping up with the cycles that an
association utilizes. This incorporates programming and different projects that the association
uses to work consistently.
Work force.
HR is a major piece of tasks in any association. As a tasks director, you will either be
regulating the HR division or working near assist with addressing faculty issues.
Stock. This is particularly valid for a tasks chief who works in retail or for a business that sells
explicit items.
Financials.
Bookkeeping and funds are one more huge piece of an activities division. Like HR, you
will either be administering the bookkeeping division or working near audit financial plans,
income development, and productivity.
Announcing.
A tasks administrator is liable for covering how the business is working and whether the
carried out cycles and approaches are working or need changes

Job Description:
o Ensure all processes are followed as per Branch Operations, Foreign exchange
manuals & KYC/AML policy; while ensuring Compliance and TATs are met as
per Service Level Agreement between departments.
o Ensure, manage and supervise over the counter services in the branch to achieve
timely and accurate processing of customer requested transactions and customer
complaints, while ensuring service delivery is as per the prescribed standards
and SLAs between the functions of the bank.
o Ensure all trade business are managed and supervised by following procedures
to ensure adherence to the bank’s risk and compliance policies. (wherever
applicable)
o Ensure that all regulatory reporting are submitted on timely basis to  avoid non-
compliance at all levels.
o Supervise and ensure compliance with Money Laundering and terrorist financing
regulations and Know Your Customer Guidelines, while regularly reviewing
KYC status, customer profiles, conduct risk assessments, authorization of
transactions on a daily basis, to ensure that the branch conducts its business
following the required system/ process flow to counter money laundering and
terrorist financing.
o Provide guidance and recommendations in order to support the resolution of all
customer cases to improve overall customer experience.
o Management of variable cost factor pertaining to branch operations and to
maintain the cost at minimum level and within budget to ensure branch
efficiency.
o Facilitate growth in business and strengthen Bank by ensuring customer
satisfaction, actively participate for retention of deposits, identify and follow up
on cross sell leads along with the branch manager in order to strengthen the
liability position of the bank
o Responsible for reconciliation of Inter Branch Transaction Supervision /Cross
Branch Transactions, Internal Control and branch outlook and ambience by
properly maintaining branch furniture’s/ fixtures/ IT equipment to effectively
support the front-line of the branch
o Ensure all processes are performed as per bank policies to achieve best
satisfactory audit ratings in internal, external and SBP audits.
o Hold the custody of cash vault, security stationery and ATM, while acting as
branch security officer by conducting security drills and alert staff, in order to
remain vigilant and maintain security
o Lead the branch Operations team to set individual objectives, review
performance appraisals and provide on-going feedback on a formal and informal
basis so that all staff are aware of what they are required to achieve and how
they are performing against their objectives.
o Ensure implementation of a transparent and effective KPIs setting and appraisal
process in time with local and regional guidelines.

 Yasir Nawaz (Account Opening Officer):

Their duties include recording transactions, payments and expenses and processing


invoices. They also send out bills and invoices, follow up on overdue payments and
ensure that a company's invoices and payments match up correctly by cross-checking the
original document to the company's record

Job description:
o Creating and processing invoices
o Cross-checking invoices with payments and expenses to ensure accuracy
o Managing a company’s accounts payable and receivable
o Sending bills and invoices to clients
o Tracking organization expenses
o Processing refunds 
o Working with collection agencies on overdue payments
o Communicating with clients regarding billing and payments
o Execute CIFs and accounts related operations accurately and on a timely manner.
o Ensure having complete and proper CIF and KYC required documentation
according to bank procedures.
o Coordinate with Compliance and Legal divisions for any case that may require
legal or compliance approvals.
o Execute any required non-financial data cleansing tasks
o Ensure all CIFs original documents are received from concerned branches and
timely delivered to archiving unit for E-archiving and filling a purpose
o Identify, manage, mitigate and report all potential types of risk related to the
mentioned scope so to avoid any deviation to regulations and policy.

 Hassan Raza Bloch(Cashier):

Cashier, is responsible for processing cash, debit, credit and check transactions using a cash
register or other point-of-sale system in a retail environment. Their duties include balancing the
cash register, making change, recording purchases, processing returns and scanning items for
sale.

Job description:

 Interact with customers and receive payment in various forms including cash,
checks, credit cards, gift cards, and vouchers.
 Complete other financial transactions for customers such as issuing receipts,
completing refunds and exchanges, and returning change or credits as necessary.
 Communicate effectively and professionally with customers by greeting people,
answering questions, providing information, assisting in transactions, and
resolving complaints according to standard policies.
 Utilize various devices such as point-of-sale systems, credit card readers, cash
registers, and calculators to tabulate bills, calculate change, and create receipts.
 Use paging systems as necessary to communicate with customers, call for
assistance, and provide important information.
 Clean and maintain checkout areas and organize cash drawers, price sheets, and
informational signage.
 Mentor, train, manage, and oversee junior cashiers as necessary by providing
assistance during customer interactions, verifying prices, and acting according to
store policy.
 Maintain checkout equipment by completing frequent cleaning and restocking of
cash and receipt paper, and communicate with technical personnel when
necessary to facilitate repairs and upgrades.

 Adil (Cashier):

Cashier, is responsible for processing cash, debit, credit and check transactions

duties include balancing the cash register, making change, recording purchases,
processing returns and scanning items for sale.

Job description:
o Processing deposits and withdrawals
o Introducing new members to the banking platform and software
o Performing regulator account maintenance
o Opening and closing accounts as required for members
o Dealing with customer inquires 
o Performing general administration tasks
o Helping customers with loan and mortgage applications
o Operating both the UK and overseas currency tills
o Using banking software to update account information

 Peon:
Job description:
o He should assist in any office work as may be required of him.
o He should refill the water bottles for use by the officer or staff if so required.
o He should be aware of all the stationery and other requirements required in a meeting
hall.
o He should keep the office tables, chairs, almirahs, windows, book-shelves, cubicles and
cabin clean and tidy.
o Before leaving the office, he should check if all the systems are switched off, lights and
fans are switched off, doors and windows of the cabinet are closed.
2.4 Functions of Account Opening Department:
o Providing account opening form according to the customer's

o Guide the customer about the requirements of the account opening

o Check the forms whether they are correctly completed or not,

o Stamping on the form,
o Maintaining account opening register,
o Pasting of forms in register after release from general banking in
o charge,
o Issuance of cheque books,
o Issuance of accounts maintenance certificate,
o Closure of account
o Verification of signature in case of cheque presented before releasing
of account opening from SS card is not yet scanned

2.5 SWOT Analysis of the department:

 Specialists working in the Account opening division are serving to one another.

Opportunities

 It can be an opportunity for ABL to introduce ATM also as a credit card which
will invite a different segment and which will improve profitability. They can also cut
costs in this way.
 Increasing need and potential of leasing an opportunity to utilize its skills and
efficiencies in leasing business as well.

Threats

 Unencrypted data. Along with unprotected mobile applications, unencrypted data is


a massive threat.
 Malware.
 Vulnerable third-party services.
 Manipulated data.
 Social engineering.
