DESTINATION SERVICE BRIEFING CALL SCRIPT

INTRODUCTION

 First things first allow me to congratulate you on your relocation to Dubai,

United Arab Emirates. I hope you find Dubai as enjoyable as most people

here do.

Use rapport building statement, for e.g.: ‘I’ve been here for 4 years and I

absolutely love the cultural exposure one has due to the varied mix of

people’. Feel free to use your own experience.

 My name is ………. and I work with Move One Relocations. On this call I will

run you through the scope of services authorized for your move to Dubai

from ‘Insert assignee originating location’. I also want to mention that this

call will take about 40 to 50 minutes as we go through your housing

requirements along with other necessary details so please do bear with me.

At any point during the call if you’d like any clarifications please do not

hesitate to stop me and ask your questions.

 If applicable : We partner with ‘Insert Global mobility Partner/Local Client

Name’ to assist you with your relocation. ‘Insert IAC Name’ will be

managing the process closely and will act as your liaison between your

‘Insert Global mobility Partner/Local Client Name’ and Move One.

 My role as your regional destination coordinator will be to instruct and

coordinate the services that have been authorized by ‘Insert Global mobility

Partner/Local Client Name’ as part of your relocation.

 I am office based in Dubai and will be handling all the day to day tasks

around your relocation.

 Our on-ground Destination consultant, ‘Insert On call Destination consultant

name’ who is present on this call is field based and will accompany you

during the Services. He/She is available to provide you the service during the

week between Sun and Thu from 8.30 until 5. The authorized services have

to be booked in the mentioned window. Any exception to that will need

approvals from the ‘Insert Global mobility Partner/Local Client Name’

 ‘Insert On call Destination consultant name’ will contact you directly for all

the authorized services and I will be working closely with her/him to ensure

smooth delivery.

 Introduce the on call destination consultant to assignee and have him/her

say a few things about themselves to all on the call.

 When the call is back with you in focus : If at any time you feel that your

needs are not being met, please contact me directly, as my role is to ensure

that you receive excellent service from move one relocations.

 (If Destination Consultant not assigned) - In due course, I will inform you of

your assigned destination consultant’s details.

SERVICES

 Let me walk you through the authorized services for you. They are: ‘Mention

only the authorized services from the below list’

·         Home Search

·         Settling in

·         School Search

ORIENTATION

Our orientation tours are designed to give you an insight to living in Dubai and

we customize them to meet your individual requirement. I have made note of

some of things you’ve mentioned on the questionnaire. Please keep survery

details handy for reference.

 In a typical orientation tour, we would add the following places of interest


including the places you’ve mentioned on the questionnaire :
 Hospitals/Clinics/Pharmacies; If you can let us know your insurance provider, we
can show you some Health clinics covered with the provider.
 Public transportation and Taxi/cab options.
 Shopping options (supermarkets, grocery stores, malls, top furniture brands,
kids supplies stores etc)
 Notable banks to choose from

 Sample Properties to give you an idea of current availability and a general show
of residential areas to choose from
 Parks, beaches, Sport facilities/expat clubs/kids activities, place of worship,
Fitness centers, Gym etc

 If there’s anything in particular you would like to visit during the tour please let

us know so we can include it in your orientation tour.

HOME SEARCH

This program enables you to source a suitable accommodation in accordance

with your personal preference, budget and corporate policy.

Along with the home finding service we will also facilitate the preparation and

signing of your property lease and manages all move-in formalities.

 Allow me to explain the process to you:

 Introduce 1Step Properties – 1Step Properties is our Global supply chain that

helps us source reliable and vetted properties and ensures we are compliant

with Dubai real estate laws and regulations.

 Based on your requirement which we will discuss shortly, our property

coordinator along with the destination consultant, will research properties and

prepare an Itinerary with all relevant information for you to view. This will be

sent to you 24 hours before the actual home search for your review and suggest

any changes if any.

 On the itinerary, we will provide you with the details for each property you will

view based on the information available. Please be aware that this information

may not be 100 % accurate and we can only confirm this during the actual

viewings.

 On the agreed date, your consultant will meet you at your hotel to take you on

your home search tour.

 She will hand you the Welcome Pack which will contain relevant information as

part of your orientation to Dubai and its processes about Renting and settling in

the country.

 He/She will advise you on location of the properties on the tour and the

proximity to your office, School (if assignee is joined by family on the

relocation),

 At the end of the day, whilst dropping you back to the hotel, your consultant will

request for your feedback to make appropriate changes to subsequent viewing

schedules.

 Once the property has been chosen - On your behalf, we will negotiate

depending on the market conditions at the time, to ensure the lease agreement

works in your best interest.

 We will review the lease to ensure all clauses are appropriate and in line

with the legal requirements and ensure that all the agreed terms with the

landlord are incorporated into the lease.

  We will advise you on the payment terms that are a standard in Dubai

 We will also coordinate the lease signatures and rental payments.

 If Settling in service is authorized We will also apply for all the utilities in the

property on your behalf once we have all the signed documentation and the

deposit requirements from you.

 Once the offer has been accepted and necessary documentation in process

we will conduct an Inspection of the property to make a list of pending/required

changes in the property to ensure the property is handed over in excellent living

conditions.

 We will also arrange with the property representative/landlord to effect

necessary repairs and indicate a timeline for completion before the handover of

the property.

 On the day of the handover of the chosen property we will conduct a final

walk through of the selected property to identify any pending tasks if any and

also make note of state of property received for the record so you may also be

prepared accordingly at the time of eventual departure from the property.

SCHOOL SEARCH

 As part of the school search, based on the information provided, your

consultant will provide you the list of potential schools for your children. He/She

will contact school(s) to determine availability for the upcoming term. He/She

will arrange and coordinate interviews and school tours and accompany you to

school visits.

 He/She will advise and assist you with school registrations and do the

timely follow up with the schools on your application. We will support you till you

finalize a school for your child/children

 We do understand that getting your children/child into a School is definitely a

priority for you. Please be aware that a lot of the schools have a long waiting

list. Should your first preferred school not have a placement in that term, we

recommend you look at and consider other school options which have the

waiting list open. Of course, we know that it may not be your preferred option.

However, there is never a guarantee of school placement and it will depend on

space availability. It is best to consider all options now. We will provide our full

support so you may be able to enroll your child/children in the school of choice.

Additional information if needed, to be shared with the assignee –

With most of the schools, if the applicant meets school's admission criteria

and no space is available at the time, the student is placed on the waiting list

until a space becomes available. Once a vacancy is confirmed, an

appointment is scheduled for the student to appear for the entrance exam.

Upon successful passing of the exam, the student is officially accepted. 

The best way to really find the appropriate school and determine if it will be

the right learning environment for your child is to actually visit the school.

Most schools welcome visits from prospective parents throughout the year.

So once you arrive in Dubai we can arrange some school visits for you,

subject to their availability for tours.

SETTLING IN SERVICES

As a part of this service the Move One Destination coordinator reviews all

aspects of settling in as required within the authorized time

The scope of work would include:

 Assist you with your utility set up  

 Assistance with transfer of your Drivers’ License, in case it is not

transferable; we can help with your enrollment to a driving school.   

 Assist and accompany with the opening of your bank account 

 Neighborhood familiarization information  

 If you need an area tour, we can provide you the same which would include

Shopping, dining, exercise information and review, Medical facilities 

 If you require any additional the support or if there is something that you’re

concerned about that does not appear on the list of things mentioned, please

do let me know and I can check whether if it falls within the scope of the

services and provide the relevant information

CONCLUSION

 Move One represents the service industry and customer satisfaction is our

number one priority. You will receive an evaluation form from ‘Insert RMC

name’ (mention only if applicable) once all our services are completed, we

will appreciate it greatly if you could take a moment to complete the

feedback form and share it with us. We also welcome any additional

comments you can offer on your experience with us.

 Our inhouse Quality Assurance person may also call you during or at the

completion of your services to check if everything went as planned.

Pet Transportation or moving your personal effects if you may require those
