Work Related Learning Report
About Us
We are a group of management trainees working for a non-profit organization which specializes
in Soft Skill and Information Technology development in the local community. We are charged
with the responsibility to educate and give experience to the community regarding various
aspects of Soft Skill and IT. We believe that a person with a better knowledge on these fields
will be able to reach his full potential in his or her career. The reason this organization got
founded was because that today’s generation tends to mainly focus their education only on the
hard skills and disregard the value of soft skills. And also, even though almost all of them are
using many computer devices like cell phones, laptops etc. they lack the knowledge and
experience on how to properly operate them and get the full intended use of them. Therefore, as
a solution our organization focus on those soft skill and IT skills of them to guide them for a
better tomorrow.
Mission Statement
To provide IT knowledge and Soft Skills training of exceptional quality to the younger
generation helping them achieve their highest potential and enhancing their personal
effectiveness
The team members that are highlighted on the above table left the management trainee program.
Therefore, they are marked as inactive members of the group.
Summary
As the Group 1 of our Professional Practice subject we planned to organize a soft skill and IT
training session for the students who are doing the diploma program at Esoft Kandy. This was a
one-day program which was held at the Esoft building. The purpose of this program was to
improve the communication and leadership skills of the students and to improve their knowledge
on how to handle cyber threats.
As the first project of our organization we decided to hold a Soft skill and IT training session for
the students who are doing their diplomas at Esoft Metro Campus Kandy. This will be a one-day
training which will be held during the morning and afternoon hours. Participants were provided
with learning materials and refreshments. The number of participants was decided as 5 – 10. The
training was held on 13th of June 2019 from 9.00 am to 1.00 pm. At the end of the session all the
participants were awarded with a participation certificate.

Interpersonal Skills
Interpersonal skills can be identified as s set of traits a person relies on when interacting and
communicating with others. They cover a variety of scenarios where communication and
cooperation are essential[ CITATION Ind19 \l 1033 ].
Interpersonal skills involve the ability to communicate and build relationships with other people.
They are often referred to as “People Skills” and “Employability Skills”[ CITATION Ind19 \l
1033 ].
They are referred to as people skills because they incorporate both your natural personality and
how you have learned to handle certain social situations[ CITATION Ind19 \l 1033 ].
They are referred to as employability skill because they can help a person through their job
interview process and have a positive impact on his or her career[ CITATION Ind19 \l 1033 ].
Most managers deem them as a crucial set of skill that are required by an employee[ CITATION
Doy19 \l 1033 ].
Interpersonal skills include a wide range of skills such as,
Transferable Communication Skills[ CITATION Ski19 \l 1033 ]
o Verbal Communication
o Non-Verbal Communication
o Listening Skills
Team Working[ CITATION Ski19 \l 1033 ]
Conflict Resolution and Mediation[ CITATION Ski19 \l 1033 ]
Problem Solving and Decision-Making Skills[ CITATION Ski19 \l 1033 ]
Ability to give and receive unbiased feedback
Being able to work within a team environment
Non-Verbal Communication
Interpersonal communication does not always require the use of meaningful words. It also
includes implicit messages that are expressed through non-verbal behaviors[ CITATION
Ski193 \l 1033 ]. Some of the non-verbal communication behaviors are,
The tone and the pitch of the voice
The gestures displayed through body language
The physical distance between the communicators
The posture
The facial expressions
The eye gazes

Time Management
Time management can be defined as a process of planning and controlling the time spent on
specific activities. Effective time management skills help individuals to complete more tasks in a
shorter time period. It also helps to lower stress and also help to lead to a successful
career[ CITATION CFI19 \l 1033 ].
During the time period of our project it was essential to manage the project within the limited
time frame. Therefore, effective time management skills were needed to go through with the
project. Following are some of the time management methods used during the project.
Setting short term and long-term goals
Managing a calendar
Prioritizing the tasks
When prioritizing the group tasks the Stephen Covey's time management matrix were used to
identify what was important and what was urgent. In his time management matrix 4 quadrants
are used to determine the priority of the tasks.
The following table represents the time management matrix. It serves as evidence to the fact that
time management was done effectively during the project.

Gantt Chart
To manage the time more effectively during the event a Gantt chart was designed and used. It is
a type of chart that illustrates a schedule of a project. It was named after it’s inventor Henry
Gantt. It shows the time relations between each tasks of the project and therefore it makes it
easier to keep track of the project progress.[ CITATION Gan19 \l 1033 ]
Project Schedule
Project scheduling is a mechanism that can be used to identify what are the tasks that need to be
done and how much time needs to be allocated to accomplish those tasks[ CITATION Pro191 \l
1033 ].
The schedule of our group project was represented in the form of a Gantt chart. That Gantt chart
was used as a schedule plan the event and the allocations of time.
Following image shows the Gantt Chart that was used in the planning.
Agenda
To manage the time during the day of the event a plan was implemented in the form of an
agenda. an agenda is a document all the attendees f a meeting or a specific event. It is usually
handed out to the participant before the beginning of the event or the meeting. An agenda is more
than just a list of things to do. It is designed in a way that all the relevant topics will be dealt with
in a god order and time[ CITATION DrB13 \l 1033 ].
The following image shows the agenda that was created to deal with the specific activities during
the day of the event. It serves as evidence to the fact that the event was successfully planned. A
printed version of the agenda was handed out to every audience member during the day of the
event.
Figure 15 Event Agenda
Contingencies
A contingency can be identified as a “Plan B” in case the “Plan A” fails for some reason. It is a
backup plan that will be in place for when things go differently than previously
hoped[ CITATION Wri19 \l 1033 ].
The official Project Management Institute defines it as,
“Contingency planning involves defining action steps to be taken if an identified risk event
should occur.[ CITATION Hei00 \l 1033 ]”
It is a predefined actionable plan that will be enacted if a preidentified risk becomes a reality.
They are mainly used for the purpose of risk management[ CITATION Wri19 \l 1033 ].
The following table represents the problematic future events that could occur during the event
day and proposed solutions for those problems. In other words, it is a contingency plan for the
day of the event. It serves as evidence to the fact that the planning of the event was successful.
Problematic Future Events Solutions for Problematic Future Events
The delayed attendance of the audience on the day Delay the start of the event by a maximum of 10
of the event minutes. Then start the event regardless of the
number of audience members present.

The Evaluation
In the following section of the document the effectiveness and the application of interpersonal
skills during the design and the delivery of the training event will be evaluated. Evaluation can
be described as a systematic assessment of a design, implementation or results of an initiative for
the purpose of learning or decision making[ CITATION Can14 \l 1033 ].
For the evaluation process the feedbacks taken during the event will be used. The evaluation will
be done separately for the IT and Soft Skills because feedbacks were also taken separately.
Evaluation IT
Following are the questions that are included in the feedback form.
1) The program was useful for the practical life.
2) The program organizers handled the presentation efficiently.
3) The presenter was knowledgeable in the respected field.
4) The duration was not capable.
5) The accuracy of the content was questionable
The 4th and 5th questions of the feedback form are negative questions. Therefore, those feedbacks
will be converted into positive before evaluating.
The following set of images show 6 feedback forms collected during the IT session of the
training event.

is 80.83 %.
According to the overall success charts of both the IT and soft skill sessions the overall success
of the entire event is 59.66%. Therefore, this can be identified as a successful training event.
Problem Solving
There are 5 main steps when it comes to problem solving using critical thinking. This 5-step
approach can be taken in all problems. Using this technique will help to manage the project more
effectively[ CITATION PRO19 \l 1033 ].
Following are the 5 steps of the problem-solving method.
1) Defining the problem
2) Determining the causes for the problem
3) Generating ideas for solutions to the problem
4) Selecting the best solution available
5) Take action on the selected solution
Solution Methodologies
A solution methodology is a way to prepare for future problems that might occur. Basically, it is
an action plan on how to act and what to do if a specific future event. It describes how to handle
the situation efficiently and the things that are supposed to be done in an unexpected situation.
Following is an example for a solution methodology.
E.g.: - In most of the buildings there is an exit called as the “Fire Exit”. This exit is designed to
be used in case a fire starts inside the building. Various places in the building is marked
with signs that will lead a person to the nearest exit in case of a fire. And also, some
building has fire hydrants in place to use in an accidental fire. They are placed at multiple
places in the building. This can be taken as a great example for a solution methodology.
The following table shows some of the solutions that were placed when planning and designing
the event.
Unexpected Future Event Solution Methodology Placed
If an unexpected event regarding the project occurs Immediately have an emergency meeting and
discuss how to handle the situation
If for some reason the target number of audiencesTake students from an available batch at Esoft and
did not attend continue with the planned event
If a member of the audience or the group gets sick Have an emergency medical kit nearby. If the
during the event condition gets worse take the person to the nearest
hospital.
If 2 members of the team have opposite point of Ask them to diced by themselves. If they can’t
views on a group matter resolve the issue by themselves conduct an election
on both their ideas. The idea with the most votes
will win

SWOT Analysis
The acronym SWOT stand for the following things.
S - Strengths
W - Weaknesses
O - Opportunities
T - Threats
SWOT analysis is a useful technique for understanding strengths and weaknesses and for
identifying opportunities and the threats face by an individual or a group of individuals.

Goals
The goals within our group project were defined in both groupwise and individual wise. The
goals are needed for a team and person to be productive. Establishing the right set of goals is
important. The goals have to be motivational, fit individual roles and aligned with the objective
of the project.
Team Goals
The main goal of the team is to conduct a successful soft skill and IT training session.
Goals of The Soft Skill Session
To develop forwardness of students

Table 10 Individual Goal Defining
Goal Evaluation
Every member of the group had groupwise and individual goals to achieve during the project.
The success of the project depended on the fact whether the team members are capable of
achieving their own goals. Therefore, a goal evaluation has to be done to identify either the goals
were achieved or not.
Team Goal Evaluation
A shown in the Overall_Success_Rate_Of_The_Event, the event was successful. Therefore, all
the team goals were achieved. Therefore, this project can be categorized as a successful project
Individual Goal Evaluation
I held 2 important positions within the hierarchy of the group. The position of the “Secretary”
and the position of the “Trainer”. Because of that I also set 2 main personal goals to achieve
before the end of the project. Following are those personal goals.
1) To maintain and possess all the documents related to the activities of the project with
UpToDate information
2) To deliver a quality training session to the participants of the event
As evidence to the fact that my first goal was successfully achieved the following set of images
are presented.

As shown in the above set of images all the documents were successfully managed with
UpToDate information. Therefore my 1st goal is achieved.
As evidence to the fact that my second goal is achieved the following set of images are provided.
Self-Evaluation
Self-evaluation can be identified as a procedure that systematically observe, analyze and value
your own actions and results in order to stabilize or improve it. This can take place on an
individual or on a group level. To self-evaluate means to explore and evaluate your own actions
or work.
Self-Evaluation Methods
Key Performance Indicators (KPI)
Performance Appraisal
Self-Assessments
A performance appraisal can be done at any time. But they tend to be annual, semiannual or
quarterly[ CITATION Inv19 \l 1033 ].
Self-Assessment
A self-assessment is a kind of an evaluation that a person performs on himself. They can help to
get an idea about your skills, achievements, failures, weaknesses and contributions.

Motivational Theories
Maslow’s Hierarchy of Needs
Abraham Maslow was one of the most prominent psychologists in the 20th century. His
hierarchical needs are based on the basic human needs. In their absence nothing else matters. As
those needs are satisfied humans will tend to look for higher order needs.
Two-Factor Theory
This motivational theory is divided in to 2 parts as following.
1) Hygiene factors
2) Motivators
