“Tomorrow is often the busiest day of the week.” – Anonymous
We all deal with a hectic schedule - meetings (some are important others are less), tasks, social events at the kids kindergarten or "just" a rare date with your spouse.
Happily for me, some time ago I was able to work out how OUTLOOK can actually help me easily see my scheduale and with a single glans notice:
- Important meetings (department manager or critical client)
- "Regular" meetings
- Time slots I closed for work on my own
- Private appointments .... Etc
Here is a sample out of my calendar ... all this is done AUTOMATICLY!
This "magic" is done by applying the powers of "conditional formatting" to your calendar though you should note this is a strictly local game so such formats have no effect on the actual meetings\appointments and will not reflect in your cellphone, other PCs you are working on or meetings\appointments other attendees.
Steps
A) Open Conditional Formatting rules dialog box
OUTLOOK > Calendar > View > View Settings > Conditional Formatting > Add > Condition
B) Add rules
Appointments flagged as "private"
Meetings with important attendees (add names in the attendees field)
Time slots reserved for working on my own
Other meetings
C) Order rules
The order of the rules reflects the order they are applied – think thoroughly how you wish to order overlapping rules (here is my choice) and TEST THE RESULTES (i.e - look if your calendar behave as expected)
