It's all in the preparation. Preparation is not just about being prepared as the moderator. It’s also about making sure everyone else is well prepared. This is where most of your planning time is likely to go. You want your workshop to provide value to every attendee, ideally for every moment they are there. Spending the first half-hour talking about the agenda, rehashing material some team members already know, or making sure everyone has information on-hand is a waste. Ideally, everyone knows why they are there, understands the topic, and is familiar with any background information they’ll need. A colleague recently asked me how I manage to keep my sessions running on time, and it got me thinking. Facilitating in front of a large audience can be nerve-wracking, but I've mastered a few strategies that have made a huge impact. Here are some key insights to help you optimise your sessions. 1. Leverage Preparation First Mistake: I once thought I could wing it. Spoiler: I couldn’t. The projector failed, and my notes were a mess. Lesson Learned: Now, I leverage meticulous preparation. I draft a comprehensive agenda with time estimates and share it with participants in advance. I arrive early to ensure a seamless tech setup. There’s nothing like knowing your clicker works and your slides are ready to go! 2. Prioritise Simplicity and Flexibility The Overload Trap: I once overloaded a talk with too much content and ran out of time halfway through. Lesson Learned: Prioritise key takeaways. It's more effective to cover fewer topics deeply than to rush through everything. Leave buffer time for interactive discussions and Q&A. If something runs long, you’ll appreciate the flexibility. 3. Partner with Time Clock-Watcher’s Dilemma: Watching the clock made me anxious and distracted. I’d rush or skip details, worried about time. Lesson Learned: Use a timer strategically, but don’t let it dictate your flow. Rehearse to internalise your timing, and consider having a co-host to keep things on track. Engaging with your audience and staying adaptable makes time management smoother. 4. Continuous Improvement Honest Feedback: After each session, I deploy feedback forms. The candid responses help me identify what resonated and what didn’t. Continuous improvement is key to enhancing your facilitation skills. These strategies have empowered me to deliver sessions that are both timely and engaging. The best part? I stopped stressing and started enjoying the process. Running a session is about crafting a memorable and impactful experience for your audience. So, prep well, keep it simple, and enjoy the ride!
