Power BI with The Financial data! As a financial analyst working in accounting, reporting and analytics are a big part of my responsibilities. We create budgets, forecasts, variances reports, and financial statements to provide key insights and support data-driven decision making. This used to be an extremely manual and tedious process, but since implementing Power BI it has become much more efficient and impactful. Power BI has been a total game changer for accounting and reporting. Connecting directly to our ERP and other systems, Power BI has automated much of the data collection and report creation process. Instead of spending days gathering data and manipulating excel spreadsheets, I can now create interactive reports and dashboards in just a few hours. Some of the key benefits we've realized since bringing Power BI into our accounting process include: Automated data connections save huge amounts of manual effort Drag-and-drop report creation is super fast and flexible Easy to create visualizations like charts, graphs, and tables Reports can be scheduled to refresh and distribute automatically Dashboards provide at-a-glance views of key metrics and KPIs Data modeling allows complex reporting from multiple sources Collaboration with commentary and sharing capabilities With Power BI, I can more efficiently monitor actuals vs. budgets for sales, revenue, expenses, and other financial metrics. We are able to provide departments and execs with self-service access to the latest numbers in a standardized, user-friendly format. The interactive reports allow drilling down to line item details for deeper analysis. By saving so much time on data collection and reporting, I now have better insights faster that allows me to truly analyze forecasts and future business plans versus just spreading numbers. Power BI is now core part of our accounting capabilities. It has made reporting easier, faster, repeatable, and enables us to focus more on strategic analysis. After another late night spent re-keying data, manipulating spreadsheets, and updating reports for a last-minute change, I decided to look for a better way. I found Power Query. In this post, I’ll share how Power Query changed the way I approach my workflow, and how it can do the same for your finance team – transforming the data drudge into efficiency and insight. What Is Power Query? Power Query is an integrated tool in Microsoft Excel and Microsoft Power BI for efficiently gathering and transforming data. It’s free to use in Power BI desktop and you probably already have it in Excel. Why Should Finance Teams Embrace Power Query? If you are juggling with endless spreadsheets, systems that don’t integrate and poorly formatted report downloads, you are not alone. These common obstacles can hinder efficient reporting and analysis. Power Query can help. With the ability to easily connect to multiple data sources, refresh data, and transform data formats, Power Query can revolutionise your routine reporting tasks. 🎯 The Challenge: Identify 1 Way Power Query Can Improve Your Productivity Throughout my experience across numerous organisations, certain problems consistently emerge which lend themselves to a Power Query solution. My top 3 use cases are: 1. Efficient preparation of daily reports Scenario: You prepare reports for the sales team once a week. There is demand for daily reporting, but the manual reporting process takes 2 hours each time. Solution: Connect Power Query to the data source and systemise the data transformation. The data can be refreshed in minutes, saving 2 hours per week, and the sales team can benefit from daily information. 2. Streamline consolidation of budget templates Scenario: The budget process uses an Excel template for each budget holder. You must consolidate these templates to analyse the budget – a task that takes 2 days per budget/forecast iteration. Solution: Connect Power Query to the folder storing the templates and set up the transformation. What used to take days now only takes 1 hour, saving up to 10 days annually. 3. Automate transformation of system generated reports Scenario: Your month end reporting relies on finance system downloads. Using these reports involves tedious manual adjustments – removing poorly formatted headers, splitting columns, filling rows, etc. It takes 1 hour, for each of 3 entities. Solution: By connecting Power Query to the csv file and configuring the data transformation, you can automate this task. The result? 🌟 Financial Data Visualizations: A Game-Changer or Just Another Buzzword? Let’s face it, humans are visual creatures. We’re naturally wired to process pictures and visuals more easily than rows of numbers or blocks of text. This is why financial data visualizations have become such a powerful tool for businesses looking to communicate complex financial information. But here’s the thing: Traditional methods of financial analysis, like poring over endless spreadsheets, are not just time-consuming—they're downright exhausting. Finance teams often find themselves buried in thousands of rows of data, trying to make sense of it all. Sound familiar? 😅 Financial data visualizations turn complex spreadsheets into clear, digestible visuals like dashboards, charts, and infographics. They make it easier for everyone, even non-financial folks, to understand trends, spot opportunities, and make strategic decisions. And let’s not forget visualizations are only as good as the data behind them. If your data is spread across multiple sources and riddled with errors, no fancy dashboard is going to save you. In fact, it might even give you a false sense of security. That said, when done right, financial data visualizations can bridge the gap between finance teams and the rest of the organization. They make it easier to communicate insights, track performance against KPIs, and empower everyone in the company to make data-driven decisions. Imagine having dashboards that allow you to drill down into the nitty-gritty details of your financial performance, all while keeping the big picture in view. Or being able to show your team how a dip in profit margins could signal trouble ahead without making them slog through the numbers. Sounds pretty effective, right? Real Talk: Tools like these aren’t magic wands. They require clean, accurate data and a solid understanding of what you’re looking to achieve. Plus, while financial data visualizations can make complex information more accessible, they should complement, not replace, deep analysis and critical thinking. The Bottom line is Financial data visualization tools are incredibly powerful, but they aren’t without their limitations. They can certainly enhance communication and decision-making, but let’s be mindful not to rely on them blindly. Pain of a Business (Power BI, Excel, Dashboard, and Data) – Part 6 by Suraj Kumar Lohani This series addresses business pain points and offers solutions through expertise. Starting with Manufacturing, I’ll cover FMCG, E-Commerce, Start-Ups, Trading, and Service Industries. How I Transformed a Beautifully Flawed Dashboard into a Powerful Profit-Boosting Tool for My Client In June 2024, I received a call from a client in the USA. She was new to me, but her company had been operating since 2017, meaning they had over six years of data by that point, and their revenue numbers were impressive. They are a manufacturing company. In February 2024, she hired an Excel and Power BI expert to create a visualization report using data available in Excel, with the aim of viewing her reports in Power BI. Given the large data volume, accurate comparisons and analysis were essential. However, in our first online meeting, she showed me the dashboard he had created. It was beautifully crafted, but she was dissatisfied because it didn't provide the insights she needed. To her, all the beautification and appealing design were meaningless without clear analysis. She mentioned paying him a high fee by market standards, but it had been a poor investment since she still struggled to gain the insights she wanted. Consequently, she had to hire someone else to help her understand the dashboard and guide her. After understanding her concerns, I reviewed the dashboard and realized the problem: the focus was on design rather than the data—the core of any report. I redesigned the dashboard, focusing less on visual polish and more on helping her understand the numbers and make data-driven decisions. Drawing on my finance background, I provided additional guidance beyond what she expected, identifying variances in her data. I also advised her on client approach, team management, and productivity. With these changes, she uncovered some fraud (numbers reveal everything) within her organization and saw an increase in sales and net profit margins between August and October 2024. Conclusion 1. Every data analyst should have a basic understanding of finance and accounting to interpret numbers effectively. Directly or Indirectly every data relates to Finance and Accounts 2. As Excel and Power BI experts, we should prioritize data accuracy and insights over beautification and automation (though important, these should come second to data clarity). Our clients are experts in their fields, not in Power BI or Excel.
