Our team attended 100 events last year. We’ll attend over 200 in 2024. Here’s how to combine quantity with quality when you’re attending so many conferences: 📓 Issue field reports for every event 📓 A field report is a simple documentation of every event. When someone on our team wraps a conference, they fill out a short survey about their experience. This helps us remember the most important takeaways from this event. And perhaps most importantly, it serves as a reminder of which events were successes and which ones were duds. 🤝 Right people, right place 🤝 When you’re dealing with high volume, it’s easy to lose sight of the details. At Vendelux, we use our own product. That means we determine in advance (based on data) which team members should attend which event. We look for overlaps between attendees and our current customers & prospects. We plan serendipity instead of waiting for it. 💥 Leverage high-impact activities 💥 There are two ways to attend events: You can show up and hope for the best or do your homework to maximize impact. Of course, we prefer that second option. One of our favorite high-impact activities is hosting satellite events. This means creating an adjacent conference to the main event.  This can be as easy as inviting existing customers or leads to a happy hour. Sure, it takes a little more effort. But in our experience, it tends to deliver an outsized impact. Think outside the box.

Part 2 of how we hosted Toronto Tech Fest with over 10,000+ RSVPs in our very first year with $0 starting budget. 🤩 Vision: From the beginning we wanted to create an amazing experience that could scale and make a huge impact for the community. 🎯 Tactic: Make it incredibly easy for hosts to opt into, and execute, co-hosting their own event 💡 The Plan: Actively help hosts resolve their most pressing issues and create momentum for action. 🗝️ The Secret: There were three main challenges that we found hosts to have: event initiation (theme selection, headcount), venue selection, and promotion. By providing 1:1 consultations and Luma page creation services we helped to resolve event initiation. By building a bridge to local venues over the past year, and sharing those relationships, we helped to resolve venue selection. And by creating multiple channels to reach the community (through our event lists, event calendars, and social media) we helped to resolve promotion. The result is over 255+ co-hosts, hosting over 90+ events during the week. 🥡The Takeaway: Take an active approach with hosts looking to create events at your unconference. As we gear up to gather with industry leaders at TheHospitalityNetwork’s EMEA Stakeholder Conference this week, I couldn't help think about how to make the best out of the events that we attend every year. Some of the best practices I follow for events include: Clear goals - Whether it's exploring new tech trends, meeting potential collaborators, or getting insights on challenges in the hospitality industry. Researching and having a game plan based on the event agenda helps! Conversations - The best insights often come from casual chats! Seek out fellow attendees between sessions or during breaks. A simple “What’s been the highlight of the conference for you so far?” can spark an interesting exchange. Notes - With so much insights and innovations on the floor, it can get overwhelming. I use my phone to jot down ideas and follow-up actions. As a CEO, attending events might seem like a waste of time - "I’m too busy for this!" But is it really about lacking time, or is it about lacking perspective? I am sharing 𝟱 𝗮𝗰𝘁𝗶𝗼𝗻𝗮𝗯𝗹𝗲 𝘁𝗶𝗽𝘀 𝘁𝗼 𝗺𝗮𝘅𝗶𝗺𝗶𝘇𝗲 𝘆𝗼𝘂𝗿 𝗻𝗲𝘅𝘁 𝗲𝘃𝗲𝗻𝘁 𝗲𝘅𝗽𝗲𝗿𝗶𝗲𝗻𝗰𝗲: 1️⃣ 𝗖𝗹𝗮𝗿𝗶𝗳𝘆 𝘆𝗼𝘂𝗿 𝗼𝗯𝗷𝗲𝗰𝘁𝗶𝘃𝗲𝘀 Define what you want to achieve. Is it new connections, industry insights, or potential partnerships? Knowing your goals will help you identify the right events to attend. 2️⃣ 𝗣𝗿𝗲𝗽𝗮𝗿𝗲 𝗶𝗻 𝗮𝗱𝘃𝗮𝗻𝗰𝗲 - Research who’s attending - Identify key topics and sessions that align with your goals - Make a list of speakers or attendees you’d like to meet, your future advisors, collaborators, or clients might be there 3️⃣ 𝗢𝗽𝘁𝗶𝗺𝗶𝘇𝗲 𝘆𝗼𝘂𝗿 𝗱𝗶𝗴𝗶𝘁𝗮𝗹 𝗽𝗿𝗲𝘀𝗲𝗻𝗰𝗲 Update your social media profiles (especially your profile picture) to make a great first impression. A polished digital presence can open doors before the event even begins. 4️⃣ 𝗘𝗻𝗴𝗮𝗴𝗲 𝗮𝘂𝘁𝗵𝗲𝗻𝘁𝗶𝗰𝗮𝗹𝗹𝘆 - Be open to meaningful conversations - Ask insightful, relevant questions - Share your experiences and listen actively to others’ stories - Seek inspiration from different perspectives 5️⃣ 𝗙𝗼𝗹𝗹𝗼𝘄 𝘂𝗽 𝗽𝗼𝘀𝘁-𝗲𝘃𝗲𝗻𝘁 - Connect with the people you met on LinkedIn or other platforms - Share your key takeaways with your network and your team - this can turn the event into a transformative learning experience - Keep the conversation alive by nurturing the relationships you’ve built 👉 The truth is, the value you get from events directly reflects the passion and energy you invest: it isn’t about attending, it’s in how you prepare, participate, and follow up. Maximize Your Web3 Conference Experience! 💡 EthCC in Brussels just wrapped up, and more conferences are on the horizon. After three years of attending countless web3 events, I've noticed many people approach these conferences inefficiently. Here are my top hacks for making the most out of web3 conferences: 1. Skip the Main Conference: Contrary to popular belief, attending the main conference isn’t always essential. Most high-profile attendees don’t show up, and the main venue often feels empty. Focus on the side events instead. If you have a booth, avoid placing senior managers there unless it’s a prime location. 2. Embrace Side Events: Side events are where the real action happens. Sometimes there are over 300 side events in a week, and you may need to register weeks or months in advance. Here’s how to manage this: ✅ Step 1: Bookmark events based on your interests and potential partners. ✅Step 2: Hire a personal assistant to handle registrations. This costs $30-50 but saves hours. ✅Step 3: Prioritize events and list the people you want to meet. ✅Step 4: Add target companies to an automated LinkedIn drip campaign and schedule meetups. ✅Step 5: Attend the events but be ready to leave if they aren’t valuable. 3. Schedule Strategically: To avoid social exhaustion and wasted time, schedule meetings with partners and clients at least 2-3 weeks in advance. Choose locations near the main venue for convenience. 4. Use Telegram and Take Notes: Telegram is the preferred communication tool in the web3 space. Make it easy to connect by using your Telegram QR code as your wallpaper. After connecting, take notes on your conversations to ensure effective follow-up. 5. Follow Up Thoughtfully: The best time to follow up is a few days after the conference when people have settled back into their routines. Use your notes to personalize your follow-up messages. The events industry is constantly evolving. In fact, in a very short time, we’ve all seen countless shifts happening in the way we create events and the way we experience them. From chill hangouts to busy conferences, there's a little bit of everything. But guess what's making a comeback? Yep, you guessed it—those intimate gatherings are back and better than ever! 3) New Tech Keeps Events Fresh and Engaging Nearly half of our survey takers (47.5%) say that new tech is key to keeping event-goers hooked. Think mobile apps, AI, webinars, and fun games — these are the elements adding value to events.  4) Mobile Apps Steal the Spotlight This year, 63.4% of attendees are all about mobile event apps. It’s clear: when it comes to hosting top-notch events, tech is key. 5) Presentations & webinars are the MVPs Our survey found that presentations and webinars are total game-changers, making up 26.8% of the tech impact. Hosting high-profile events is both exhilarating and challenging. From international conferences to star-studded galas, these occasions demand precision, poise, and above all, an unwavering commitment to excellence. One of the most memorable experiences I had was hosting a major tech summit attended by industry leaders and innovators from around the world. The pressure was palpable as I took the stage, but as the event unfolded, I realized the incredible opportunity to facilitate meaningful connections and conversations among brilliant minds. From moderating panel discussions to introducing keynote speakers, every moment was a chance to inspire and engage the audience. Of course, with great visibility comes great responsibility. The stakes are higher, and there's little room for error. From managing last-minute changes to troubleshooting technical glitches, staying calm under pressure is paramount. However, it's these challenges that push us to grow and excel in our craft. Despite the pressures, the rewards of hosting high-profile events are immeasurable. Whether it's networking with industry titans or witnessing groundbreaking ideas take shape, these experiences leave an indelible mark on both hosts and attendees alike. In the end, hosting high-profile events is not just about delivering flawless performances - it's about creating memorable experiences that inspire, educate, and leave a lasting impact. And for me, that's the greatest reward of all.

There are a lot of events out there to attend. This month alone, I know of half a dozen that various industries are hosting 😅 So, when hosting your own event, it’s more important than ever to stand out. In-person tech events are such a great way to meet the awesome people we have geeked out with online previously! Yes in-person can be a bit scary, but don't let that stop you, everyone is there to learn from each other. If you are still unsure about a specific event, ask someone in your network who has been to that event before for their feedback. Some of my general thoughts are: - larger events have more going on, yes you will meet more people but this can get hectic - smaller events are better for building stronger relationships, as there is less rushing around and there is more time to really connect with others What type of events do you like?
