I’ve recently reached the point in my career where I can advertise and select candidates for R&D positions. This position has confronted me with the overwhelming number of applicants for each position—over 200+ for a recent PhD posting! To all applicants, please don’t be disheartened if you do not receive an interview invitation, a personalized rejection email, or simple feedback. The sheer volume makes it impossible to provide individual feedback to everyone. However, I ensure that candidates selected for an interview but not chosen for the position receive a personalized rejection email and an offer for a short feedback session if desired. Often, the decision is not against a candidate—those invited to interview usually have the technical qualifications—but rather for the one who best fits the role and team. For those in hiring positions, remember that behind every application is a person with hopes and dreams, just like we had when applying for positions. Please provide an empathetic rejection letter, at least to those selected for an interview. Kindness and compassion go a long way. Here’s an example of the anonymized rejection email for a good candidate I send recently: Dear Applicant, Thank you for your interest in the PhD position and the time you invested in the application process. We appreciate learning about your qualifications and aspirations. After careful consideration, we regret to inform you that we will not be moving forward with your application. This decision was difficult due to the quality of candidates like yourself. Please understand that this outcome does not diminish your accomplishments or potential for a successful career in research. We encourage you to continue pursuing your academic and professional goals and wish you all the best in your future endeavors. Your passion for research and commitment to your field will undoubtedly open new doors and opportunities. We hope you will not be discouraged by this decision and offer the opportunity for additional feedback if you are interested. How do we best prepare ourselves in an interview to achieve optimal outcome? I recently had the chance of interviewing research fellows and had some students preparing for medical school interviews. There are no easy solutions indeed. But what is clear from the interviewer perspective is that we are looking for the best person that will fit the role, and the ability to communicate. In simpler terms, we are looking to hire someone whom we envision working together in the long term. Hence, while preparation for interviews is important, we should not prepare a script that deviates away from your own personality. This is because it is not possible to predict all kinds of questions from an interview. Instead, you can be direct with your answers, and leverage on your experiences to stand out among all other applicants. For instance, when applying for a medical degree, rather than struggling to find a cool reason why you want to do medicine that is different from everyone else, you could instead use your internship experiences to demonstrate how you can apply them to improve clinical practice. In addition, when preparing for interviews, think of the kind of problems you have faced in your previous job experiences and present on the solutions you have provided to solve them. Absolutely drained from the recruitment process—sending over 500 relevant job applications a year, only to land three interviews that didn’t pan out. It’s frustrating to figure out how a recent PhD graduate can demonstrate the required experience for every job we apply to. It’s tough to convince employers that skills can be upgraded. Even for positions focused solely on lab work, there’s a chance of being rejected for being “overqualified” with a PhD. Ever been stuck in an interview, stumbling over your words while trying to explain your skills? You’re not alone. Behavioral interview questions aim to help the interviewer understand how you acted in a specific situation. Yet, many candidates struggle to showcase their skills effectively. They know what they have achieved but fail to communicate it convincingly. And in a competitive industry like Pharma, that could mean the difference between landing the job and walking away empty-handed. But there is this formula that can help you articulate your experience in a way that grabs the interviewer's attention—the STAR method. Here’s how to use it effectively: 👉 SITUATION: Begin by describing a specific challenge or situation you faced. Example 1: "In my previous role, the pharmacy department faced a critical drug shortage due to supply chain issues." Example 2: "During my internship, our team had to navigate a sudden change in drug policy regulations." 👉 TASK: Explain your role or the task you were responsible for in that situation. Example 1: "As the lead pharmacist, it was my responsibility to find an alternative supplier quickly to ensure patient care was not compromised." Example 2: "My task was to gather and present the necessary documentation for compliance within a tight deadline." 👉 ACTION: Describe the specific actions you took to address the task. Example 1: "I contacted multiple suppliers, negotiated terms, and coordinated with our internal procurement team." Example 2: "I collaborated with cross-functional teams to compile accurate data and prepared a comprehensive presentation for senior management." 👉 RESULT: Share the outcomes of your actions, quantifying them if possible. Example 1: "As a result, we secured an alternative supply within 48 hours, minimising impact on patient care and maintaining compliance." Example 2: "Our team met the compliance requirements two days ahead of schedule, avoiding potential fines and ensuring smooth operations." ------------- Pro Tip: Practice articulating your STAR stories out loud.
