What is Restricted SharePoint Search and how can it help along your Microsoft Copilot adoption journey? TL;DR: It limits users search and copilot experience to a curated set of SharePoint Sites only - while honoring user permissions. It is off by default. What is Restricted SharePoint Search? Restricted SharePoint Search allows to restrict both Search and Copilot experiences to a curated set of up to 100 SharePoint sites of your choice. Restricted SharePoint Search is off by default. If you decide to enable it Copilot and non-Copilot users will be able to find and use content from: * An allowed list of curated SharePoint sites set up by admins (with up to 100 SharePoint sites), honoring sites’ existing permissions. * Content from their frequently visited SharePoint sites. * Users’ OneDrive files, chats, emails, calendars they have access to. * Files that were shared directly with the users. * Files that the users viewed, edited, or created. Why use Restricted SharePoint Search? Restricted SharePoint Search gives you time to review and audit site permissions. It is designed to help you maintain momentum with your Copilot deployment while you implement robust data security solutions from Microsoft Purview and manage content lifecycle with SharePoint Advanced Management. This weekend is going to be super exciting! This weekend I'll be migrating 3 separate businesses locations into their own SharePoint & Microsoft Teams - Close to 500GB and 400,000 files/folders - using 2 uplinks and 2 separate migration boxes! Key lessons learned from the planning to date for this weekend's migration. 1. Be part of a great team which solves problems, overcomes hurdles and works together towards a success, even if sometimes the situations require you to be a bit more dynamic and flexible - Migrations sometimes do not go the way you think they should, but having a solid plan in place to handle the unexpected is key. 2. You can sometimes find yourself migrating a subset of migrated files from one the original location to a different location when stakeholders login and see what they expected is not the ideal outcome - and that's ok - we're all learning and someone learning to use SharePoint better, I'll never discourage! 3. Local permissions are important, your migration account needs access to what you want to migration - If I cannot see it, I cannot migrate it! 4. Sometimes Folders get promoted to Document Libraries - It just makes sense in some situations and to handle some limitations of using SharePoint as a file share. 5. Migration Weekend should be a party! Most of the hard work is in the part and everyone is looking forward to Monday - to embrace SharePoint, check out the new platform and see what it can do! #Teamwork #MigrationWeekend #WeekendMigration #SharePointOnline #SharePoint #Teams #ComplexMigration #PlanForSuccess #Microsoft365 #InformationArchitecture #Governance #DigitalTransformation #SPMT

If you start with: "How many SharePoint Sites should I have?" You're looking at it the wrong way around... (Fact: Microsoft has ~600,000 #SharePoint sites serving 228,000 employees). A simple example: 🅰️ Business A: It might be appropriate to have a site per project 🅱️ Business B: A site by per client with a library for each project A new site makes sense: - To Separate Publishing from Collaboration/Filing - To manage content lifecycle (think archiving completed projects) - To target different audiences (EMEA Policies vs N. America Policies) - To manage permissions at a site level If each site has a clear purpose and appropriate governance, you're good. Then we can start thinking about end-user accessibility - Hubs / Navigation. This and more, tomorrow 11am #linkedinlive
