Project Creation and Implementaion - BBA1 During my first week of Luxury Business Management as a Bachelor student at the Glion Institute of Higher Education, we began with the course on Project Creation and Implementation, where I was introduced to the world of Event Management. I gained a deeper understanding of how planning events works, from customer personas and marketing plans to the overall concept of the event. To create an event, we do not just take into account the aesthetics but also the details and procedures behind it. Something that was particularly emphasized in my group was Risk Management, as ‘there is no good event without risks involved.’ As Luxury students, we prioritize the customer's experience and emotions throughout the event. We were tasked with creating an event specifically for Glion staff during the Christmas holidays. As a group, we decided to create a Christmas Ball and invited all Glion staff from different departments to foster an experience where they could gain knowledge of different cultures through our buffet and build connections with colleagues. Our main idea was to host the ball on campus while collaborating with a charity to raise money through various activities, with the main one being Secret Santa. We incorporated a menu with samples of traditional Christmas meals from different countries. For proper formatting of this project, we needed to consider time, personas, and place. By using the 7 P’s, we developed a comprehensive marketing plan, starting with a brief draft of our main ideas for the event. With an aesthetic chosen, we created a flyer, mood boards, and various imagery concepts. Finally, and importantly, we developed a Gantt chart to arrange the different activities in a structured timeline. After presenting and collaborating as a team, we successfully outlined and presented the main concept of our Christmas Ball. By the end of this first week, I gained a deeper understanding of how events work and the complexity of the management involved in pre- and post-event planning. Post-event touchpoints with guests can be one of the most crucial aspects for a company to consider in order to gain feedback and build loyalty for future events.

Whether you are organizing a small gathering, a corporate event, a wedding, or any other type of event, here are some general steps and tips to consider for successful event planning: 1. **Define the event's purpose and goals**: Understand why you are hosting the event and what you hope to achieve. 2. **Set a budget**: Determine your budget early on to guide your planning decisions. 3. **Create a guest list**: Know how many people you expect to attend to plan the venue and catering accordingly. 4. **Choose a date and venue**: Select a date that works for your target audience and find a suitable venue that fits your budget and guest capacity. 5. **Develop a timeline**: Create a detailed timeline leading up to the event, including deadlines for tasks such as sending invitations, booking vendors, and finalizing details. 6. **Hire vendors**: This may include caterers, decorators, photographers, entertainment, etc. Make sure to research and book reputable vendors. 7. **Promote the event**: Utilize social media, email marketing, and other channels to get the word out and increase attendance. 8. **Create a contingency plan**: Be prepared for unexpected issues by having backup plans in place. 9. **Coordinate logistics**: Ensure everything runs smoothly on the day of the event by coordinating schedules, managing vendors, and overseeing setup. 10. **Follow up**: After the event, send thank-you notes to attendees, gather feedback to improve future events, and evaluate the success of the event against your goals. Rethinking the Attendee Experience in Events Lately, I’ve been reflecting on the importance of Attendee Experience (AX) in event planning. I prefer this term over "User Experience" because calling attendees "users" feels impersonal, though the principles are pretty similar. Like websites, events can have massive budgets, intricate operations, and polished aesthetics. However, what truly matters is how attendees feel throughout the experience. Recently, our team spent days mapping out the journeys for attendees, speakers, and sponsors for Product Design Week , meticulously planning every detail. We examined every single touchpoint, from the moment people walk in to the moment they exit. Many event organisers forget that an event is an experience, not just a checklist of logistics and aesthetics. Ultimately, what sticks with attendees is how the event made them feel. A rude interaction at the door, an uncomfortable seat, or poorly facilitated networking can overshadow everything else, no matter how well-organised the rest of the event is. I’ve attended far too many events where it felt like the organisers didn’t honestly care about my experience. Events often seem designed more for the hosts and sponsors than for the attendees. The focus should always be on the people there to experience the event. That's why this year, we have dedicated so much time to mapping out the end-to-end journey for everyone involved in Product Design Week  to ensure every moment feels intentional, welcoming, and memorable. Those are the ingredients that make an event truly iconic.

As an event planner and coordinator who's upscaling in her career, here's something I'd like to share, this would aid you in event business administration and brand management. Having a portfolio as an event planner is essential for showcasing your expertise, creativity, and professionalism to potential clients, (I wonder why we're sleeping on this) Ok, here's why I feel it's important and what you should include for a better professional look: 1. Before and After Pictures: Before and after pictures provide tangible evidence of your ability to transform spaces and create memorable events.They illustrate your eye for detail, creativity, and the effectiveness of your planning and execution. 2. Client Testimonials: Client testimonials, reviews, feedbacks add credibility to your portfolio by showcasing the satisfaction of past clients. Positive feedback from satisfied clients can instill trust in potential clients, reassuring them of your ability to deliver successful events, they'd go to best comfortable bearing in mind "you've got this" 3. Styled Photoshoot: A styled photoshoot allows you to showcase your ability to conceptualize and execute a cohesive event theme or design. It demonstrates your creativity, attention to detail, and aesthetic sense, giving potential clients a glimpse of what you can offer for their events. 4. Samples and Inspiration: Including samples of your work and inspirational ideas helps potential clients understand your style, range of capabilities, and the types of events you excel at planning. It allows them to visualize how you can bring their vision to life and sets you apart from other vendors 5. Educational Qualifications: Including your educational qualifications in event planning or related fields adds professionalism to your portfolio. It shows that you have the knowledge and skills required to plan and execute successful events, reassuring clients of your competency. In addition to showcasing your skills and qualifications, it's important to include examples of problems you've solved in the field. This could include instances where you successfully managed last-minute changes, (some client can be I decisive to an extent) resolved logistical challenges(I've had cases where my car crashed on our way to work) or dealt with unexpected issues during an event. Demonstrating your ability to overcome obstacles and ensure the success of an event can further enhance your credibility and appeal to potential clients.

With a clear vision, every detail has direction. Plan and Budget Wisely Good planning makes a great event. Break the work into smaller tasks and stick to a timeline. Be mindful of costs. Ensure the budget fits the vision—and always leave a little extra for surprises. Communicate and Coordinate Communication is everything. You will work with vendors, venues, and a team, all with different roles. Keep everyone updated. Share the goals, and do not be afraid to ask questions. Clear communication keeps everyone on the same page. Stay Flexible Things rarely go perfectly. That is okay. Could you build a backup plan for when things change? When you are flexible, even the unexpected can turn into something memorable. End with Follow-Up Once the event ends, your job is not quite over. Send a thank you, ask for feedback, and note what went well and what did not. Small steps like these help make each event better than the last. Great events do not happen by chance—they are built with purpose, teamwork, and a love for details.
