We've put together this step-by-step guide to help you identify tasks that are prime candidates for automation, along with practical tips for getting started. Step 1: Track your time Before you can automate, you need to know where your time is going. Spend a week or two tracking all your tasks, big and small. Use a tool like Toggl or even just a simple spreadsheet. Step 2: Identify repetitive tasks Look for tasks that you perform regularly, whether it's daily, weekly, or monthly. These could be things like data entry, report generation, or email follow-ups. Step 3: Look for bottlenecks Are there tasks that consistently hold up projects or slow down your team's progress? These are often good candidates for automation. Step 4: Consider the complexity Some tasks are easier to automate than others. Start with tasks that have clear, predictable steps and don't require a lot of human judgment. Step 5: Prioritize based on impact Focus on automating tasks that will have the biggest impact on your team's productivity and efficiency. A small task that takes 10 minutes a day can add up to hours of saved time over a month. Once you've identified tasks to automate, it's time to get started. Here are a few practical tips: 🪨 Start small: Don't try to automate everything at once. Start with one or two tasks and build from there. 🪨 Choose the right tools: Look for tools that integrate with your existing systems and have features specifically designed for the tasks you want to automate. 🪨 Test and refine: Automation isn't always perfect from the start. Test your automated processes and be prepared to make adjustments as needed. 🪨 Involve your team: Make sure your team understands what's being automated and why. Get their input and buy-in to ensure a smooth transition. Luckily, Notion has a feature that can change the game: Formulas and Rollups. Here’s how you can use these tools to boost your productivity: - Start by setting up a database. Have you automated something today? 🤖 No? Well, it's time to get started! About four years ago, I realized I was spending too much time on tasks that didn't always require my direct involvement—and my involvement could sometimes lead to errors. That was when I began integrating automation into my daily routine. Today, I'm grateful to my past self for automating tasks like sending release notes emails through Jira. It was a small step, but it transformed my approach to work. I won't sugarcoat it: I got so excited about automation that I tried to automate everything 🤣. Spoiler alert: it's not always possible (𝗼𝗿 𝗻𝗲𝗰𝗲𝘀𝘀𝗮𝗿𝘆). Fast forward a few years, and I've found a more balanced approach. Now, I evaluate the need and the tools available before diving into automation. As you can see, automation is still a passion of mine, and I hope to inspire you to embrace it too. ✨ So, how do you start? Here are some tips: 𝟭 - 📋 𝗜𝗱𝗲𝗻𝘁𝗶𝗳𝘆 𝗠𝗮𝗻𝘂𝗮𝗹, 𝗥𝗲𝗽𝗲𝘁𝗶𝘁𝗶𝘃𝗲 𝗧𝗮𝘀𝗸𝘀: Make a list of the tasks you find yourself doing over and over again. 𝟮 - 🔍 𝗘𝘅𝗽𝗹𝗼𝗿𝗲 𝗧𝗼𝗼𝗹𝘀 𝗮𝗻𝗱 𝗙𝗲𝗮𝘁𝘂𝗿𝗲𝘀: Look into the tools you already use. Do they offer any automation plugins or features? 𝟯 - 🤝 𝗖𝗼𝗹𝗹𝗮𝗯𝗼𝗿𝗮𝘁𝗲 𝘄𝗶𝘁𝗵 𝗬𝗼𝘂𝗿 𝗧𝗲𝗮𝗺: Discuss with your colleagues how they handle similar tasks. You might discover someone has already found a way to automate some of them. 𝟰 - 🌐 𝗦𝗲𝗮𝗿𝗰𝗵 𝗢𝗻𝗹𝗶𝗻𝗲 𝗳𝗼𝗿 𝗜𝗻𝘀𝗽𝗶𝗿𝗮𝘁𝗶𝗼𝗻: Other teams might be facing the same pain points and have already automated solutions. 𝟱 - 🛠️ 𝗥𝗲𝗮𝗰𝗵 𝗢𝘂𝘁 𝘁𝗼 𝗬𝗼𝘂𝗿 𝗜𝗧 𝗧𝗲𝗮𝗺:Share your pain points with your IT team—they can offer valuable insights and assistance. Reflecting on my own journey, most of the automation I have in place was achieved with the support and expertise of others. 💡𝗣𝗿𝗼 𝗧𝗶𝗽: Don't consider automation a daunting, large-scale project. It can be as simple as automating reports or data collection - start small. Over time, you'll discover more opportunities to automate, making your work more efficient, productive, and consistent. 🚀 Are you ready to give it a try? #Automation #Productivity #Efficiency #WorkSmart #TechTips #Jira #Innovation #IT #Teamwork #FutureOfWork
