How my client went from stressed >> to scaling 👇 One of my recent clients, the owner of a small agency, was drowning in day-to-day tasks and a never-ending to-do list. She has ADHD, was completely overwhelmed by all the tools and information out there, and no matter what she tried, nothing seemed to stick. She even hired a VA, hoping it would free up her time, but instead, it only created more work because she constantly had to manage and direct the VA. On top of that, she had a lead generation form in TypeForm that collected 300+ leads – but they were just sitting there, disorganised, and doing nothing for her business. It was costing her time and money.. 𝘎𝘰𝘵𝘵𝘢 𝘭𝘰𝘷𝘦 𝘩𝘰𝘸 𝘵𝘩𝘦 𝘤𝘰𝘴𝘵𝘴 𝘳𝘢𝘮𝘱 𝘶𝘱 𝘸𝘪𝘵𝘩 𝘛𝘺𝘱𝘦𝘍𝘰𝘳𝘮 𝘭𝘪𝘬𝘦 𝘵𝘩𝘦𝘳𝘦’𝘴 𝘯𝘰 𝘵𝘰𝘮𝘰𝘳𝘳𝘰𝘸.. 👀 So here’s the what we did: 👉 We conducted a 𝗯𝘂𝘀𝗶𝗻𝗲𝘀𝘀 𝗮𝘂𝗱𝗶𝘁 and mapped out her entire process and client journey in Miro, identifying bottlenecks and areas where she could automate. 👉 We 𝗯𝘂𝗶𝗹𝘁 𝗮 𝗰𝘂𝘀𝘁𝗼𝗺 𝘀𝘆𝘀𝘁𝗲𝗺 𝗮𝗻𝗱 𝘄𝗼𝗿𝗸𝗳𝗹𝗼𝘄 to manage incoming leads, and recommended the best tools for her needs (Airtable, Make, MailerLite, Calendly). 👉 We imported her leads into Airtable and segmented them into high and low priority, setting up an 𝗮𝘂𝘁𝗼𝗺𝗮𝘁𝗲𝗱 email sequence in MailerLite for each. 👉 When a call is booked in Calendly, the lead is automatically cross-referenced in Airtable and marked as a ‘client’. 👉 We 𝘀𝗲𝘁 𝘂𝗽 𝗮 𝗸𝗻𝗼𝘄𝗹𝗲𝗱𝗴𝗲 𝗯𝗮𝘀𝗲 in Airtable so her VA could find answers and handle more client work independently. The result? ✅ Her VA now works more independently, and she’s even started solving direct client issues - the work my client usually only does herself! ✅ Her lead generation system is fully automated, turning leads into cash instead of letting them sit in an unorganised form. ✅ She’s no longer overwhelmed by the day-to-day, and she’s taking huge steps to automating her business more and more.
