Meetings can either be a powerful tool for alignment and progress—or a colossal waste of time. The hidden cost of wasteful meetings is enormous for every company. But short of going Full-Bezos (where slides are banned in favor of 6-page narrative memos), we have our own way of making meetings productive and there is one simple thing we do that makes all the difference (See 3 below). I created a template for meetings at Powtoon which follows the following principles. 1️⃣ Context is Key Start with a clear and expressive meeting name that immediately communicates purpose and is on the screen when you enter the meeting. Add a subheading for more detail. Your team should walk in knowing: → Where they are. → Why they’re there. And walk out knowing: → What to do next. You should devote one entire slide to setting the context: the background of why the meeting is taking place. 2️⃣ Be Clear, Not Clever Keep your language simple and your goals laser-focused. Complexity and jargon only slow communication. Instead, use metaphors, stories, and clarity to drive understanding. If a 10-year-old can get it, you're doing it right. 3️⃣ Have a Visual Baseline This is the one thing that makes all the difference. People may understands words according to their biases, but visuals have a way of hitting the mark. So have a clear visual baseline, an agenda or key graphic, to keep participants engaged. We often play a short powtoon that outlines the context of the meeting. This anchors the discussion and prevents derailments. 4️⃣ Goal-Driven Agendas Every meeting needs: → A goal (where we want to be at the end). → An agenda (the steps to get there). →Clear next steps (recap and follow-ups). Why It Matters Providing context and clarity doesn’t just make meetings better—it energizes your team. Why does Jeff Bezos never eat more than two pizzas in a meeting? Every week, I’m sitting in meetings where I’m only needed for a fraction of the discussion. When you work with multiple interdisciplinary clients, it gets even worse. Sound familiar? Meetings are the ultimate productivity killer. They drain time, slow down execution, and when you’re managing diverse client needs, they can feel endless. As someone who values execution above all else, I’ve had to rethink my approach. Jeff Bezos has a few rules for meetings that can help anyone regain control of their time—even if you’re balancing multiple clients across different disciplines. Here’s what I learned from his methods: ↳ Keep it lean. Only include people who truly need to be there. Every unnecessary person dilutes focus. ↳ Ban PowerPoint. Instead, provide written memos.
