Less is more. Except when it comes to margaritas. That’s the message we took away from a brief trip to Mexico. Emma Parker attended the Private Client Forum Americas conference with Marcus Parker. Marcus did the conferencing and Emma worked from the amazing rooms there and then enjoyed the surroundings and social events outside. We are always talking to clients about being more focused and purposeful in their BD and importantly, being selective. You can’t do everything and do it well, you can’t build rapport and relationships with absolutely everyone in your industry. It’s just not possible and you will spread yourself too thinly and wind up making a memorable impression with no one. Choose your BD tactics and your targets with real care (and always with your core BD objectives in mind) and stick to the plan. Don’t be distracted and veer off spending valuable time and budget on tactics that aren’t a core focus because you have FOMO and “everyone else is going”, work the plan and execute it brilliantly to make every interaction work hard for you in the moment and beyond. Do your homework before you go, and have your follow-up planned and ready to roll before you even start. The Private Client Global Elite events are a great example of how a smaller, really focused event series can help private client professionals to build rapport and lasting professional relationships with likeminded people without distractions and in spectacular surroundings which make every interaction memorable. If not, let me tell you a little bit about it: ✨ Coordinating with speakers and ensuring they have all the necessary information and resources. ✨ Dealing with last-minute cancellations or changes from vendors or suppliers always keeps you on your toes. ✨ Catering – trying to strike the perfect balance between quality and quantity without breaking the bank. ✨ Managing unexpected challenges or emergencies during the event – because Murphy's Law loves to make an appearance when you least expect it! ✨ Handling technical issues or equipment failures during the event setup. ✨ Balancing the budget – a delicate dance between being frugal and providing a memorable experience. ✨ If it's a free event, 35% won't show up. The saddest part is that only 5% will let you know they can't come anymore. ✨ Following up with attendees for feedback and post-event engagement – because learning from each event is key to improvement. ✨ Reflecting on lessons learned and areas for improvement after each event – it's all about continuous growth and refinement. But when you see the community smile, mingle, and connect, all the stress and chaos seem worth it. It's those moments of shared joy and connection that remind you why you started organising events in the first place. So despite the challenges, you can't help but feel grateful for the opportunity to bring people together and create meaningful experiences. When you see an event you want to attend, do you: A. Book it straight away B. Think, ‘I will book it nearer the time’ C. Leave it until the 11th hour when you realise it’s less than a week away As an event organiser, I love the A people. But as an event-goer, I’m more of a B person. I understand the thought process, but sometimes by waiting too long, I almost convince myself out of it: ‘Can I really justify taking a whole day out?’ I will have so much to catch up on the next day’ ‘I’m not going to meet any new community members’ This was me with the Community-led World Summit. And I think it’s the same for many agency owners considering the AGENCYNOMICS Big Event 2024: ‘If I’m in a room full of agency owners, where is the potential for new business?’ ‘I should be spending the day working on things in my agency’ ‘How can I justify a full day away from the team?’ The thing is, when we get stuck in this mindset, we miss out! Y is for Why Before planning any event, always ask yourself the key question: Why? Understanding the purpose and goal of your event will shape every decision you make. Here’s how defining the "why" can lead to success: * Clarify Your Event’s Purpose: Whether it’s celebrating a milestone, launching a product, or building team morale, knowing why you’re hosting the event will help you align all aspects to meet that goal. * Set Clear Objectives: Are you trying to entertain, inform, reward or inspire? Define what you want to achieve and tailor every detail—from the venue to the entertainment—to that objective. * Understand Your Audience: Ask why your guests are attending. What are they hoping to gain from the event? Understanding their motivations will help you meet (or exceed) their expectations. * Focus on Value: Why should people attend? As most European families head off for a well-deserved fall break, I’d like to take a moment to reflect on a busy yet incredibly rewarding season of industry events. 💙 Over the past two months, I had the privilege of attending three key events: Brand Licensing Europe in London, MIP Junior, and MIP COM in Cannes. Each event demanded energy and preparation, but the connections and opportunities that came from these experiences have the potential to make a lasting impact. ✨ Attending industry events is no small feat, but with the right approach, the results can resonate long after the final meeting. Here are a few valuable tips to keep in mind: 🔵 Be yourself, stay authentic. Building trust starts with being genuine, which makes for stronger and longer-lasting relationships. 🔵 Preparation is key. The groundwork for successful meetings begins long before the event – connect with your contacts on LinkedIn, send courteous reminders ahead of time, and always come well-prepared. 🔵 Listen more than you talk. Meaningful connections come from truly understanding the other person’s challenges and goals, not just from pitching your own ideas. 🔵 Tailor your approach. Customizing your message for each conversation reflects a deeper understanding of the individual and their business needs. 🔵 Follow up promptly and with purpose. Timely and thoughtful follow-ups not only keep the conversation alive but also show your commitment to potential collaboration. 🔵 Take advantage of post-event opportunities. Even if you didn’t get the chance to meet someone in person, use the post-event buzz to reach out and build new connections virtually. "Host your own events," they said: "It's a surefire way to boost your business," Every expert claims. While generally sound advice, it’s the execution that truly determines success. Over the last 2 days, I supported 2 separate public and private broker events, consisting of about 200 agents, at the Empire Communities' Wyndfield development. Empire wasn’t just a client; they were integral in creating a platform where real value was exchanged. The event not only showcased Empire's newest offerings in Brantford, Ontario, but also created an environment where brokers felt uniquely valued and informed. The result? Engaged participants and a deeply connected community eager to collaborate further. The expected future result? Another successful sold out phase of preconstruction homes! Success in such events isn't just about gathering a crowd. It involves: -Creating meaningful interactions. -Tailoring experiences to reflect both client and community needs. -Leveraging every moment for maximum engagement and impact. Good old genuine relationship-building. The overwhelmingly positive feedback confirmed that the right approach can transform a simple gathering into a collaborative occasion. Do you attend last second invites to audio or video events? Many of us have this issue arise and when they do a majority of the time we don’t simply because we have prior obligations such as having to attend meetings that are already scheduled, have a deadline to finish etc…. Regardless of what we have going on that’s set up before being invited to such events, sometimes we have some flexibility to attend while other times we aren’t as flexible. Sometimes we make time to attend while other times we have to pass on such an event regardless if we want to attend or not such events. I like many prioritize such things as a lot of the time we can not attend due to prior commitments that are pre scheduled and are top priority. Sometimes I, like others can take advantage of attending such events varying of specific factors such as what time they are being held and other factors such as geographical location which also is time factored . Regardless, I do try to attend various globally valuable events especially when I have the time to attend and even then sometimes I make time to attend by knowing what day and time the event will be ahead of time so that I can free up some time to attend if / when possible. Note: last second invitations usually have a low turnout for the fact we have things that are pre scheduled ahead of time and that can’t be rescheduled. It is also wise too , when possible to send invitations on such events ahead of time so that we may have the time to make arrangements that can allow us to attend.
