Lead Executive Assistant 👉 Passionate about partnering with startup founders, enabling them to build and scale⚡️Master of problem-solving, organisation & taming chaos! 🦄

How NOT to use your Executive Assistant ❗️ Hiring an EA can be a game-changer, but it's crucial to understand how to leverage their skills effectively and build a partnership. Here are ten things you should avoid... 👩🏻💻 Overloading them with admin tasks ↳ Don’t limit your EA to just taking minutes in meetings without ever seeking their input. Engage them in discussions; their insights can be valuable. 💚 Keeping them in reactive mode ↳ Avoid assigning only continuous reactive tasks. Balance their workload with strategic, project-based work that allows them to contribute meaningfully. ⚡️ Using them as a dumping ground ↳ Don’t dump the tasks you don’t want to handle onto them, expecting them to figure it out without context or guidance. Provide clear instructions and context to ensure they understand the task’s importance and your priorities. 💬 Excluding them from strategic conversations ↳ Don’t keep your EA out of strategic meetings. Involve them in important discussions and initiatives to leverage their organisational skills. 🤩 Overlooking their professional development ↳ Don’t neglect their growth. Invest in their development which will add more value to you and your company. 👀 Micromanaging their every move ↳ Trust your EA to handle tasks independently and empower them to take initiative. You have to let go, to let them flourish. 🗣️ Failing to provide feedback ↳ Regular, constructive feedback helps your EA grow and aligns their efforts with your expectations. 🖼️ Not sharing the bigger picture ↳ Don’t keep them in the dark about your vision and long-term goals. Sharing the bigger picture enables them to better prioritise and have an impact. 💡 Ignoring their suggestions and ideas ↳ Don’t dismiss their ideas or suggestions. Encourage them to share their thoughts and trust that they're an expert in their field. 🧠 Underutilising their problem-solving skills ↳ Don’t overlook their ability to solve problems. Involve them in troubleshooting and process improvements, they will get shit done! Is there any others you'd add? #ExecutiveAssistant #Leadership #Teamwork

Micromanaging 🫨🫨… yes I know your flight is booked on the wrong day, yes I am aware that your train is delayed, yes I moved your meeting and informed your driver… no I will not spam you with all the details…. JUST TRUST ME, CAPICE?

Say it louder for the Execs in the back please!! I'd add: Isolating them from the team: Don't isolate your EA from the rest of the team. Ensure they are well-integrated and have the necessary information and contacts to effectively support you and the organization. Not leveraging their full skill set: Don't restrict your EA to tasks that are below their skill level. Recognize their strengths and capabilities, and assign them tasks that fully utilize their diverse skills and talents.

Also, don't talk poorly (bad mouth) and gossip about other staff members with/to your EA. And don't talk about how you are going to push staff members so hard so they will "choose to leave." This leads to an awful, toxic work culture. Speaking from experience! Made me soooo uncomfortable that I had to leave as I don't work like that. I don't even acknowledge that I worked there as I don't want to be associated with that organization and especially not with the leader of that company. EA's are there to support you and be your confidential confident bur not your dumping ground for bad behaviour or passive aggressive attitudes.

💰 Don't praise your EA, give amazing feedback and glowing annual reviews then not align that with what the payslip says. If salaries for admins are 'banded' have the balls to get that 'banding' stretched to accommodate the high performing strategic assistant's capabilities in 2024 💥

Don't expect your EAs to work like a machine. They are also humans and they break down too. Even machines break down when overused.

Giving them 'full' access to emails and the calendar - only having limited access or being told not to open certain emails/meeting requests is demoralising.

🎓 Don't require university degrees for Assistants as standard. Yes it may show a previous commitment to learning (to you) but most Assistants are committed to continuous professional development anyway and it will not prove effectiveness in the role 💥

This is so we'll put. Point 3 reasonates with me the most. As an executive you are the one who knows what you want to achieve or rather the expected end result so I agree that ensuring that you give your EA a clear picture of that would go a long way in ensuring they effectively and efficiently meet your expectation
