Administrator User Set Up and Permissions As the Administrator of multiple systems, I often get asked questions about best practices for permissions and permission sets being assigned to users. Many people think it is ok to assign the permissions and permission sets to the user directly. While this works in theory, here is why I agree with the best practice of assigning permissions and sets at the role level, versus the user level. If you assign permissions at the user level, for example adding "Create" for "Invoices" to a user, versus just creating a role for that permission level and assigning that role to that user, you will quickly lose track of what permissions you are assigning to whom. This presents a security risk and when you go to troubleshoot possible access issues within the software application, it can be tricky to track down the root cause of potential problems for that user. If you assign the permission at the role level, and just assign that role to the user, this results in a two-fold positive scenario: 1. If other users need that permission set down the road too, you simply attach the role to the users. Bam! Done. 2. It is much easier, in my experience, to keep track of roles for each user than permissions for each user for troubleshooting purposes. It keeps your root cause analysis cleaner and more streamlined, which saves you troubleshooting time. So, I highly recommend the best practice of assigning permissions and sets at the role level, and just assigning that role to the user(s), versus assigning the permission directly to the user level in order to allow for traceability and ease of security. I have created explicit roles just for specific permissions, for example. That way if a user, or set of users, needs that specific permission set, they can easily be assigned that permission with a couple of clicks. It makes it a lot easier to troubleshoot when they have certain issues down the line, as well. So it helps with efficiency for troubleshooting and security.
