PROOFREADING IN CONTENT WRITING Have you ever read through a text after you've sent it to the recipient, only to discover some errors? That feeling when your "steeze" drops instantly—Agba content writer like you! I've experienced that countless times, so I completely get it. Thank God for the "edit feature" on social media apps😪 But during the last Fasthire SEO content writing training class, which covered proofreading and editing, I learned something quite profound: we're not robots, so mistakes are bound to happen. However, that doesn’t mean we have an excuse to send out error-filled content. That’s why proofreading—thoroughly reviewing for typos, spelling, and grammar issues—is essential. It ensures your content is error-free and cohesive for your readers. Here are some basic strategies I learned for effective proofreading: ✅ Take a break before proofreading. Don’t proofread immediately after writing. I promise you won’t catch all the mistakes—maybe one or two, but definitely not everything. ✅ Focus on one type of error at a time. This makes proofreading more effective. Start with syntax errors, then move on to spelling mistakes, and so on. ✅ Read aloud while proofreading. Your ears can catch errors faster than your eyes. When you read silently, your brain tends to autocorrect mistakes, but reading out loud helps you notice errors that might slip through otherwise. ✅ Use helpful proofreading tools. Software like Grammarly, Quillbot, ProWritingAid, Microsoft Editor, and others have excellent features to help check for grammar issues and ensure your content is polished and error-free. In the end, I learned that proofreading is as vital to content writing as food is to humans. Your audience will only engage with well-written content, and error-free posts also improve search engine rankings. Proofreading guarantees that your content is both polished and professional. 🔎 Proofreading vs proof-editing: my take When I started out, back in 2012, I found myself doing more than a traditional proofread. That meant I wasn't only correcting what was "wrong" (proofreading) but offering suggestions to make the text more readable (proof-editing). I work with marketing and comms teams, content marketing agencies, charities, organisations and small businesses, who don't work with editors. 🦅 I'd be working on raw text – text that hasn't been professionally edited. My eagle eyes would be the first to see it. There was no editorial process. "Do whatever needs doing” quickly became my standard proofreading practice because I WAS the process. What I was doing didn't feel like copy-editing because it was language-focused rather than content-focused. But it wasn't proofreading either. Still, marketing teams and comms agencies would ask me to: ✂️ overhaul the clunky sentences I’d highlighted ✂️ trim the text (because it had exceeded the word count) ✂️ rewrite areas I'd politely noted were repetitive. ⏳ Time was of the essence (when isn't it?), and they trusted me to improve their writing. ✏️ Proof-editing involves greater collaboration because I work with you to make your/your team's writing sound even better than before. ✏️ Now you could argue this comes down to semantics. If you're happy with my changes and suggestions, what does it matter what the service is called? That's all well and good if you're charging for the work you're doing. I wasn't, so I separated the services (not as soon as I should have, mind). Not all copy-editors are proofreaders. They're different skill sets. And not all clients will know the difference between proofreading and proof-editing. As a content writer, I understand the importance of having a streamlined process to create engaging content. Here is my process, along with the tools I use to make it happen: 1. UpNote: Taking notes & Draft A I use UpNote to capture my ideas and brainstorming sessions. It's a great alternative to other note-taking apps, and it's free! 2. Grammarly: Grammar, Paraphrasing, Plagiarism & Proofreading Grammarly is an AI-powered writing tool that suggests improvements for grammar, punctuation, style, and clarity. After writing Draft A, I use Grammarly to make necessary corrections. It's a small investment of $10, but it's worth it for the time it saves. 3. Speechify: Listening & AI Summary Speechify is a text-to-speech platform that converts written text into spoken words. I listen to my content 2-3 times to ensure it flows well. If it doesn't, I go back to Grammarly to make more changes. Best of all, it's free! 4. Notion: Final Draft & Database Notion is an all-in-one workspace that consolidates various work applications into a single platform. Once all the corrections are made, I paste my final draft into Notion. I have a template for my content calendar where I can organize and post my content. And, you guessed it, it's free! Why proofreading your own content before sending is VITAL When I was a rookie, I made glaring errors. I used to hit "Send" once I was done. You'd be surprised to know that this has nothing to do with your skill, but it's connected to it nonetheless. Precision is an art. Works of mine and many good writers I proofread: → Often forgot the target audience, lost relevancy. → Had spelling errors, giving a poor first impression. → Skipped over consistency, disrupting the flow. → Lacked punctuation, causing confusion. → Had typos and grammar issues. → Ended with unclear messaging. Why would a client trust your work? The business world is flooded with content. They will look elsewhere. Here's what I truly believe: → Every piece of content can impress and persuade. You have the power to: → Start with a clear and concise introduction. → Always use correct grammar. → Ensure punctuation is on point for clarity. → Maintain consistency in tone and style. → Remember the target audience and tailor accordingly. → Conclude with a strong and clear message. → And most importantly, check before sending. Every word can engage and truly persuade. Just be more vigilant. Then send the content out. When you proofread your own work, imagine that you are checking someone else's. This always works for me because, believe it or not, we're all fundamentally biased. Being objective is key. Proofreading is not just an option. It's a necessity.

I realized there were some spelling errors in a piece of content I wrote after I had already submitted it. Tough right? 😪 What would you have done, if you were in my shoes? Would you edit the document and resend it? Would you apologize for the mistakes? Or would you stay quiet about it and just be extra careful next time? The truth is, no matter what I do to salvage the situation, it doesn't change the fact that proofreading and editing could have prevented the issue from the start. During the fifth class of the Fasthire SEO content writing training, I learned about proofreading and editing, with Miss Eudora Barko emphasizing its crucial relevance to content writing. From her profound teaching, I learnt that as content writers, we proofread and edit our content because: ✅Error-free content improves search engine rankings. The algorithm would always favour a well-written content. ✅Readers would readily engage with a well written content. Proofreading and editing helps you ensure if your content is cohesive enough for your audience. ✅A well written content shows professionalism and expertise. Imagine making errors in your content, consistently; no one would take you seriously in the writing industry. Also, for an effective proofreading strategy, I learnt that the content writer should: ✅Take a short break before proofreading. Don't do it immediately after writing. When proofreading, it's best to read out loud. This is because your ears catch errors faster than your eyes ✅Go through the content piece 3 times(at least) before publishing/submitting. For a better strategy, you can run your work through grammar checkers like Grammarly, Quillbot etc. ✅For SEO content writers, check your heading tags(H tags) to ensure that the headings are in their correct tags(H1, H2, H3 and others). ✅Verify that all external links are from credible sources too. ✅Watch the recording of the fifth class of the training to learn better on editing and proofreading in content writing.
