Mastering Salesforce Automation: Outbound Messages, Time-Based Actions, and Approvals! 🚀✨ Streamlining business processes and automating actions are at the heart of Salesforce’s capabilities. Here’s what I’ve been focusing on lately: • Outbound Messages: Need to integrate Salesforce with external systems? Outbound messages send notifications to external services in real-time when triggered by a workflow rule. This means faster data sharing and seamless process updates! • Time-Based Actions and Workflow Queue: Some processes don’t need instant execution. I’ve been exploring time-based actions—perfect for sending reminders, updating records, or triggering emails at a specific time. The time-based workflow queue ensures these actions occur exactly when needed. • Approval Processes: From simple to complex multi-step approvals, Salesforce’s approval processes guide records through stages with predefined criteria and approvers. I’m gaining expertise in designing, testing, and troubleshooting these to ensure consistent and error-free workflows. Automating these tasks saves time, reduces human error, and keeps teams focused on what matters most. Have you implemented any time-based workflows or approval processes that transformed how your organization works? Let’s connect and share experiences! #SalesforceAutomation #OutboundMessages #ApprovalProcesses #Efficiency #ProcessAutomation #SalesforceAdmin #LetsConnect

Hello #trailblazers Today, we received news about Workflow Rules & Process Builder End of Support after 2025. It's interesting because it does not mention the end of life but the end of support, which needs to be clarified. The part below of the article needs to provide the necessary clarity. What happens if I don't take action? After December 31, 2025, Workflow Rules and Process Builder may continue to function and execute existing automation, but customer support will not be available, and bugs will not be fixed. Now I see many Trailblazers asking if the legacy automation will still run after December 31, 2025? I can't answer to this, but the way how I read is: The automation will still run until the end-of-life announcement, but there will be no customer support or any bug fixes from the Salesforce side. 🌟 Pro Tip for Salesforce Flows! 🌟 Struggling with flows crashing due to input values being too long? Here's a handy tip to avoid those pesky errors and keep your flows running smoothly. 💡When dealing with fields like last names that might exceed character limits, consider truncating the input values using a formula field within your flow. For example, you can use the LEFT function to limit the length of the last name field: LEFT({!$Record.LastName__c}, 40) This formula will ensure that only the first 40 characters of the last name are used in your flow, preventing any potential overflow and ensuring seamless execution. ✂️💻 Implementing this simple yet effective technique can save you from flow headaches and keep your automation processes running like a well-oiled machine. Try it out and experience the difference! 💪🚀 Sharing is Caring 💪 #Salesforce #Flows #Automation #SalesforceAdmin #Salesforcetips

Embrace Change: Navigating the End of the Road for Salesforce Workflow Rules and Process Builder 𝗪𝗵𝗮𝘁 𝘆𝗼𝘂 𝗻𝗲𝗲𝗱 𝘁𝗼 𝗸𝗻𝗼𝘄. Salesforce has been encouraging its customers to switch to Flow. In March 2024, they gave the date for when we will hit the end of the road. I͟m͟p͟o͟r͟t͟a͟n͟t͟ ͟D͟a͟t͟e͟ Now we have a date!!! It's December 31, 2025. 𝗜𝗺𝗽𝗮𝗰𝘁 𝗼𝗳 𝘁𝗵𝗲 𝗧𝗿𝗮𝗻𝘀𝗶𝘁𝗶𝗼𝗻 • 𝘋𝘰𝘦𝘴 𝘵𝘩𝘪𝘴 𝘪𝘮𝘱𝘭𝘺 𝘵𝘩𝘢𝘵 𝘞𝘰𝘳𝘬𝘧𝘭𝘰𝘸 𝘳𝘶𝘭𝘦𝘴 𝘢𝘯𝘥 𝘱𝘳𝘰𝘤𝘦𝘴𝘴 𝘉𝘶𝘪𝘭𝘥𝘦𝘳𝘴 𝘸𝘪𝘭𝘭 𝘯𝘰𝘵 𝘧𝘶𝘯𝘤𝘵𝘪𝘰𝘯 𝘢𝘯𝘺𝘮𝘰𝘳𝘦? No • 𝘞𝘩𝘢𝘵 𝘥𝘰𝘦𝘴 𝘵𝘩𝘪𝘴 𝘮𝘦𝘢𝘯? Salesforce will no longer support issues or provide major fixes. At first glance, this might not seem to have much of an impact. Has the Salesforce administrator reviewed and recorded each workflow rule and process builder that is currently in use? If not, there is a chance that a crucial but unidentified automation could malfunction. Causing a loss in productivity until a Flow is built. 𝗕𝗲𝗻𝗲𝗳𝗶𝘁𝘀 𝗼𝗳 𝗧𝗿𝗮𝗻𝘀𝗶𝘁𝗶𝗼𝗻𝗶𝗻𝗴 𝘁𝗼 𝗙𝗹𝗼𝘄 There are a lot of advantages to this change. H͟e͟r͟e͟ ͟a͟r͟e͟ ͟a͟ ͟f͟e͟w͟:͟ • It is possible to combine multiple automations into one, which will make things function more efficiently. • Outdated processes can be eliminated • Automations can be thoroughly documented and labeled for future support. • Flows can be written in a way that allows them to scale with the needs of your growing businesses. 𝗠𝗶𝗴𝗿𝗮𝘁𝗶𝗼𝗻 𝘁𝗼 𝗙𝗹𝗼𝘄 𝗧𝗼𝗼𝗹 What about the Migration to Flow Tool? Salesforce has simplified the process with a tool that does the work for you! I͟m͟p͟o͟r͟t͟a͟n͟t͟ ͟t͟h͟i͟n͟g͟s͟ ͟t͟o͟ ͟c͟o͟n͟s͟i͟d͟e͟r͟:͟ It does not: • Combine automations, • Improve scalability • Improve documentation Stay up to date effortlessly! Day 52: 100 Days of Salesforce Self-Learning Challenge INTRODUCTION TO WORKFLOW It is a set of rules that trigger specific actions when certain conditions are met. Workflow helps streamline processes and saves time. They can be customized to meet various business needs. To better understand what workflow is, and how it works, it is important to know the following components: 1️⃣Workflow rules It defines the criteria that, when met, trigger an automated action. For example, a rule might specify that when a new lead is created with a certain lead source, an email notification should be sent to a certain user. 2️⃣Criteria It defines the specific conditions that need to be true for the workflow to trigger its actions. Criteria uses factors like record fields, operators, and formula fields. The record files are data points associated with a record. Operators connect the record fields with values to form conditions. For example, equals to ("="), greater than (">"), or contains ("contains"). The formula fields allow you to manipulate data and create intricate conditions based on your specific needs. 3️⃣Actions These are tasks that Workflow performs when a Workflow Rule is triggered. The actions available on Salesforce include email alerts, field updates, outbound messages, and task creation. Field updates- automatically update the values of other fields within the same record. This enhances data consistency and simplifies data entry. Email alerts- Sending pre-defined email notifications to designated users based on workflow triggers. This improves communication and triggers follow-up actions. Task creation- automatically generates new tasks and assigns them to specific users. Outbound Messages- Send SMS notifications or social media messages based on workflow triggers. Approvals – send records for approval by designated users before proceeding further in the workflow. 4️⃣Triggers They define the event that initiates the entire automation process. They act like a switch, turning on the workflow engine when specific conditions are met. They act in response to specific events, such as when creating a record, updating an existing one, and re-editing. P.S. Do you know the difference between workflow and workflow rules? #salesforcechallenge #trailblazers #salesforceworkflow #businessautomation
