The article raises significant concerns, but it’s important to clarify that achieving sustainability is not necessarily about drastically increasing costs. It often comes down to a better understanding of what sustainability means and implementing simple, effective practices on location. For instance, training staff to accommodate guests with visible and invisible disabilities can significantly enhance the inclusivity and sustainability of events. Open dialogue with stakeholders is also crucial. Often, sustainability efforts are already being made, but the lack of communication hinders their full impact. We can bring everyone together to achieve greater efficiency and sustainability without a major budget overhaul. Budget management plays a key role, too. For example, reallocating funds—such as reducing costs for non-essential items like carpets—can free up resources for sustainable initiatives. Event designers can take a wide range of actions without dramatically increasing their budget. Awareness is the first and often most impactful step in making events more sustainable. Moreover, raising awareness among participants is a powerful, low-cost strategy. Encouraging attendees to bring reusable water bottles or use public transportation are simple actions that contribute significantly to sustainability. If every event owner started with this approach, it would lead to significant improvements across the board.

Meeting planners are facing rising costs despite larger budgets, according to Global DMC Partners’ Q3 2024 Meetings & Events Pulse Survey. While 39 percent of respondents reported budget increases, expenses for venues, food and beverage, AV, and transportation have surged 10 to 30 percent over the past two years, impacting DEI and accessibility efforts. Planners are offsetting costs by consolidating events, reducing program days, and cutting AV expenses. Global DMC Partners CEO Catherine Chaulet highlighted strategies such as negotiating multi-year contracts and leveraging immediate payments for discounts. The use of AI tools, particularly chatbots, has increased, though planners remain cautious about privacy and reliability concerns.
