KPIs are used at multiple levels to evaluate success in reaching targets, offering both high-level indicators of overall company performance and low-level metrics pertaining to specific processes within departments or even tasks performed by individual employees. The objective of using KPIs is to focus attention on what matters most, thereby steering individual and collective efforts toward predefined goals. For department heads, KPIs serve as invaluable tools to define, simplify, and prioritize the essential functions and responsibilities within their jurisdiction. By selecting a set of KPIs that align closely with the department’s goals and contribute directly to achieving organizational objectives, leaders can clearly outline what is expected from their teams. This sets the stage for focused effort, as it cuts through the noise and complexity that can often come with managing a diverse set of tasks and projects. Essentially, KPIs help condense a department’s mandate into a number of quantifiable metrics that serve as focal points for action. KPIs also aid in creating a culture of accountability among department heads and their subordinates. Since KPIs are measurable and time-bound, they offer a clear benchmark for performance evaluation. If a department or team is falling short on a specific KPI, it’s evident that changes need to be made. This could lead to strategy adjustment, resource reallocation, or other forms of intervention. At the same time, KPIs offer a transparent way to recognize and reward those who are making meaningful contributions to achieving set targets. Moreover, KPIs can be used to foster synergy between different departments. When department-specific KPIs are aligned with the overall business goals, departments are more likely to collaborate and assist each other in achieving common objectives. In a well integrated organization, each department’s KPIs can thus be seen as contributing to a complex ecosystem of interconnected goals, all aimed at achieving the broader company objectives outlined in the BHAG, annual goals, and quarterly rocks. Employees too benefit from well-defined KPIs. We must know our numbers, and track our lead sources, or we cannot expect to be able to change and grow our numbers. “If we know them, we can grow them“! But which number should we be consistently tracking, month-to-month? Which numbers really impact our business, and will help us to grow if we increase them? These are all great questions, and as an entrepreneur, growing the business you’re passionate about, there are several KPI‘s (Key performance indicators) That you should track and evaluate monthly. • Number of qualified leads • Price per lead, per lead source • Conversion rate of inbound calls to set appointments • Conversion rate of outbound calls from form submissions or leads slips • Sales closing ratio • Average dollar per sale • Average dollar per run appointment (ADL) note: this is a combination of #5 & #6 • Percentage of reviews received from finished jobs These 8 KPI’s should be tracked per employee responsible, and per company average. The monthly KPI should be posted internally, in the department where the responsibility and accountability occurs. The goal is to increase these numbers each month, and evaluate monthly, quarterly, and annually. Recognition and awards should be provided to the responsible parties as KPI‘s increase. Increased KPI‘s will result in increased revenue, and higher profit margins for the company.
