Caf2Code is a Microsoft Solution Partner software development company and B2B consultancy specializing in the enterprise finance and accounting market. Founded in 2017, Caf2Code has rapidly established itself as a key player in the Dynamics 365 services industry. With a team of 14 full-time employees spanning seven states, in addition to several contractors, Caf2Code has consistently demonstrated its commitment to innovation and client satisfaction. The inspiration behind Caf2Code's name is based on the old joke about programmers - that if you input coffee, they output code. In March 2020, during the height of the pandemic panic, Caf2Code boldly shifted its business model, making significant investments to expand its operations, serve more clients, and create high-quality job opportunities. Having become a Microsoft Partner in January 2021 and achieving Microsoft Gold Partner status in April 2021, Caf2Code has consistently demonstrated its dedication to excellence and expertise in leveraging Microsoft technologies.     Your Dynamics 365 custom roles are costing you money. Lots of it. Seriously. How? Security roles consist of:  • privileges  • duties  • sub-roles Each of these grants a certain level of specific access. Most of the time, out-of-the-box roles consist of access that triggers one license type. The "Human resource manager" role has privileges and duties that touch the full HR base license. This one license - one role model quickly changes with custom roles. Let's look at one example A company gets RandomConsultant to implement Dynamics for them. RandomConsultant likes to churn through clients. 😤 They create roles without any thought. NosyNancy tells RandomConsultant she needs this list of access. RandomConsultant creates the role with NosyNancy's wishlist. The role? With only five duties assigned to it? Triggers five FULL licenses. That's a really expensive role. This is an extreme example but the message still stands. You must review your custom roles. Evaluate the necessities of the end-users. Does NosyNancy really need to be able to update employee marital status? Drill into the duties, and privileges to ensure you have only what you need And nothing more. Microsoft can tell if you are using modules outside of your license. It doesn't pay to be out of compliance. And it doesn't bring you value to be overlicensed either. To Recap: • Create security roles with licensing in mind. • Only assign duties and privileges to roles that are absolutely necessary. • Do not assign roles to users who don't need that level of access. • Create a system for regularly evaluating your licensing and roles to stay compliant.     Copilot. Generative AI. ChatGPT. All this talk of #AI can feel overwhelming. "I'm just a regular user. It sounds interesting, but I'm afraid its all too complicated." Don't worry, I got you. I understand. We are going to take it a step at a time to get ACTUAL value from these tools. For the next few months, we'll delve into #Copilot with some helpful tips and guides you can use right away. So let's start at the beginning. What IS Copilot? Copilot is an AI assistant that helps you get things done faster. That's it. That's the goal. Everything else is in service of this goal - to help YOU with your work. HOW? There are many ways Copilot can help - and it's growing everyday. Here are a few examples ➔ Copilot can help you: • Draft, edit, and format documents. • Analyze data, create charts and generating insights from excel. • Schedule meetings, set reminders and summarize meeting notes. • Use your knowledge library to provide relevant information for clients and projects. • Organize your tasks, set priorities and track deadlines. • Draft email responses, create presentations and help with customer service questions.     I was watching my toddler struggle the other day. He was playing with his train set and growing frustrated as he tried to put the pieces together—especially at the bridge. I watched as my husband walked over and tried to help. “No!” my toddler screamed. He kept trying, in vain, to fit the track pieces together. Then my daughter asked if she could help. “No!” he shouted again. He was sure he had it. Finally, I walked over to offer my help, only to be met with the same familiar “NO!” from his little voice. I thought to myself, If only he’d let us help, it would take two seconds, and he could get back to enjoying the train set. And that’s when it clicked: There are so many moments in life where help is right in front of us, but we let our pride, stubbornness, or frustration make us yell, “No!” So why am I sharing this on LinkedIn? Because this is a scenario we see all too often in the ERP implementation space: Client: “Why won’t my employees use the system?” Us: “You could try this, or this, or that—we can help.” Client: “No!” Client: “We’re losing sales because our employees won’t enter them into the system.” Us: “We can help. Let’s try this.” Client: “No!” Client: “We can’t seem to get accurate reports from our data.” Us: “Let us help you configure it—here’s how.” Client: “No!” Sound familiar? In the latest installment of our Dynamics 365 101 series, we dive into Dynamics 365 Commerce licensing and break it down so it's easy to understand. Dynamics 365 Commerce 101 1. Four User License Types: ➔  Team Members License Designed for light use. $8/user/month Ideal for: •  Viewing sales and inventory reports. •  Tracking customer orders and statuses. •  Approving tasks or updating notes. ➔ Operations - Activity License For limited access to store and warehouse operations. $50/user/month Ideal for: •  Picking, receiving, and stock counting. •  Performing basic retail operations like cash reconciliation. •  Generating standard operational reports. ➔ Operations - Device License Supports shared devices in retail environments. $85/device/month Ideal for: •  Completing transactions at the point of sale (POS). •  Managing inventory tasks like picking, packing, and replenishment. •  Basic store management without individual logins. ➔ Full User License Full access to all Commerce features. $210/user/month Ideal for: •  Configuring and managing store operations. •  Performing advanced reporting and analysis. •  Managing merchandising tasks like catalog creation and assortment setup. 2. Two Types of Commerce Scale Units (CSUs) : ➔ Commerce Scale Unit - Cloud Designed for cloud-based retail operations. Ideal for: •  Online and offline channel integration. •  Scalability to handle high-volume transactions. •  Secure connectivity between stores and e-commerce. ➔ Commerce Scale Unit - Self-Hosted For hybrid setups with on-premises deployments. Ideal for: •  Locally hosted POS systems for continuity. •  Custom infrastructure for unique needs. •  Improved performance and redundancy. Note: Licenses follow Microsoft’s MSRP for annual commitments. Monthly payments incur a 20% surcharge; additional 5% surcharge applies starting April 2025 for annual commitments with monthly payments.
