When product is distributed across client-release ensure Release dashboard is also available.

My advice would be - 1. Ignore the tools in the beginning, 2. Start with establishing product vision and customer empathy, 3. Instill team bonding and open communication Foster open communication by implementing regular team meetings and using collaborative tools. I have been a developer, designer, and a business owner. The most impactful tool is always one that is visual-first. Visuals—like UI designs, graph summaries, presentations, or roadmaps—are tangible helping your team quickly think through a problem. They should be shared with all stakeholders, as each thinks through the problem differently. Visuals also have the benefit of being easy to scan and digest. Far too often, PdMs rely on text-first tools, such as Jira, emails, docs. I find that even a quick sketch can be useful. You do have to be careful, however. The idea of "draft," "iteration," or "WIP" is lost on some stakeholders, and they take a visual, like a wireframe, as a contract. It is always helpful to watermark such assets.

I actually love to use Miro in this circumstance and compile everything related to the vision so that everyone can get behind it and really visualize and place what we're looking for. Then, I like to add this to Confluence to help draw a vision board together and also align it with our business objectives.

From my experience we use FIGMA for product designing as it helped us Streamlined Collaboration and Improved Efficiency. Optimizing design time and helped us with Faster Product Releases resulting in seamless Design Handoff and Development Process. For Collaboration we use MIRO and we have been using the Talk track feature of MIRO that help us record interactive walkthroughs in Miro boards and this recording stays there and can be accesses in the Miro board. This feature has been very useful in walkthroughs and collaboration.

I recommend pen and paper in the initial stages. Before starting to sketch, create a board containing the objective, users, and a hypothesis. Now start adding basic shape drawings and bring the UI live. Question, consult, do preliminary testing, and revise. Once comfortable and the product gains focus, start with tools like XD or Figma. In my opinion, starting on tools, especially following some templates creates bias. It might introduce a bias and fixation. So, as a PM I my experience I prefer a blank paper to sketch. We've noticed it can be heavy on the system at times.

The key here is to figure out WHY the team is struggling to collaborate. - Is it because of disagreement on what problem the product is trying to solve? - Is it because of lack of alignment on the product vision? - Is the problem more tactical: issues with communication, collaboration? Or technical, where the team is running up against a challenge, but is otherwise aligned? Once the problem is identified, the path to a solution is usually straightforward: some form of a workshop to eliminate misalignment on ambiguous decisions, tools & systems to solve tactical issues, finding advice on technical challenges. But there's nothing less effective (and more frustrating) than throwing tactical-level solutions at fundamental-level problems.

Kicking things off with a face to face meeting really helps get everyone on the same wavelength and it cuts through any confusion since you can actually see and hear the real deal: no misreading slack messages or emails.

I don't think it's primarily a matter of tools if a cross-functional team doesn't collaborate well. I would rather look into role-clarity, clarifying team goals and how they related to company success and try to establish a healthy feedback culture as a basis for continuous improvement of collaboration.

Understanding the "Why" for the collaboration failure is critical to begin with. No amount of tooling will help if the reasons are not understood. Some of the key things to look at could be: - Are the goals and intentions reasonably aligned? - Are the boundaries reasonably well defined? - Are responsibilities and accountabilities clearly defined? One golden rule that is so obvious but so often ignored is when multiple people are accountable/responsible for the same thing, there is no one accountable/responsible for it.

You don't need any tools to make a team work together, you need a better process. I believe everyone here would know of Jira, Slack, Zoom, etc there's nothing these tools can do by themselves, one needs to enable oneself to align & collaborate better, here are a few tips: - Share "Why" behind everything, you're changing the color of the button, share "why" with engineers/designers and to everyone who's involved. - Brainstorm together and involve everyone in the initial phase. - Take engineers along with you while doing user calls, so they understand the pain of the user. - Enjoy together, get out of your office zone, go on tea breaks, team lunch and that's what makes a good bonding and that drives superb collaboration.

I have yet to see a PM collaboration issue that was root cause driven by tooling issues. It's not tooling that costs PM's the ability to collaborate. It's a combination of incentives, training, feedback, and team configuration. The best tools in the world won't undo a perverse set of incentives that reward PM's for antisocial behavior. The best tools won't fix a bad org structure that overweights a few teams. If you want PM collaboration to improve, incentivize PM collaboration. Reward glue work. Make sure that PM's see problems as spaces where it is valued for multiple voices to contribute. Ensure PM's aren't spending all their time fighting churn from leaders and fires from their engineering teams. Then you'll get better collaboration.

Tools won't solve underlying problems that are preventing collaboration -- they're a patch or band-aid over these problems. The hard work lies not in rolling a tool over the problem, but in addressing the underlying culture, attitudes, and dysfunction which are preventing collaboration in the first place. Solve those, and which tools you select don't really matter.
