In the HNW industry, we deal. With expectations that are unlikely capable of being met. The reality is that you have to use that as a goal marker for where your client wants you to be. Your performance is based on how close you get to delivering those expectations, thereby building your ability to deliver time and time again.

It is important to set clear expectations on both sides when starting a new role or working for a new supervisor. When faced with unrealistic expectations it is usually because this was not done at the outset. It is also important to understand the supervisor's leadership and communication style. This will help you meet expectations in the way that they prefer. I like to know the "why" behind delegated tasks. Understanding the level of importance, the goal that is trying to be achieved, and the timeframe, will help you to prioritize better. I ask these questions if the information is not provided to me. Some leaders communicate better than others and some withhold information because they may think it isn't necessary.

The key to expectations is learning how to manage them. In my professional experience, what has always worked for me was learning my Boss. In any instance where something seemed unrealistic, or like a mammoth task I had a detailed conversation to ask about priorities and then aim to ensure the most important points or deliverables are met with the remaining items being completed in succession. However, at its core, all of the expectations can best be managed through open and honest dialog.

Communication is essential - all expectations of what you are meant to do should be clearly defined in the job description and interview. Anything that is brought up after the fact should definitely be assessed if this is something that you can do or you are comfortable to do. More often than not once this line is crossed it lays open for more opportunities of the same issue to arise in the future. Strict boundaries have to be set without the fear of being fired for standing up for yourself.

Working at the edge of your limits is often a balancing act between failure and growth. It is impossible to grow without failing. Experience has shown that failures as well as successes have an impact on our future actions and assessment skills. The more often you reach your limits, the better you can assess and communicate when you have reached them. Let each task work its magic on you and try to view it neutrally alongside your usual workload. If it's a big task, take time to think about it.

The most important thing in an administrative role is to know and establish your limits. Do not bite more than you can chew and most importantly remain transparent with your executive team. Burnout is tremendously prominent in the administrative role and if you have a sit down with your boss and tell them you are approaching this, they oftentimes finally hear your call for help. They won't know however unless you speak up. We as administrators need to be more comfortable speaking up and saying no to avoid burnout.

Seek a dialogue to understand the needs of the business and perspective. There shared opnion will help both parties reach the best solution.

Although our point of view is not always accepted it must always be presented. Do not be shy! You are part of the team. Dialogue encourages reflection, the need to compare ideas and take a stance on difficult issues, contributing to problem solving.

Often times we assume our managers know exactly what we are working on, how we are working on it and what should be expected of us but the truth is that is not the case. How I solve for this is I approach my discussions with my manager with curiosity and empathy. I try to first understand where he/she is coming from & why- is he/she under pressure and it's now being projected onto me? Does he/she not know my current workload? Once I understand, I then provide clarity and share my perspective. Having empathy and being curious changes the tone- rather than being defensive (and letting ego take over) I am more open minded and solutions oriented.

Seek quick extensions for all deadlines and don't over think it. This is your chance to show leadership and quick decision making on your part. Then, take deep breaths, a walk in the fresh air and be thankful that you are so intelligent that you handled it well within timelines. Now, take a longer walk in the office and pick dates to take a couple leave days or call in sick so you have a chance to relax, rest and regroup after that hard work of doing an intense job to the best of your abilities! In the 1:1 meeting, we need to discuss the points maybe there is a miscommunication or we need to break the ice regarding the expectations and then I will discuss my point of view with evidence based on previous data, information, and real situations from the daily activities in case we still struggling we will agree to set a regular meeting to check the status and challenges till finding out.

Acredito que a priorização de tarefas para tentar concluir a meta, ainda que irreal, é uma ótima forma de tentar fazer com que ela se transforme em possível. No pior dos cenários, caso não dê certo, teremos elementos quantitativos suficientes para demonstrar a necessidade da meta ser reajustada.

Identify which task has more urgent deadline, and then prioritize it.. While doing this task, I am brainstorming on how to resolve the newly inserted request of my supervisor.. In this way, I am able to multi-task in an effective manner, because I know in myself that I cannot do anything to do about it rather than finding myself that I'm still doing it for the sake of survival. And I find this strategy of mine very effective.

What do I do if/when my boss's expectations are unrealistic? The same thing I was doing before he have me his list of expectations, work. I believe that I am already working at my compacity. I like my job and take pride in what I do but I honestly will not kill myself to meet the goals of someone else. If I believe that it is something that we can do, then yes, I will push for it. Sorry if that is not the answer many people expected, but it is my honest answer.

In my experience setting clear boundaries and giving good and logical explanations as to why goes over well. i have noticed sometimes people become overly aggressive when they do so and it comes off as attacking or disrespectful. Just be very aware of the words and tone you are using while communicating. Emphasize that what you are saying is in no one a judgement or attack on them or their style of management.

In my experience, setting boundaries usually do not augur well for the Administrative Assistant as the boss will see that as being insubordinate and confrontational. Some things are better done in a subtle way and with utmost discretion.
