In my experience, setting up clear agenda for a meeting is crucial. People need to understand and value each other’s time irrespective of the designation. Clearly stating the agenda would also help the members to research beforehand and give valuable insights during the meeting.

Something like: - Current work in flight - New work requests - Future looking - General discussion This allows you to flow through whats in progress, what needs to be in progress, what is coming down the pipe and then general discussion.

Team meeting should be done whenever it's necessary not all the time repeating the same content. The content must include appreciation for the work done and for the people who contributed more than their limits.

I would suggest you take this a step further and let your team shine. Give them the space and opportunity to present topics, results, issues etc. Let them find their own voices and share their own passions. Let them work through issues and talk about successes with each other. That sharing of ideas and solutions will help them learn and grow more than you speaking the whole time. Challenge yourself. See how little you can speak. Can you just ask questions, instead of sharing answers? Just listen and be grateful to work with them? Facilitate where needed, guide them forward? But can you do this with a minimalist approach? Can you make it your team’s meeting instead of your team meeting?

They are reminders for action items that folks can tag in their inbox to spark action. 2. They enable folks not on the call to stay informed and join or not attend the call as needed. 3. They are your safety net just in case things do not go to plan. One very important thing to do for meetings to be effective is to know when to have one. I learnt this from one of the co-founders of my previous company. If it can be solved on an email, let's avoid a meeting. Involving multiple or even a single person for 30-60mins means taking away that time from them where they could have contributed to something else. Also, one must share a pre-read and agenda before the meeting to avoid wasting time setting context. People for whom the meeting is important will find time to glance through it and it saves everyone from the formalities at the start of the meeting. Lastly, hold everyone accountable to be on time.
