You’re in a time crunch. How can you prioritize tasks effectively?

You also want to think about who is waiting on you? Who needs you to finish something before they can move on? Then ask what is the MVP they need - the minimum viable product. You don't want to over-engineering things, but simply move them forward enough for feedback AND deliver some value. Nothing is valued while it's still on your desk and you're "working" on it. Look at your backlog and ask "What would deliver the most value to the most people" and then what is the least amount of work you can do to deliver that value? Not cutting corners, but moving things along!

Focus on urgent/important tasks first, delegate or schedule important/not urgent ones, delegate or minimize urgent/not important tasks, and eliminate or automate non-urgent/non-important tasks. Regularly reassess priorities to stay efficient.

Task prioritization is pivotal in project management, and my journey has been a lesson in finding the right approach. From my experience, it's clear that choosing the best method is key. Options like the Eisenhower matrix, MoSCoW technique, RICE score, or Kano model offer varied advantages and drawbacks. The goal? Rank tasks by value, impact, effort, and urgency, focusing on high-yield, low-cost activities.

Once you've prioritized your tasks, it's time to plan your schedule accordingly. There are many tools and techniques you can use to organize your tasks and track your progress. Calendars, timers, Gantt charts, and Kanban boards are just a few examples. Experiment with different tools and find the ones that work best for you. Personally, I've found that using a combination of digital and analog tools is most effective. I use a digital calendar to schedule meetings and appointments and a physical planner to plan my daily tasks and jot down important reminders. This hybrid approach allows me to take advantage of the convenience of digital tools while still enjoying the tactile experience of writing things down by hand.

Delegating tasks not only lightens your workload but also allows you to focus on activities that align with your core competencies. It's about recognizing your strengths and weaknesses and leveraging the strengths of others. When prioritizing tasks, I often assess whether certain tasks can be delegated to team members or collaborators who possess the expertise or resources to handle them more efficiently. Engaging with peers or team members in collaborative efforts not only enhances creativity but also accelerates progress towards common goals. In my experience, collaborating with others has often led to innovative solutions and streamlined processes that I wouldn't have achieved working in isolation.

Teniendo claro las tareas a realizar, una correcta distribución y asignación de tareas dentro del equipo es clave para optimizar tiempos. Reuniones estilo "dailies" ayudan a determinar los cuellos de botella que se puedan estar produciendo. y generar colaboración dentro del equipo. Delegar de manera inteligente es beneficioso en todo momento.

Sobre todo si se cuenta con poco tiempo es necesario generar instancias frecuentes de revisión (dependiendo del proyecto pueden ser semanales), de esta manera: Se re-prioriza Se hacen o eliminan taras Se reasignan tareas o equipo de trabajo Se analizan objetivos y se adecuan de ser necesario Se evalúa deuda técnica y otros impedimentos que puedan surgir. Todo esto es un proceso "vivo", no rígido, por lo cual tanto el lider como facilitador y el equipo deben tener además de la claridad la flexibilidad para poder ir ajustando lo que sea necesario para cumplir los objetivos.

It makes them way less scary. 4.Use the right tools: There are tons of apps and resources out there to help you work smarter, not harder. Take advantage of them to speed things up. 5.Learn to say no: Sometimes you gotta put your foot down and say no to stuff that's not a priority. It frees up time for the things that really matter.
