What do you do if you need to delegate tasks efficiently as an entrepreneur?

Start by mapping out your week – think of it like a personal time audit. What do you spend the most time on? Categorize tasks (like marketing, sales, financial, etc.) and tally up the approximate hours you’re spending on each. Take your list and give each one a score from 0 to 10 for these three factors: Pain. Time. Teachability.

Delegate everything that you can. There is no task too small or minor. If it saves you time and energy, delegate it. If it allows you to focus on the big picture, delegate it.

Delegation isn't about dumping work; it's about empowerment. It's about identifying tasks that: Eat up your time (think scheduling meetings or data entry). Don't require your specific skills (let your team shine!). Someone else can excel at (maybe your data whiz can tackle those spreadsheets?). By delegating, you free yourself up to focus on the big picture: Strategic planning: Charting the course for your team's success. Business development: Bringing in new opportunities and partnerships. Creative brainstorming: Those "aha!" moments that move the needle.

Efficient task delegation as an entrepreneur is vital. Start by identifying your strengths and weaknesses, then delegate tasks that others can handle effectively. Clearly communicate expectations and deadlines, and provide necessary resources and support. Trust your team to deliver, but also maintain open lines of communication for feedback and updates. Utilize project management tools to streamline workflows and track progress. Remember, delegation isn't about offloading work; it's about leveraging collective skills to achieve common goals. By empowering your team and focusing on high-priority tasks, you'll free up time to drive your business forward.

Create a list with 4 sections: 1) Love/Great 2) Like/Good 3) Don’t Like / Good 4) Hate / Bad Pull up your calendar and skip through the past month of events, meetings, work blocks, etc. and begin categorizing the type of work you do under each section. If you can quantify time, even better. If not, keep going. Once the list is complete, do this: - Delegate all items in #3 and #4. - Prioritize #1 and #2 and begin thinking through how to best maximize your new found time. - Get ice cream. These were big decisions and you deserve to “treat yo’self”

Make sure to catch up regularly. Plan certain times to meet or chat now and then to see how things are going with the tasks you've given out. This way, you can see if there are any problems or questions and help out if needed.

Three things to consider when choosing: • The person’s skillset (i.e., product design, finance, etc.) • The experience level of the person • The time required to complete the project (likely varies based on #1 and #2). If your go-to person is already juggling too much, pass the baton to your next best choice. If you’re feeling short on bench strength, that might be a sign to bring in new talent.

Choose the right person for the right task. Make sure to match the challenge to their strengths. This will allow you to focus on other items while still lightening your work load.

Be observant and caring. Once you have better understanding about your colleagues, you will reach a stage where you don't have to think as much about who to assign this certain task to. This observation isn't just about their skills and availability. Their personalities, their recent family/relationship issues, their willingness to take up tasks outside of their expertise or positions, their passion in the project and/or the product...all of them matter.

Don’t just delegate to anyone. You should have an understanding of the “functions” of your team. Each with specific skill sets, work types, and abilities. Based on the type of work you’re delegating, do your best to align it with one of the functions on your org chart. It’s important to get this right! We want to care for our teams and ensure they stay within the type of work they are best suited for and love. Hand off the task and provide training as necessary. AND, finally, if their plates are full, help them work through delegating (see my post in #1 Of this thread).

When you’re handing off a task or project, make sure you’re crystal clear on three things: The Why: You’re not giving them this project just to tick a box off your list. Explain to them why this task matters. How does it fit into the bigger picture? The What: Spell out what needs to be done, and don’t skimp on the specifics. If it’s complex, write it down and provide the necessary tools – prep them as if you were prepping yourself. The When: Deadlines are mutual commitments. Both parties should agree that the deadline makes sense and the work (or a phase) can be completed in that period.

In my experience, rather than set expectations, a first time or even a repeat entrepreneur needs to lower their expectations when it comes to others. Having been a serial entrepreneur, even today, I struggle to set realistic expectations from others. I may blame my Intelligence quotient or an innate ability to complete hours worth of work in minutes but being Canadian, I would rather say that I am really passionate about what I do and those levels may not be shared by my colleagues. That being said, realistic expectations are very important to ensure a smooth workflow.

I created a template for assigning tasks, inspired by many articles, videos, and books -- but largely inspired by "Start with Why" by Simon Sinek. My template has a specific flow: Why --> How --> What. At the end, I add notes about some more factors they should consider. You might think this is very time-consuming. But if you think about all the time and resources to be wasted due to unclear expectations and communications, this time is nothing. I'm a very fast keyboard typer, so I'm perfectly fine with this.

Keep checking with them and share ideas -- but don't micromanage! And I know, from my experience, it is very very difficult to keep yourself on this gray area. Watch out for your words. Be confident with your delegates' skills -- and express about it! But most importantly, don't give them too much pressure. Over achievement is often an indicator of huge time and resources wasted.

Invest in training, workshops, or mentorship programs to help your team members develop new skills and grow professionally. This not only benefits them individually but also strengthens the overall capabilities of your team.

Don't be a micro-manager. Empower your team and give them the freedom to execute on the tasks at hand. Be available to help and offer expertise when needed but give them the freedom to work.

The goal here is to provide oversight without micromanaging. First, you should schedule regular check-in meetings with the person leading the project. If it’s a short project (takes a week or less). But for anything longer, you’ll want at least one check-in meeting halfway through. Your job is to help coach them through the blockers and ensure they aren’t drifting off course. Your job is NOT to nitpick every project detail during these check-ins. But you should look for more red flags like stalled progress or if things are moving in the wrong direction.

Don't hover and annoy your team with DMs and constant emails. Monitor your progress via a CRM system or Google documents/sheets. You can see in real time what is taking place.

Manage your tasks accordingly.Break them into smaller steps, like checkpoints along the way. Each step has its own deadline, so you can keep track of how you're doing. When you reach a certain goal, you celebrate your progress to keep you motivated for the next step.

The key to effective delegation is matching the right person with the right task and giving them the right tools to complete it. Getting this right the first time is going to be tricky, so expect to have to tweak things. Don't blame. Ask what went wrong. See if the problem lies with the person, the task or the tools. Try again in light of the feedback, and be prepared to switch up the combination. Get a different person involved, or change the tools. But don't give in to the temptation to get frustrated and just take the task back yourself.
