I’ve found that it’s not just about reflecting on the process afterward—it’s about integrating feedback in real time, during the sessions. Rather than waiting until the end of an activity, we encourage real-time feedback to maintain inclusivity throughout. This could be as simple as pausing midway to ask the group how they feel about the balance of contributions or inviting quieter team members to share their thoughts in the moment. It allows us to adjust as we go, ensuring no one feels sidelined. I’ve seen how immediate feedback not only promotes inclusivity but also gives people the confidence to speak up during the activity itself. It’s about creating an environment where everyone’s ideas are valued from the start.

I’ve found that fostering an environment where every voice is heard goes beyond just setting ground rules. It’s about creating a culture of trust and psychological safety from the outset. While structure and time limits help, it’s just as important to actively facilitate the session in a way that encourages quieter voices to speak up and dominant ones to reflect. Gentle interventions can make a huge difference—prompting others to contribute, using open-ended questions, or even pausing to let reflections settle. At the heart of it is respect for each person’s input and making sure everyone feels seen and valued, not just heard!

Clear and effective communication is often the difference between success and failure in high-pressure work settings. Effective communication has been a cornerstone of my leadership toolkit during many high-pressure situations. While your teams (and stakeholders) must decide for themselves what they need to do to achieve the goal, your role in articulating the why and the what are crucial. Your relationships and a high level of trust quickly become the the enablers for for you to succeed. Communication is everything.
