Manage user accounts from an Android device

As your organization’s administrator, you can use the Google Admin app to perform essential administrative tasks from your Android smartphone or tablet.

To complete these steps, you need the appropriate User management privilege. Without this privilege, you won’t see all the controls needed to complete these steps.

Manage user access

Add new users and send them account details

Before people in your organization can begin using a Google service, you need to add each user to the service.

Note: You can also add users from Google Contacts on your Android device.

To add a new user:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap Add and thenAdd a new user.
  5. Enter the user’s details.
  6. If your account has multiple domains associated with it, tap the list of domains and select the domain you want to add the user.
  7. (Optional) Set the user’s initial password.

    By default, the Google Admin app generates a temporary password for the new user. The password length is greater than the required character minimum (8), or the minimum password length you set for your domain.

    • (Optional) To change the initial password, change Auto generate password to OFF and enter a new password twice.

      Google requires the password to be at least 8 characters. See Password help for tips on how to create a strong password.

    • (Optional) Require the user to change their password when they next sign in.

      By default, this requirement is on.

  8. (Optional) To add more user information, tap Add More Info. This information is visible in the Google Admin console and Gmail contacts.
  9. Tap Done .
  10.  (Optional) To send account details to the new user, tap Share.
Suspend users

You can temporarily block a user’s access to your organization’s Google services by suspending the user’s account. This doesn’t delete the user’s profile or data. However, the user can no longer sign in to the managed Google account or receive new email and calendar invitations (with Google Workspace).

When you suspend a user’s account, you can also transfer the ownership of the user’s Google Drive or Google+ data to another user. 

To suspend one or more users:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap a user’s image to select them. You can select more than one user.
  5. Tap Suspend . If you don't see this icon, tap More and thenSuspend user.
  6. Tap Suspend to confirm.

To suspend a single user from the user’s account page:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap the user’s name to open their account page.
  5. Tap Suspend . If you don't see this icon, tap More and thenSuspend user.
  6. Tap Suspend to confirm.

To suspend one or more users and transfer their Google+ or Drive data:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap the user images and tap Suspend . If you don't see this icon, tap More and thenSuspend user.
  5. Tap Suspend and transfer data.
  6. Tap Select.
  7. Tap the name of the user who is the receiver of the data.
  8. Select which data to transfer and (optionally) select Include private data.
  9. Tap Transfer.
Delete users

When a user leaves your organization, you might want to delete their managed Google account. Deleting a user’s account deletes their data—including their email messages and calendar data (in Google Workspace). It also blocks them from accessing your organization’s managed Google services.

When you delete a user’s account, you can also transfer the ownership of the user’s Drive or Google+ data to another user. 

To delete one or more users:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap a user’s image to select them. You can select more than one user.
  5. Tap Delete . If you don't see this icon, tap More and thenDelete user.
  6. Tap Delete to confirm.

To delete a single user from the user’s account page:

  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap the user’s name to open their account page.
  5. Tap Delete . If you don't see this icon, tap More and thenDelete user.
  6. Tap Delete to confirm.

To delete one or more users and transfer their Google+ or Drive data:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap the user images and tap Delete . If you don't see this icon, tap More and thenDelete user.
  5. Tap Transfer data and delete.
  6. Tap Select.
  7. Tap the name of the user who is the receiver of the data.
  8. Select which data to transfer and (optionally) select Include private data.
  9. Tap Transfer.
Reset a user’s password

If a user forgets their password for a managed Google account, or if you think their account has been compromised, you can reset their password. If you've forgotten your administrator password, see Reset your administrator password.

To reset a user’s password:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap the user’s image to select it.
  5. Tap Reset . By default, Auto generate password is turned on, which generates a random password. Turn it off if you want to set the password. If you choose to set the password, enter it and re-enter it to confirm.
  6. (Optional) To force a user to change their password when they next sign in, turn on Require user to change password in next login.
  7. Tap Reset.

    If a secondary email address is available for the user, the user is automatically notified of the password change via that email address. If no email address is available, tap Notify to alert the user of the password change using another method.

Restore a suspended user’s account

As  your organization's administrator, you can restore suspended user accounts that were:

  • Manually suspended by you (or another administrator) to temporarily block their access.
  • Automatically suspended by our systems for being at risk.
  • Automatically suspended from Gmail (Google Workspace only) for exceeding the account limits.

After you restore an account, users can sign in and access all their services and data. They receive email, calendar invitations, and so on, just like before they were suspended.

To restore a suspended user’s account:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap All usersand thenSuspended to show only suspended users.
  5. Tap the suspended user’s name.
  6. On the user’s account page, tap More and thenRestore userand thenRestore to confirm.

Manage user Drive or Google+ data (Google Workspace only)

Transfer user Drive or Google+ data

You can transfer ownership of Drive or Google+ data from one or more users to another. The user from whom you transfer the data continues to have access to their account and can continue to create data.

To transfer a user’s Drive or Google+ data:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap the user’s name whose data you want to transfer.
  5. Tap Transfer data . If you don't see this icon, tap More and thenTransfer data.
  6. Tap Select, then tap the name of the user receiving the data.
  7. Select which data to transfer and (optionally) select Include private data.
  8. Tap Transfer.
Check the status of your data transfers

You can see a list of users from whom data is being transferred, or a list of users for whom the data transfer has failed.

To list users who have a data transfer in progress:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap All users.
  5. Tap Data transfer in progress to see all users from whom data is being transferred.

To list users with unsuccessful data transfers:

  1. Open the Google Admin app .
  2. If necessary, switch to your administrator account: Tap Menu and thenthe Down arrow and thenyour admin account.
  3. Tap Menu and thenUsers.
  4. Tap All users.
  5. Tap Data transfer failed to see all users with unsuccessful data transfers.
