Enroll and license Meet hardware devices

When you enroll a Meet hardware device, it’s assigned a Meet hardware license and added to the devices list in your Admin console. You can allow users to enroll devices, or only allow administrators with the required privilege to do it.

Before you begin

If you haven’t already, prepare for enrolling devices by performing the following steps:

  1. Sign in to admin.google.com with your administrator account and accept the latest Google Meet hardware Terms of Service.
  2. In the Admin console, verify your organization’s domain if you haven't already done so.
  3. Confirm that you have a Meet hardware license for each device you want to enroll:
    1. Sign in to your Google Admin console.

      Sign in using your administrator account (does not end in @gmail.com).

    2. Go to Menu > Devices>Google Meet hardware>Devices.
      At the left, under More, the License management section will describe how many licenses are in use.
    3. If you don’t have enough licenses, buy Meet hardware licenses.
  4. (Optional) For Desk 27 and Board 65 devices, decide if you want to use single sign-on (SSO) with the device. For details, see Configure SAML single sign-on for Chrome OS devices.
  5. (Optional) If you re-enroll a device without first deprovisioning it, the Admin console will create a completely new record with a new device ID. The old record will still be there, and you'll need to deprovision it to free up its license. Settings from the old record won't automatically carry over to the new one. To re-enroll a ChromeOS device that was previously enrolled, wipe the device.

Enroll a ChromeOS device

Desk 27 and Board 65 are ChromeOS devices. Take the following steps to enroll a ChromeOS device:

  1. Press the power button to turn on the device.
  2. (Optional) Connect a USB keyboard to the device.
    You can enroll a device without using a USB keyboard, but the virtual keyboard will not appear on the touchscreen. 
  3. Complete the on-screen setup to select your: 
    • Language
    • Keyboard layout
    • Time zone
    • Network
  4. (Optional) Customize setup options:
    • To customize accessibility options for the setup process, click Accessibility and choose your options.
    • To allow your device to send information to Google, click Help make Chrome OS better by automatically sending diagnostic and usage data to Google. For details on what gets reported, go to Error reporting in Change settings for all devices.
    • To set hardware security features, click System security settings. For details on the features, go to About the secure module.
  5. Read and accept the Chrome OS Terms of Service.
  6. Sign in with your Google Workspace email address and password.
    • If your organization limits who can enroll devices and your Workspace account isn’t a super admin account, make sure that it has the Enroll Google Meet hardware admin privilege. Learn how to View role assignments and privileges.
    • If 2-Step Verification is turned on, use your USB-A security key or one-time-password (OTP) to sign in..
  7. When enrollment is complete, click Done.
  8. When the Google Meet hardware screen appears, follow the on-screen instructions to test your camera, microphone, and speaker.
    Tip: If you can’t see video or hear audio during the test, make sure your camera, microphone, and any speakers are connected. It might help to unplug the cables and plug them in again.

Enroll a non-ChromeOS device

Take the following steps to enroll non-ChromeOS devices, such as Poly Studio X and Logitech devices: 

  1. Turn on your device.
  2. Ensure your touch controller is paired to the device and online. If it isn’t, you must pair it before continuing.
    1. For Poly Studio X devices, access the System Web Interface to ensure it is paired.
    2. For Logitech devices, access the room device settings to check the pairing status.

      As soon as it’s paired, select Google Meet as your provider of choice.

  3. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  4. Go to Menu and then Devicesand thenGoogle Meet hardwareand thenDevices.
  5. In the bottom left of the page, in the More section, click Enroll a device with a code and enter the code displayed on your Logitech or Poly device.

Limit who can enroll Meet hardware devices

As an administrator, you can restrict who can enroll devices. This helps prevent Meet hardware licenses from being used by unauthorized users. Updating these settings doesn’t impact devices that are already enrolled.

To control who can enroll devices: 

  1. Sign in to your Google Admin console.

    Sign in using your administrator account (does not end in @gmail.com).

  2. Go to Menu and then Devicesand thenGoogle Meet hardwareand thenSettings.
  3. Click Service settings, check the Require enrollment privilege box, and click Save.
  4. Create or edit a custom admin role that has the Enroll Google Meet hardware privilege. 
  5. To allow users to enroll devices, assign the role.
     

Troubleshoot enrollment issues

Issue How to fix it

Not enough available licenses

Account not allowed to enroll devices Ask your Google Workspace administrator to give your account the required privilege to enroll Google Meet hardware, following steps 4 and 5 in Limit who can enroll Meet hardware devices.
In the Admin console under Devices, Google Meet hardware is grayed out and the screen displays a 403 forbidden error Ask your Google Workspace administrator to give your account the required privilege to enroll Google Meet hardware, following steps 4 and 5 in Limit who can enroll Meet hardware devices.
Device displays an error screen after being enrolled The device has an older version of ChromeOS and needs to be updated. The process can take a few hours. Reboot the device after the device is updated and it should be fixed.
Unsupported device

Check out End of life device information to see if your device is still supported. 

Chromeboxes and Chromebases purchased with the Chrome OS can't be changed to a standard video conferencing system.
