*Overview*
We are a Commercial Construction Management firm seeking a highly organized and detail-oriented Administrative Assistant to join our team.
You will play a crucial role in supporting our daily operations and ensuring smooth workflow.
The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively.
*Responsibilities*
· Greet and direct visitors.
· Answer phones, assist callers, direct calls and take messages in a professional manner.
· Manage phone system programming.
· Calendar management and scheduling.
· General bookkeeping, A/R & A/P.
· Travel arrangements as needed.
· Ensure office equipment is running properly.
· Maintain office supply inventory (cost-consciously), and place orders, as necessary.
· Prepare outgoing mail and coordinate the pick-up and delivery of express mail services (certified mail, FedEx, UPS, etc.
), as necessary.
· Provide administrative assistance to office staff (photocopying, faxing, filing, emailing, collating, etc.
).
· Maintain general cleanliness of office and kitchen areas.
· Monitor and maintain distribution of electronic equipment to staff
General:
·· Assist as needed in the planning and execution of company events, meetings, luncheons, and team building activities.
· Local errands, as needed.
· Maintain strong rapport with teammates, clients, vendors and subcontractors through consistent communication and follow up.
· Report to work at the scheduled time, work as scheduled and is seldom absent from work.
*Qualifications*
*Knowledge, Skills and Abilities:*
· Proficient in Microsoft Office (WORD, EXCEL, OUTLOOK),
· General bookkeeping, A/R & A/P
· Procore or ability to learn within 3-month period from employment.
· Possess accurate and precise attention to detail.
· Ability to solve practical problems and to exercise sound judgment.
· Self-motivated and self-directed.
· Ability to multi-task, prioritize and manage time effectively.
· Ability to communicate effectively both verbally and in writing.
Thorough knowledge of proper English usage/grammar, composition, spelling and punctuation.
· Ability to establish and maintain solid working relationships with team members, vendors and customers.
· Must be a current Florida resident and possess a valid Florida Driver’s License, ability to use personal vehicle for company business and ability to meet minimum insurance requirements.
· Ability to pass a background check and drug screen.
