Job Summary:
Direct and manage client requests for all Kaiser Permanente (KPNW) customer departments and potential external customer needs which may include print publications and other electronic media.
Act as a liaison for the department, working closely with clients to ensure all printed collateral meet business requirements and client objectives.
Manage the web-based catalog of KPNW forms and documents.
Administer job tickets and delivery tickets for project records, including assigning accountabilities and project specifications, database training, and file maintenance.
Essential Responsibilities: Collaborate with Kaiser Permanente and other clients for requested projects.
Consults clients in understanding, developing, and clarifying needs.
Assess client requests and needs to determine if there are needed materials.
Consult print customer on print production procedures and processes, advising on best practices.
Proactively manage ongoing document needs by product and direct goals for individual and product materials from implementation to completion, assuring brand identity guidelines are met.
Negotiate scope, budget, and objectives of projects.
Work within given budgets.
Decide appropriate solutions for problems that arise during projects and manage projects as assigned.
Enter and track projects through department software, PrintSmith, and ensure timely delivery of assigned projects.
Initiate job requests for production of graphic projects.
Advise manager of Print and Graphic Services on communications issues, client needs, and department workload.
Routine analysis of workflow needs to manage changing urgent/emergent demands.
Maintain working relationships with counterparts at specified partner departments to implement work process standards.
Project manage special events and critical deadline requests.
Provide expert user project reports.
Help to coordinate the department in a cost-effective manner.
Reconcile expenses and production costs to ensure budgetary targets are achieved.
Reduce department and regional costs by auditing job tickets to ensure accuracy of internal and external costs.
Create multiple month-end financial reports, including monthly cost savings report, and submit to Print and Graphic Services manager and Accounting department.
Work and coordinate with outside vendors for additional services and overflow work within KPNW PCS.
Communicate within department team accountabilities and project instructions.
Plan, develop, and implement timelines and coordinate deadlines with print production coordinator.
Schedule meetings between graphics, press, quick copy, or outside vendors as needed.
Maintain daily production schedule workflow through utilization of production board.
Build accurate, complex project job cost estimates for both potential graphics and print requests.
Provides routine oversight to ensure that all work projects are kept within client budget agreements.
Cooperate with Print and Graphics Services manager in successfully identifying, initiating follow-up, and implementation of internal and/or external messaging on product line, services, and capabilities.
Attends monthly Regional Forms Committee meeting.
Works with the Northwest Regional HIM Leadership Team to identify and update consent forms.
Performs other duties as assigned, consistent with the Job Description Basic Qualifications: Experience Minimum two (2) years of experience in print or related field and in-depth proven knowledge of customer service and guidance.
Minimum two (2) years of experience in a design firm, print house, in-house corporate publications department, print shop or advertising agency working in a PC environment working as a traffic coordinator, project manager, or assistant.
Education Associates degree in marketing communications, business OR two (2) years of experience in a directly related field.
High School Diploma or General Education Development (GED) required.
License, Certification, Registration N/A Additional Requirements: Working knowledge of document production.
Proficient with word processing, e-mail, and other basic desktop computer productivity tools.
Excellent verbal and written English communication skills.
Ability to use computer keyboard, computer information systems, spreadsheets and word processing with proficiency, strong background in Microsoft Office Suite.
Demonstrated literacy keyboarding at 35 wpm, data entry experience using a multiform screen.
Effective problem solving, analytical, organizational skills and time management skills.
Ability to work independently with indirect supervision and maintain effectiveness in busy environment.
Effective interpersonal, customer service and communication skills including cooperative work relationships in small work groups.
Strong organizational skills Preferred Qualifications: Minimum three (3) years of experience in a design firm, print house, in-house corporate publications department, or advertising agency working in a PC environment working as a traffic coordinator, project manager or assistant.
Thorough knowledge of Windows software, and experience in page layout programs.
Thorough knowledge of Kaiser Permanente graphic standard.
Working knowledge of publication production.
Working knowledge of print production terminology and standards.
Working knowledge of portable document format (pdf) technologies, file transfer, encoding, and compression options.
Basic knowledge of postal regulations.
