Job Description:
Under the direction of the Finance/HR Director, the Accounting Assistant is responsible for all accounting administrative functions including, but not limited to:
General
Assist with office administration and management.
Follow-up on all past due media open orders and reconcile in the system.
Close/file jobs after all vendor invoices are reconciled and client billed.
Update client and vendor files as needed.
Handle clients/vendors questions and concerns.
Keep updated inventory and fixed assets reports.
Additional tasks as needed.
Accounts Receivables
Become familiar with each client, their contracts and billing requirements.
Pre-bill client estimates as outlined in client contract and according to PUSH billing procedure policies.
Project reconciliation and billing.
Send the account executive team client invoices for approval of monthly billing.
Finalize, post and email invoices to clients.
Use best judgment to resolve discrepancies of job costs and estimates with the media and production department and discuss with the account executive.
Notify Finance Director of any unresolved issues and/or billing concerns.
Accounts Payable
Enter and post all vendor invoices (i.
e.
media, production and operating expenses) following internal approval.
Keep original vendor invoices in A/P files.
Reconcile American Express with vendor invoice/Receipts.
