*Position Summary:*
IET Systems, Inc has an immediate need for an experienced *Project and Construction Administrative Assistant* whom will be responsible for a variety of administrative/clerical support tasks.
The successful candidate will have the opportunity to assist on several different projects as well as act as a central communications hub for all employees to include: Executive Management, Project Managers, Technicians, and Field Crew.
*Essential Duties and Responsibilities:*
* Gathers, compiles, tracks and reports on information relevant to project assignment from multiple sources
* Organize and maintains files, refers callers, arranges meetings and conferences, receives, refers and answers mail
* Compiles, reviews, and analyzes data to ensure projects are on schedule
* Effectively monitor, research, analyze and report on project costs
* Research, Review, and Ensure that all required documents are submitted with bid proposals
* Manage/apply for various permits.
Pull permits & interact with local municipalities
* Work directly and communicate directly with controller with regards to change orders and all materials ordered to ensure job-cost are properly accounted
* File Contracts, Purchase Orders and Change Orders to respective folders
*Qualifications:*
* The ideal candidate must be capable of succeeding with relative autonomy in a fast-paced, multi-task environment, applying project management and analytical skills coupled with sound judgment and discretion to help design and execute the many activities and sensitive matters that arise
* Excellent oral, written, presentation and interpersonal communication skills to effectively exercise tact, discretion, judgment and diplomacy when interacting and/or negotiating with internal and external customers daily
* Ability to support and administer compliance with project and construction management
* Must be dependable, punctual, flexible, and emotionally stable
* 3+ years in construction setting
* Proficiency in Microsoft Office/ and or Office 365 applications preferred
* Knowledge of Tiger Paw Software and preparation of Gantt Charts is a plus
