We are currently seeking a skilled and dedicated Office Manager to join our dynamic team.
*Job Description:* As the Office Manager at our dealership, you will play a vital role in ensuring the smooth operation of our office functions.
Your responsibilities will include managing office supplies, handling title work for cars, and performing reception duties.
Your role is pivotal in maintaining our reputation for efficiency and professionalism.
*Key Responsibilities:* * Oversee the processing and management of vehicle titles.
* Efficiently manage office supplies, ensuring adequate stock and budget compliance.
* Serve as the first point of contact for our clients, offering exceptional customer service.
* Coordinate and manage office administrative tasks to ensure smooth day-to-day operations.
* Maintain accurate records and manage documentation with attention to detail.
* Collaborate with various departments to support overall dealership operations.
*Qualifications:* * Processes all new and used vehicles for registration in the state in which they will be titled.
* Prepares tax and title documents.
* Submits all legal transfer work to the Department of Motor Vehicles.
* Verifies that funds have been collected and the correct lien holder paid off before processing title applications.
* Checks for accuracy in the application and ensures that all information is complete.
* Prepares payoff checks for new vehicles and trade-ins.
* Bills out all dealer trades and prepares Certificates of Origin.
* Maintains a system to verify out-of-state titles.
* Compiles and maintains a complete list of all outstanding title work.
Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the comptroller at the end of month.
* Signs over titles for all wholesalers who have paid in full.
Prepares a monthly report to management of any funds not collected from wholesalers due to missing or incomplete title work.
* Processes/registers all vehicle warranties and extended service contracts, maintaining a log of all contracts processed and mailed.
* Processes yearly renewal of dealer tags.
* Stays abreast of title regulations.
* Proven experience in office management, preferably in a dealership environment.
* Strong understanding of title processing and vehicle documentation.
* Excellent organizational and multitasking abilities.
* Proficient in MS Office and/or Google Workspace and general office equipment.
* Exceptional communication and interpersonal skills.
* Ability to work independently and in a team setting.
* Must be able to pass a comprehensive background check.
