Responsibilities: The position resides in the Legal Department of the Health System, reporting to the USA Health Chief Legal Counsel for USA Health in coordination with the Purchasing Department Director.
The position assist the Contract Coordinator and will be responsible for maintaining all Health System contracts, facilitating the execution of contracts, maintaining a database of all contracts, working with legal as needed, as well as tracking the progress of new contracts through the contract process from start to finish; the position will also assist in various purchasing department activities as needed' maintains contracts for new and existing business; tracks authorizations and correspondence related to contracts from start to finish, including all drafts, legal reviews, through execution; maintains detailed and organized files (includes organizing and filing existing contracts); maintains an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules; maintains a computer database for the company' s contract management system; prepares and disseminates information to appropriate employees regarding contract status; facilitates contractor meetings if needed; ensures that the contractor follows legal requirements, owner specifications and government or state regulations; maintains Business Associate Agreements as required for each contractor; provides contract summaries and ensure contract execution in accordance with company policy; demonstrates excellent written and verbal communication skills; adheres to Health System policies including confidentiality; assists in contract bid and/or renewal activities as needed; assists in various purchasing department tasks as assigned; completes or helps department managers complete Health System agreement checklists; operates PC to complete assigned tasks; exhibits strong analytical and critical thinking abilities; performs special projects and other work assigned by supervisor; implements new software or systems as needed; works closely with University legal department on any legal review needed for contracts; adheres to current Infection Control and Safety Standards; inputs contracts and pricing in Aperek materials management system as needed; maintains familiarity with Alabama Competitive Bid Law and USA Health System group purchasing organizations including their websites/contract search tools; regular and prompt attendance and the ability to work the assigned schedule and overtime as required; related duties as required.
Qualifications: Bachelor’s degree from an accredited institution as approved and accepted by the University of South Alabama.
Directly related experience will substitute on a year-for-basis for the required education.
