*Responsibilities and Duties:*
* Provide high-level administrative support to executives and other team members.
* Manage calendars, schedule appointments, coordinate meetings, and arrange travel plans.
* Efficiently manage day-to-day administrative duties efficiently.
* Prepare and proofread documents, reports, and presentations.
* Serve as a liaison between team members across all offices.
* Professionally manage emails, phone calls, and correspondence.
* Work alongside the marketing team and assist with social media interaction.
* Maintain and track CLE records for attorneys.
* Prepare and submit expense/reimbursement reports.
* Create and update forms and templates for practice groups and update cases in CRM system.
* Develops and maintains positive liaison relationships with various internal and external customers including employees, executives, board members and the general-public.
* Assist with the intake of potential new clients.
* Assist with the coordination of the law firm’s President’s personal and business matters.
* Perform other duties and responsibilities as assigned.
*Qualifications:*
* Minimum of 3 years’ experience in a similar executive support role, preferably in a law firm or professional services environment.
* Excellent interpersonal, verbal, and written communication skills, including the ability to communicate effectively in a virtual environment (e.
g.
, via phone, web/videoconference).
* Ability to cultivate and sustain positive relationships, both internally and externally, while maintaining a client service-oriented approach.
* Demonstrate ability to use good judgment in taking initiative while asking for direction or clarification and consulting others, as appropriate.
* Proactive and resourceful, with the ability to anticipate needs.
* Can-do attitude and flexible approach.
* Demonstrate strong organizational skills, effective follow-through, and the capacity to apply meticulous attention to detail across all levels of work.
* Ability to multi-task in a fast-paced environment, ensuring high-quality work and timely response to deadlines, while effectively balancing workload.
* Perform tasks that may be highly confidential or sensitive in nature, requiring discretion and diplomacy.
* Proficient in MS Office products (Word, Excel, PowerPoint, and Outlook) with a tech-savvy aptitude, capable of quickly mastering new software applications.
Possesses the ability to troubleshoot basic technical issues.
* Must be able to work overtime as needed.
