Lead and Contact Management

The Leads and Contacts module in Vtiger CRM helps you differentiate qualified customers from the list of unqualified customers. You can store all their information under one umbrella to manage them better.
Good contact management improves sales, marketing, and customer service and saves time.  With Vtiger, you have all you need for effective contact management.

You can customize your contacts by modifying the following:

  1. Contacts Fields and Layout: You can add/modify fields and the layout of the fields. You can also identify header and key fields that you would like to be shown
  2. Deduplication rules: Identify the duplicate matching fields (usually the email address or phone number), and let Vtiger do the rest. Though you can use the duplicate merging tool to merge records after importing, it is better to do this before importing your data.
  3. Consents: Vtiger Privacy Guard allows you to configure the consents you need to comply with privacy laws such as GDPR in Europe. Contacts will be able to grant consent from the communication preferences page and contact forms. 
  4. Contact Lifecycle Stages and Statuses: From Lead Stage to Customer, your Contact's lifecycle will involve many stages. Each stage will also have statuses (For example: The lead stage might have Hot, and Cold statuses). You can customize these from the picklist editor, and the mapping to the stage-specific statuses can be done on the Picklist Dependency Settings page.
  5. Contact Profile Score: You can customize the scoring rules from the Profile Score configuration page.
  6. Contact Engagement ScoreTrack your email interactions with a lead or a contact using Engagement Score. Engagement score is a point added to a contact on every interaction.
  7. Contact Closed States: The contact has been converted to a customer after a deal is closed successfully.
  8. Contact One View: In the Contact Summary view, you can see everything you need on one page. From One View Settings, you can customize the related records you would like to see when viewing a Contact
  9. Contact Analytics: Any stats related to the contact, such as outstanding invoice amount, and the # of products bought, can be shown on the Contact Analytics page.

Organizations

An organization represents a company you are doing business with. It could have multiple employees and sell multiple products or services. Organization records are typically created for those who buy from your business.
Now, a Contact can be someone doing business personally or representing an organization you are doing business with. You create a contact record whenever you have a potential lead or new contact. You can create an organization record linking the contact to the organization. 

Note: An organization record might be linked to multiple contacts.

Vtiger CRM provides many advantages by interlinking organizations with contacts, deals, and quotes. 

  • While adding an organization, you can create quotes, contacts, contracts, sales orders, invoices, etc.
  • Whenever you add/modify data in one record, all linked records (contact, deals, etc.) are also updated. 
  • When a lead is converted into a deal, a Contact record and an Organization record are created simultaneously to store personal and company information.
  • The Roll-up advantage: Any comments on related records can be viewed in the deal by clicking on the ‘roll up’ button in the comments section.

You can take the following actions in the CRM to manage organizational data:

Communicating with a Contact

What if you wanted to reach the contact linked to an organization record? That's easy.
You can call, email, or send an SMS to any contacts associated with an organization record in the List View or the Summary View.

Marketing Lists

A marketing list is a selected list of leads, contacts, or organizations at whom you launch an email campaign. You can create or select an existing marketing list while creating an email campaign. For example, you would like your prospective customers to know about the unique features of your product. You first create an email campaign about your product. Then you create a marketing list of only your leads and use the list for your email campaign. 

You can create a marketing list from the Marketing Lists module or while creating an email campaign. 

 
To create an marketing lists, you need to create an marketing list segment. A segment is a part of a marketing list.
When you want to send an email campaign only to a select group of contacts in a marketing list, then you can create a segment of the list.
You can create a segment in a marketing list from the list’s Summary View or while creating an email campaign.

Find Duplicates 

Duplicate records in a module have the same name and information as one or more records in the same module. To maintain your data integrity, Vtiger helps you prevent the creation of duplicate records in the CRM from any source.
By removing duplicate records, you can eliminate identical information as well as save storage space in the CRM.

There are plenty of ways through which duplicate records can accumulate in the CRM. Duplicate records are created:

  • When you create, import, or perform a mass edit on records 
  • When you create records using  Quick Create
  • From Mailroom, Workflows, Webforms, and Chrome Plugin features

If you set up duplicate prevention, then duplicate records are not created from the above processes.

The Duplicate Prevention setting prevents the creation of duplicate records. By setting up a duplicate prevention check, you can prevent users and external applications from creating duplicate records in a module. 

Note: You can set up duplicate prevention only if you are an Admin user.

 

Lead Capture

Lead capture in Vtiger CRM helps businesses automatically collect and organize potential customer information from multiple sources, streamlining the lead generation process.

With lead capture, you can import data into Vtiger CRM using the import tool from the Main Menu > Marketing > Lead Capture.

In Vtiger CRM, you can create the following appointments:

Email Campaigns

Regular
Regular email campaigns are promotional emails sent to your contacts. You can send them immediately or at a scheduled time.
For example, if you sell some of your products at a discount and want to inform your customers,  you can send them an email campaign. 

 
Autoresponder 
Autoresponder email campaigns are emails you send in response to the contacts’ reaction to your previous email campaign. They are sent automatically when triggered at the scheduled date and time. You must set up trigger conditions, the date, and the time at which they must be sent.
For example, you send a Christmas offer to your customers through an email campaign. When they buy a product from the offer, you send them an autoresponder email with a Thank You note. The autoresponder is triggered automatically when they buy a product from the offer mentioned in the email.
