We're excited to announce that Comeen is now available on iPad! Setting up and managing your workspace has never been easier. Whether you're using Comeen for visitors management or meeting room scheduling, our app provides a seamless and efficient experience on iPad.

Easy setup in just a few steps:

  1. Download the Comeen iOS App: Visit the App Store, download the Comeen app, and set up Guided Access to ensure Comeen is the only accessible app.

  2. Follow the Setup Process: Once the app is installed, follow the on-screen instructions and pair your iPad with the appropriate feature—Visitor or Signage.

Note: If you’re new to these solutions, additional setup steps may be required.

Ever found yourself aimlessly searching for an available room for a last-minute meeting? We understand how frustrating that can be. That's why we've introduced a new feature: the Meeting Room Dashboard!

Benefits

  • Smartly display all your rooms on an intuitive display, making it easy for employees to see which rooms are available, occupied, or soon to be occupied.

  • Broadcast the dashboard on selected screens in key locations, ensuring employees can find the information they need right when they need it.

  • The dashboard provides essential information, such as:

    ➡️ Room capacity

    ➡️ Room floor

    ➡️ Room status over a 6-hour rolling period

How it works

To implement this feature, your first need to synchronize your meeting rooms with Comeen. Then create the dashboard and select the option you wish to implement. More info on how to do that, right here.

To share the dashboard on your screens, use Comeen digital signage solution. Once the dedicated screens are linked to the platform, follow these simple steps:

  1. Create a playlist.

  2. Add new content.

  3. Select "Website" and paste the dashboard URL. Save. That's it!

🎨 Customize your meeting room tablets for an optimized look and feel

Match Your Brand. You can set the same background for all tablets to create a sense of uniformity and reflect your corporate branding.

Easy Room Identification. It's easy to get lost with a long list of rooms. Set a unique background for each room to help employees remember the names and locations.

This will bring more professionalism, modernity, and clarity to your meeting rooms.

How to use this feature?

First, make sure you've deployed meeting room signage. Once that's done, follow these simple steps:

  1. Go to the playlist(s) where your meeting rooms are listed.

  2. Click to edit the meeting room and scroll down to "Background Image".

  3. Choose an image from the library, save, and you're good to go!

NB: Depending on how many backgrounds you need, you might need more than one playlist.

Check-in before your meeting starts

This new feature significantly streamlines the transition between meetings.

You no longer need to wait for the current meeting to end and the next one to begin before checking into your room. It's designed to make your meeting experience more efficient and seamless.

Please note that this feature is already available for users with meeting room tablets.

Auto-delete unconfirmed recurring meetings

In today's fast-paced business environment, efficiently managing meeting spaces is essential for maximizing resource allocation and boosting productivity. Often, rooms are booked for recurring meetings that end up not being used, leading to wasted space. To tackle this issue, we've introduced a new feature in Comeen.

Activate the automatic release of your meeting room 👀

Until today, the organizer was able to receive a message on his usual tool asking him to confirm the meeting room. If no response was received after X minutes, the meeting room was released. In line with the desire to save teams time and free up unused space, the feature goes further now. If a meeting room hasn't been confirmed for X number of times, it's simply removed from the event altogether.

On the admin side 💡

On the administrator side, all you have to do is activate the automatic release of meeting rooms and then set how the recurring meeting release feature will function:

  • Choose how long it takes for the organizer to receive a notification to confirm that the room has been released
  • Choose the number of missed confirmations before the meeting room is removed from the event

On the user side 👩🏽‍💻

It's very simple: if you're the meeting organizer, every time you have a meeting with a room, you'll receive a message asking you to confirm the room. It will be released automatically if you don't reply.

And if you don't reply X times in a row, you'll be notified that it's been removed from your event.

Daily recap of meeting room bookings!

Do you like to plan? Because we do! To release unnecessary room bookings as soon as possible, we've created a feature that sends users a daily notification of their bookings.

Why is this awesome? 🌟

Instead of freeing a room 10 minutes before a meeting starts, you can now release it early enough for others to re-book!

What happens on the admin side? ⚙️

Admins can set a morning notification to all users, asking them to confirm or release their rooms at the start of the day rather than a few minutes before.

The implementation of this feature is as simple as the others:

  • Go to your usual settings and activate the summary notifications

  • Select the hour at which the notification should be sent

  • Choose if you enable the user to confirm the room as well as releasing it.

And that's it. Easy, right?

What do the users see? 👁

Users will receive a notification in their usual chat tool listing the day's bookings. They can confirm or release rooms directly from the notification, based on admin settings.

Well, we've got your back!

Whether you're commuting on the subway, bus, or just about to step out the door,

Grab your phone.

Open Google Chat.

And simply type: /teammates.

🪄 Like magic, you'll instantly see which of your teammates are also headed to the office.

Here are a few things to keep in mind:

  • This is a day-to-day feature. It'll only show who's in the office for the current day.

  • Make sure to set up your team in advance. You can do this through the Google add-on or the Comeen Workplace platform.

Declare a different presence in the morning and afternoon

You need to mark that you're OOO only in the morning and not in the afternoon, but then how do you book your office to go to your company in the afternoon? Complicated to set up and justify? It's now fully integrated into Comeen.

A new integrated half-presence ✨

Directly added to the usual place for your declarations in your tool, you can now choose the status of your choice:

  • At the office
  • Remote
  • OOO
  • Other

For 3 situations: the whole day - morning - or afternoon only.

Simply click on what suits you and it will make a booking as usual. How convenient is that?

The "Other" Status

You're not in the office, nor OOO, nor remote: but where are you?

You've been waiting for it for a long time, and it's finally here: Other status is now available in the various states you can declare on Comeen Workplace.

A new status for a presence on the move 🕺🏻

You can use the new "Other" status to your heart's content, whether you're on the move, in a customer meeting, at an event… everything that counts, just as if you were in the office, but without booking a physical presence for yourself.

1.png On the manager's side, you'll be counted as a working day with a real presence.

How to use it? 🙋🏻

It's very simple: this new "Other" status has been added to the 3 others that already exist: in the office, remote or OOO. Simply select the status that suits you best for the day, or schedule it in advance, and you're ready to go.

→ It's already available in your usual tool, My Comeen, Slack, Google Calendar, Google Chat or Microsoft Teams.

Book presences for your team to create collaborative days

Would you like to create special collaboration days or organize special weeks with an event? Like a tech week to bring your developers together, or an integration week with all your team? You can now create team bookings.

On the manager side

Directly from MyComeen, you can create team bookings so your team doesn't have to do anything to declare their presence.

  • Choose the day, the building, the place, and their presence will be automatically updated.
  • You can even book a desk for them, or choose locations on your floor plan to make sure everyone is seated next to each other.

On the user side

  • They will get a notification informing them their manager just booked a presence for them; this notification gives details on this reservation.
  • Your team member will receive this notification automatically in their usual tool - Slack, Google Chat, Microsoft Teams, and find their reservation in their personal account.
